1 Position Title: Inbound Exchange & Study Abroad Operations Manager Position Number: Faculty/Division: Deputy Vice Chancellor & Vice President (Academic) Classification: HEO6 No. Direct Reports 1 & Highest Classified Position: 4 School/Branch: Professional & Continuing Education (PCE) FTE: 1 Reports to: Associate Director, International Relations Fixed Continuing Discipline/Unit: Position Summary: Position Characteristics: Professional and Continuing Education (PCE) is a business unit within the University of Adelaide and provides a wide range of programs and services to the local, national and international community. PCE operating with responsibility, initiative and innovation will manage and develop inbound exchange & study abroad programs of the University of Adelaide s in line with the direction of the business unit and the broader strategy of the University. Under general direction, the Inbound Exchange & Study Abroad Operations Manager will be responsible for the management of operations of the Inbound Study Abroad & Exchange program. This will include the management of day to day administration, system development and management, implementation of marketing initiatives and the development of relationships with partner universities and other stakeholders. Scope The Inbound Study Abroad and Exchange Program deals with approximately 700 students a year. Students study at the University as non-award students and enrol as full time students across all Faculties. Significant internal/external relationships Special conditions Students Global Learning Office University Stakeholders -Global Engagement, International Office, Student Admin Services, International Student Centre, Student Finance Faculty staff (academic and professional) 3 rd Party organisations Partner institutions Scholarship and Government foundations Out of standard work hours as required. 2 Delegations Nil Key Responsibilities and Outcomes 1 Manage the Operations of the Inbound Exchange & Study Abroad Program Manage and evaluate the Inbound Exchange and Study Abroad Programs in collaboration with the Associate Director, International Relations. Be responsible for the day to day operational administrative requirements of Inbound Study Abroad & Exchange program (e.g. application, admission, pre-departure, orientations, course enrolment, accommodation etc). Ensure a high standard of customer service, administration and admission processes are achieved. Develop and maintain effective relationships with key overseas scholarship bodies, overseas partner Universities and 3 rd party organisations. Prepare status reports on the achievement of performance targets and objectives for the Director and Associate Director, International Relations. Work collaboratively with the Global Learning Office on the Exchange student program. Liaise with Faculty and other key stakeholders within the University on matters concerning Inbound programs. Maintain up to date knowledge of legislation, government policies and procedures, University s international student policies and admission procedures relevant to international education. 2 System Development & Management Ensure that the Inbound Study Abroad & Exchange information management and administration systems, processes and practices are regularly reviewed and continuously improved to ensure sound business practices. 3 Marketing & Business Development In consultation with Manager, Marketing & Communications and the Associate Director, International Relations, implement effective and timely marketing and business development initiatives aligned with program area strategic goals. In collaboration with the Manager, Marketing & Communications, manage and maintain up to date and relevant web content. Undertake international travel to develop key stakeholder relationships and promote the Inbound programs. 4 Leadership Provide leadership, direction and supervision to the Inbound Study Abroad and Exchange Advisor and other administration staff to ensure effective and efficient delivery of services.
3 Ensure timely completion of PDRs and training plans for direct reports and provide regular feedback on their work performance. All other staff will assist the Head of School/Branch to create and maintain a safe and healthy work environment by working safely, adhering to instructions and using the equipment provided in accordance with safe operating procedures. Where appropriate, staff will initiate and participate in worksite inspections, accident reporting and investigations, develop safe work procedures and provide appropriate information, instruction, training and supervision. Staff will also inform the Head of School/Branch of any unsafe working practices or hazardous working conditions. All staff are expected to: Contribute to the efficient and effective functioning of their team or work unit in order to meet University objectives. This includes demonstrating appropriate and professional workplace behaviours in accordance with the Code of Conduct, providing assistance to team members if required and undertaking other key responsibilities or activities as directed by one s supervisors; Participate in the Planning, Development and Review which includes a regular review of their performance against the responsibilities an performance objectives associated with the role and demonstration of appropriate behaviours which reflect a commitment to the University s values and strategic directions; Perform their responsibilities in a manner which reflects and responds to continuous improvement; and Read, understand and comply with all University policies and procedures.
