Intrductin The Safe PST Backup prduct frm the 4Team Crpratin is the backup slutin fr Micrsft Outlk Persnal Strage files (PST) and Offline Strage Table (OST) files. This dcument describes the administrative ptins fr this prduct. Safe PST Backup has 2 editins: Enterprise and Free. The Enterprise Editin is intended fr crprate use. It prvides system administratrs full cntrl via cnfiguratin files and a cmmand line utility t rganize centralized backups f PST files fr a large number f end-users. The applicatin must be installed n each end-user cmputer and has a minimalistic GUI which can be cmpletely hidden. The Free Editin is fr persnal use. It has n advanced administrative ptins and may be used fr persnal use nly. This dcument mainly describes Enterprise Editin. Differences between the Enterprise and Free editin are described in the Free Editin sectin. PST file synchrnizatin is always perfrmed ne way (backup nly). This prduct des nt prvide any functinality regarding PST files restratin. The restratin f any data backed up with Safe PST Backup must be dne manually by the end-user r administratr by: Cpying PST files. This requires that Micrsft Outlk be clsed as it will prevent the PST files frm being verridden. Using 4Team Sync2PST fr Micrsft Outlk (http://www.sync2pst.cm/). This allws bth One and Tw-way PST file synchrnizatin and can wrk with PST files that are pen in Micrsft Outlk. Installatin Installatin is available in the fllwing frmats:.exe file This is the usual setup which checks fr the presence f Micrsft.NET Framewrk 3.5 SP1 and allws fr its dwnlad and installatin if necessary..msi file This is the typical administrative setup. 3

Links t all needed installatin files are prvided after purchasing the prduct. Prduct Activatin Safe PST Backup Client Activatin Safe PST Backup client applicatin can be activated directly thrugh 4Team Online Activatin Service, r thrugh Mnitring Mdule using Admin Tl. Activatin Thrugh 4Team Online Activatin Service Prduct can be activated manually by entering activatin cde. Als activatin cde may be added t cnfiguratin file t activate the prduct autmatically during the first start. See the descriptin f the ActivatinCde parameter. Activatin Thrugh Mnitring Mdule Using Admin Tl Devices can als be activated using the UseMnitringServiceActivatin parameter n the Safe PST Backup and prper setup fr client activatin n the Admin Tl as shwn here. Mnitring Mdule and Admin Tl Activatin Mnitring Mdule can be activated using nline and ffline activatin methds as described here. Safe PST Backup Cnfiguratin File The prduct is cnfigured via the Settings.cnfig cnfiguratin file lcated in the %AppData%\4Team\SafePSTBackup\Settings\ flder f the users cmputer. This cnfiguratin file can als be placed in any ther lcatin f any ther cmputer. Such file ( netwrk cnfiguratin file ) can be the nly ne fr several users cmputers. Lcatin f netwrk cnfiguratin file shuld be specified within lcal cnfiguratin file (see parameter CnfigPath belw). In this case lcal cnfiguratin file can cntain the nly parameter - CnfigPath. The fllwing parameters are defined within the prduct cnfiguratin file: Prfile (required): Defines what settings are used fr the destinatin path set in that prfile. Adding additinal prfiles allws user t setup multiple backup lcatins. Prfile can include all the parameters except fr the glbal applicatin settings. Glbal settings are listed here. There has t be at least ne prfile within the cnfiguratin file. 4

Administratr can set a tag fr every prfile, by adding it in the <Settings> - it will be used by every prfile that des nt have this parameter defined. There are n limitatins t hw many prfiles can be created. Each prfile has 2 attributes "Name" and "Disabled". "Name" has t be unique fr every prfile. Example: <Settings> <!-- Glbal applicatin settings.--> <Prfile Name="Lgn"> <!-- Prfile "Lgn" Settings--> <DestinatinPath>%LOGONSERVER%\PSTBackup\%UserName%\</DestinatinPath> </Prfile> <Prfile Name="Server"> <!-- Prfile "Server" settings --> <DestinatinPath>C:\SafePSTBackup\</DestinatinPath> </Prfile> </Settings> Accrding t these settings, backup will happen in 2 lcatins ne is n the lgn server and the ther is a lcal cpy. Administratr can add unique settings t bth f these prfiles. Allwed values fr prfile attributes: Disabled "True" r "False". Default is False. These parameters can be defined inside <Settings> and <Prfile> settings: DestinatinPath (required): The destinatin flder path where the backup cpy f the PST files will be placed. Backups cannt be perfrmed if this parameter is empty. Administratrs can specify any lcal r netwrk path and Windws Envirnment Variables may be used in the path. Als the fllwing shrthand parameters may be used: Dcuments, Music, Pictures, Dwnlads, Desktp, AppData, AppLcalData. This parameter is empty after the first installatin f a Free Editin and must be set in the main frm. Examples: \\MYSERVER\Users\JhnSmith, C:\Backup, My Dcuments\PSTBackupFiles\, \\SERVER\Users\%UserName%\BackupPST\, %LOGONSERVER%\PSTBackup\%USERDOMAIN%_%UserName%. CreateDestinatinPath: Create the destinatin path if it desn t exist. When the prduct is used t back up PST files under a specified Windws flder (i.e. the SurcePath parameter is set) a False value will nly backup subflders that match the destinatin subflders previusly 5

