1 OFFICE MANAGER / ADMINISTRATOR Job Description The overall purpose of the role is to ensure the efficient provision of administrative and support services to the staff, officers and Directors of Inclusion North, thereby ensuring services for our clients are delivered in a timely and relevant way. Line Management The Office Manager is managed by the Chief Executive of Inclusion North. Final responsibility for Inclusion North s activities rests with a voluntary Board of Directors that delegate day to day operational management responsibility to the Chief Executive. Key Accountabilities Manage and ensure the efficient provision of all Inclusion North s central administrative services, e.g. reception, post, supplies and equipment, secretarial support and filing, including identifying cost-effective use of external support. Manage all aspects of the building and equipment, e.g. liaising with landlord, insurers, rating authority and organising any necessary repairs, cleaning, security and equipment servicing. To support the project team in organising events and training, ensuring that there is good marketing, delegate management and resources. To assist with the development of Inclusion North s policies and procedures relating to general administration and finance processing ensure compliance with legislation and good practice. To manage any additional paid or voluntary support as delegated.

2 To provide IT (Information Technology) support to staff. Manage the IT support contract and ensure the security and backup of information. To develop and manage Inclusion North s external communications, using a house style & supporting other team members to use it. To process day to day financial payments, receipts and invoices and effectively manage all resources. To assist with the preparation of budgets and project costing and reporting. Continually improve systems and procedures for all administrative processes so as to increase organisational efficiency. Actively participate in team meetings and make recommendations for improvements and change where opportunities are identified. Service and support the work of the Directors, including circulating agendas, taking minutes and arranging refreshments for the Directors meetings and others. To maintain confidential filing and records systems. Act as appointed Health and Safety Officer and ensure that all legislation relating to the occupation and use of the offices is complied with, including carrying our periodic risk assessments. The above list of accountabilities is indicative of the tasks that the role will be responsible for. The unpredictable nature of our work, continuing legislation and the fact that we are a small organisation means that there will be additional tasks required from time to time. There will be a need to work flexibly and carry out tasks not specified, though within the level of knowledge and responsibility outlined here.

3 Personal qualities The Office Manager will need to be a self-starter capable both of taking the initiative and working closely with colleagues. The post holder will need to display a "can do" approach in line with the organisation's values. Inclusion North emphasises a team approach to work. Appropriate training to facilitate development in post will be available. Essential Proven administration experience Proven experience of buildings and equipment management Proven experience of developing policies and procedures Proven experience of sharing IT skills with others Proven experience of developing productive relations with outside agencies and professionals Proven experience of finance processing and / or basic book keeping Proven ability to schedule work, prioritise and manage a demanding workload. Proven ability to work on own initiative and problem solve Proven ability to encourage, develop and participate in teamworking. Good verbal communication and interpersonal skills. Good written communication skills, in order to draft reports, edit and produce correspondence. High levels of accuracy and attention to detail. Proven ability to use common Microsoft packages including Office XP, PowerPoint and Publisher as well as clients including web based systems. Desirable Ability to create Easy Read information. Certified First Aider Experience of controlling budgets Experience of identifying IT and other training needs

4 Base: The Office Manager will work at Inclusion North s office in Leeds at: 191 Belle Vue Road, Leeds, LS3 1HG All Inclusion North s staff are required to implement the organisation's equal opportunities policy in their day to day work for Inclusion North. This is a full time post of 37 ½ hours a week. The post may involve working occasional weekends and evenings. The appointment will be subject to a six-month probationary period. Salary starting at: 21,000 There is a contributory personal pension. Holiday entitlement is 27 days plus Statutory Holidays. 5 About Inclusion North Inclusion North was established in 2005 as a not for profit membership organisation to promote inclusion for people with Learning Disabilities. The Learning Disability Partnership Boards across Yorkshire, Humber and the North East are members. In November 2008 Inclusion North became a not for profit Community Interest Company. A group of Directors including people with learning disabilities, family carers and professionals oversee the organisation. They are supported by an Advisory Council, the membership of which is a cross section of the partnership boards membership. What Inclusion North does Inclusion North works to promote the inclusion of people with learning disabilities in all areas of mainstream life. We do this by: Working with Learning Disability Partnership Boards to support people with learning disabilities, family members, Health and Social Services, service providers and members of the general public. Providing training, consultancy and individual support to develop the skills of all to create welcoming and able communities.
