1 Zimbra Getting Started Guide PST Imprt This Getting Started Guide is prvided t yu as the Administratr fr the purpse f instructing yurself and yur End Users n hw t migrate messages and ther infrmatin frm Micrsft Outlk (2003 r 2007) t yur new Zimbra accunts. Fr yu, the Administratr, this includes three steps: 1. Create the accunts in yur Zimbra Administratr Cnsle 2. Create the PST file in MS Outlk fr each End User mailbx that is being imprted 3. Use the Zimbra Cllabratin Suite Imprt Wizard t imprt the PST file Yu can instruct yur End Users t d the secnd and third steps with these instructins if yu chse. Intrductin fr Administratrs The Zimbra Cllabratin Suite (ZCS) Imprt Wizard is dwnladed frm yur Zimbra Administratr Cnsle. It is lcated in the Dwnlads sectin, listed as PST Imprt Wizard. If yu want yur End Users t migrate their wn PST files t their Zimbra accunts, yu will need t prvide them with the ZCS Imprt Wizard and the infrmatin listed in the sectins labeled fr them further in this dcument. Creating Zimbra Accunts fr yur End Users Yur Administratr Cnsle includes the tls yu need t create accunts fr yur End Users ne at a time. Intrductin fr End Users The Zimbra Cllabratin Suite (ZCS) Imprt Wizard enables yu t imprt the infrmatin cntained in yur.pst file t yur Zimbra accunt. Each accunt needs t be imprted individually. Befre using this tl, the accunt must be created in yur Zimbra accunt by the Administratr. Nte: Wherever yu see yur_dmain.cm in this Getting Started Guide, substitute yur dmain name, r the IP address that was sent t yu in yur Activatin message.

2 Imprtant: The ZCS Imprt Wizard is fr use with Micrsft Outlk 2003 r It des nt wrk with MS Outlk The ZCS tl des nt imprt the fllwing Outlk items: Ntes Rules and alerts Jurnal Files created in Outlk Cntacts withut a cmplete address in a Persnal Distributin list Abut Yur Zimbra Accunt We prvide yu with nline access t yur new Zimbra accunt. The Zimbra Cntrl Panel enables yu t manage yur accunt and settings. T access yur Zimbra accunt: 1. Start yur web brwser. 2. Type in the address bar and press Enter. The Lgin windw appears 3. Type the User ID and Passwrd prvided t yu by yur Administratr. Passwrds are case sensitive. If yur User ID/Passwrd cmbinatin is incrrect, an errr message appears. Nte: When yu first access yur accunt, we recmmend that yu change yur Passwrd.

3 T create a secure passwrd, please use the fllwing criteria as a minimum guideline. Minimum passwrd length 8 characters Minimum 1 upper case character Minimum 1 lwer case character Minimum 1 punctuatin symbl Minimum 1 numeric character If these guidelines are nt met, an errr message is displayed and the new passwrd will nt be set. Imprting Yur PST File frm Outlk Yur Administratr will give yu the infrmatin listed in the instructins belw. Keep them n hand when yu imprt yur.pst files using the ZCS Imprt Wizard. The main.pst file is usually in the Micrsft Outlk flder in the Lcal Settings/Applicatin Data directry. If yur.pst file is nt lcated there r yu aren t sure which file t imprt, check with yur Administratr. Creating yur PST File in MS Outlk Befre yu can imprt yur PST file int Zimbra, yu need t create the PST file by exprting yur mail using MS Outlk. Imprtant: The ZCS Imprt Wizard is fr use with Micrsft Outlk 2003 r It des nt wrk with MS Outlk 2010.

4 1. Frm MS Outlk, click File, then Imprt/Exprt. The Imprt and Exprt Wizard pens. 2. Click Exprt t a file then click Next. The Exprt t a File dialg bx appears. 3. Select Persnal Flder File (.pst) then click Next. The Exprt Persnal Flders dialg bx appears.

5 4. Select the flders yu want, and select Include subflders, then click Next. The next page f the Exprt Persnal Flders dialg bx appears. 5. Type a name fr the.pst file and nte the lcatin where it is being saved s that yu can find it later. 6. Select Replace duplicates with items exprted then click Finish. The Create Micrsft Persnal Flders dialg bx appears.

