The Annual Conference is the NCJFCJ s primary membership conference. Here are a few highlights: Approximately 600 attendees, including registered participants, faculty, committee members, etc. are expected. 70% of the conference participants are judges, with the remainder encompassing a mix of directors, administrators, supervisors, attorneys, and other professionals working in the field of juvenile and family justice. More than 30 exhibitors representing a wide range of services are expected to attend. HOTEL AND LODGING: The JW Marriott Austin Hotel, located at 110 East Second Street, will serve as the conference hotel. 4 EHIBIT AREA: Our conference activities, including Registration, Exhibits, Sunday Reception, General Session, Workshops, Luncheon, etc. will be located on the 3 rd floor of the JW Marriott Austin Hotel. Exhibits will also be on the 3 rd floor, in the middle of the action in Salon E. Coffee will be available in the exhibit area in the morning prior to the sessions and during breaks. At any time prior to the start of the conference, NCJFCJ reserves the right to relocate the exhibit area in order to meet the needs of the educational component of the conference. DEADLINES, PAYMENTS, & CANCELLATIONS: Sponsorship opportunities will be sold on a first come, first served basis. Artwork must be submitted and received no later than June 26, 2015 to be included in the initial launch of the conference mobile app. However, advertisers and sponsors will be accepted any time until the start of the conference and will be added to the mobile app within two business days of payment. Applications will be accepted until the start of the program. To get your company listed in the initial launch of the conference app, applications must be received by July 13, Late applications will be added by the start of the conference. Exhibitor information for name badges must also be received by July 13, All payments are due prior to the start of the conference. Cancellations will be accepted without penalty until June 26, Exhibit cancellations received after June 26, 2015 will be assessed a $100 administrative fee. No cancellations for refund will be accepted after the start of the conference. EHIBIT ACCEPTANCE: NCJFCJ reserves the right to accept or reject exhibitor, sponsor, and/or advertising applications based upon space limitations, relevance, appropriateness, timeliness, or other similar criteria. Participation in this program implies acceptance of the terms and conditions listed herein. USE OF EHIBIT SPACE: Exhibitors must confine all demonstrations or promotional activities to the limits of the exhibit space. At no time will individual exhibitor signs or displays be allowed in any common or conference areas. Interference with the light and space of other exhibitors is prohibited. All sound equipment and noise must be kept at a low enough level that they will not disturb the conference and/or other exhibitors. SERVICE CONTRACTOR, SHIPPING, ADDITIONAL FURNITURE, ELECTRICITY, ETC.: The JW Marriott Austin Hotel will provide all services customarily required by exhibitors, including shipping, furniture rental, electrical work, internet connections, labor for setting up and dismantling exhibits, drayage, etc. Instructions and information will be forwarded to registered exhibitors as it becomes available. All exhibitors must abide by existing labor agreements and regulations covering the use of these services. SECURITY AND INSURANCE: Security will not be provided by the NCJFCJ or the JW Marriott Austin Hotel. Please do not leave valuables unattended in the Exhibit Area. The Exhibitor understands that neither the NCJFCJ nor the JW Marriott Austin Hotel maintains insurance covering the Exhibitor s property or lost revenue and it is the sole responsibility of the Exhibitor to obtain such insurance. INDEMNITY CLAUSE: The Exhibitor assumes the entire responsibility and liability for losses, damages, and claims arising out of injury to persons or damages to exhibitor s displays, equipment, or other property brought upon the premises of the JW Marriott Austin Hotel and agrees to indemnify, defend, and hold harmless the NCJFCJ, the JW Marriott Austin Hotel, and their respective owners, managers, subsidiaries, affiliates, servants, agents, and employees against all claims or expenses for such losses, including reasonable attorney s fees, arising out of the use of the Hotel or use of the exhibition area.