6 7. Name the Persnal Flder and ptinally Passwrd prtect it if yu want. Click OK. Outlk creates yur PST file in the lcatin yu indicated in the wizard. Nte: This prcess may take lnger t finish depending upn the size f yur Outlk accunt. Imprting yur PST file using the ZCS Imprt Wizard Once yu have dwnladed this file, fllw the steps belw: 1. Open the ZCS Imprt Wizard fr Outlk. The first field windw will give yu basic infrmatin abut the Imprt Wizard fr Outlk. Click Next. The Imprt Destinatin Windw appears. 2. Enter the infrmatin that yur administratr has given yu in each f the fllwing fields: Hstname. The Zimbra server dmain name (DNS). Prt. The prt number fr the server. Use 443 fr a secure cnnectin. Use Secure Cnnectin. Check this bx t use a secure cnnectin.

7 Username. Yur Zimbra accunt address. The address shuld be entered as Passwrd. Yur Zimbra accunt passwrd.

8 3. When yu are finished, click Next. The Imprt PST dialg bx appears. 4. Select the.pst file that yu want t imprt. Yu can click Brwse t lcate the file. Once yu ve selected the.pst file t imprt, click Next. If yu have prtected yur.pst with a passwrd, yu must enter yur passwrd t cntinue. 5. Imprt Items. Select which items in the.pst file t imprt, and select calendar ptins. The item ptins are as fllws: Imprt Items. Select whether r nt t imprt Mail, Cntacts, Tasks, and Calendar Items. Calendar Optins. Chse if yu want t: Cnvert meetings. This cnverts meetings rganized under yur ld address t yur new address. Prvide yur ld address in the field prvided if yu select this ptin.

9 6. When yu are finished selecting yur imprt items, click Next. The Imprt Optins dialg bx appears. 7. Set the imprt ptins. Yu can chse frm: Flder ptins. Select whether t imprt yur Junk-Mail and Deleted Items flders. If yu chse t nt imprt these tw flders, it may take a shrter time t imprt yur PST file. Prgress Lgs. Select whether t ignre previusly imprted items. If yu d nt check this bx, yu will have duplicates f any previusly imprted items in their Zimbra accunt. Date Filter. Select whether t imprt items received after a specific date. If yu d nt select t filter items by date, all items will be imprted. Imprt Message withut Bdy enables messages that d nt include the bdy f the message t be imprted. If yu cnfigured yur IMAP t dwnlad nly the header and t ask befre dwnlading the bdy, this ptin will imprt any messages that yu have nt dwnladed the bdy t yet. If yu d nt check Imprt Message withut Bdy, messages with nly the header infrmatin are nt imprted.

10 Lg messages n failure enables extra data t be created if the imprt fails. If a message is nt imprted and this ptin is enabled, the message that failed t be imprted is lgged n the client side. Users can inspect the message t determine if the message cntent was the cause f the failure. 8. When yu are finished selecting yur imprt ptins, click Next. The Begin Imprt Prcess? dialg bx appears. 9. Click OK. The ZCS Imprt Wizard will begin imprting yur.pst file. Nte: If yu have Outlk running, yu will be prmpted t clse it. During the imprt f yur pst file, if the Imprt Wizard detects that sme messages need addresses frm Active Directry, yu are prmpted fr infrmatin t cnnect t Active Directry. If yu d nt knw what t enter, ask yur system administratr. Nte: If yu are prmpted t lg n t yur Active Directry while imprting files and yu d nt cnnect, sme f the imprted messages will have blank Frm and/r T headers.

11 10. When yur imprt is finished, an Imprt Cmpleted message is displayed, shwing the ttal errrs and ttal warnings fr yur imprt. Click Finish. Cngratulatins! Yur Outlk mailbx has been successfully imprted. Viewing the Imprt Lg Any errrs r warnings generated during the imprt prcess are displayed n the Imprt Cmplete dialg bx. Yu shuld review the infrmatin n this page. If yu need mre infrmatin click the Open Lg File buttn and search the lg fr details. Nte: Dn t clse the ZCS Imprt Wizard until yu have reviewed the lg. If yu clse the ZCS Imprt Wizard while the Delete all lg files bx is checked, yu will nt be able t view the lgs at a later time. The lg pens in a.txt file in Ntepad. Use Ctrl+F t find the wrd warning t lcate any imprt issues in the lg.

12 Where T Find Help Befre setting up yur , there are a few pints t mentin: If yur Zimbra accunt is nt accessible immediately after creatin, cnsult yur Administratr. The prcess f accunt creatin may nt have yet cmpleted. Yur Zimbra interface includes cntext sensitive Help files that is searchable and can be brwsed by tpic.