created by administratr and nn-matching flders are nt backed up. Allwed values: True/False. Default value is "True". BackupType: Defines if the backup is made manually r autmatically accrding t schedule settings in Scheduling parameter. Allwed values: Autmatic/Manual Default value is "Autmatic". Scheduling: Defines backup schedule type and times. Has "type" parameter with the fllwing allwed values: Hurly/Daily/Weekly/Mnthly Hurly. This type is used t set the parameters fr hurly backup schedule. Tag <Every> is used t set the peridicity in minutes. Example: <BackupType>Autmatic</BackupType> <Scheduling type="hurly"> <Every>360</Every> </Scheduling> Accrding t these settings the backup prcess will start every 6 hurs. Daily. This type is used t set the parameters fr daily backup schedule. Tag <Every> is used t set the peridicity in days. Tag <Time> is used t define up t 3 exact times when backup shuld start. Allwed values: frm 0000 t 2359. Times are defined using military frmat, i.e. 1400 means 2pm. See http://en.wikipedia.rg/wiki/24-hur_clck#military_time. In rder t enable that time, attribute selected shuld be set t True. Example: <BackupType>Autmatic</BackupType> <Scheduling type="daily"> <Every>2</Every> <Time selected="true">0830</time> <Time selected="false">1300</time> <Time selected="true">1700</time> </Scheduling> 6

Accrding t these settings the backup prcess will start every 2 nd day twice during the day, at 8:30 am and at 5:00 pm. Weekly. This type is used t set the parameters fr weekly backup schedule. Tag <Every> is used t set the peridicity in weeks. Tag <Days> is used t define the week days when the backup shuld start. The fllwing values are allwed: Sun/Mn/Tue/Wed/Thu/Fri/Sat. Values shuld be separated with the cmma symbl. Example: <Days>Mn,Tue,Wed,Fri</Days> Tag <Time> is used t define up t 3 exact times when backup shuld start. Same requirements as in Daily schedule type. Example: <Scheduling type="weekly"> <Every>1</Every> <Time selected="true">0830</time> <Time selected="true">1300</time> <Time selected="true">1700</time> <Days>Mn,Tue,Wed,Thu,Fri</Days> </Scheduling> Accrding t these settings the backup prcess will start every day except Saturday and Sunday, at 8:30 am, 1:00 pm and 5:00 pm. Mnthly. This type is used t set the parameters fr mnthly backup schedule. Tag <MnthDay> is used t set the day f the mnth when the backup shuld start. Tag <Time> is used t define the exact time when backup shuld start (in this case nly ne value is supprted). Same requirements as in Daily schedule type. Example: <BackupType>Autmatic</BackupType> <Scheduling type="mnthly"> <Time selected="true">1700</time> <MnthDay>20</MnthDay> </Scheduling> Accrding t these settings the backup prcess will start every 20 th day f the mnth at 5:00 pm. 7

PSTTBackup: List f PST files t backup. The list is defined in the frm f XML ndes within an XML cnfiguratin file. Value "*" means: If the SurcePath parameter is empty r missing, then All PST Files within default Outlk prfile ; If the SurcePath parameter is nt empty, then "All PST Files under specified path". Example: <PSTTBackup> <PST>C:\PSTBackup\Calendar20100601.pst</PST> <PST>C:\Users\AppData\Lcal\Micrsft\Outlk\cntacts.pst</PST> </PSTTBackup> Default is *. SkipNnLcalPSTs: Filter PST files that are lcated n the remte netwrk r ther nn-lcal resurces. When set t True, such PST files are nt shwn in the list f files in Optins dialg, and skipped during backup. Ignred if "SurcePath" parameter is used. Allwed values: True/False. Default value is False. FileNameFilter: Filter PST files with the file name that cntain specific text. This parameter turns n administrative mde. Example: <FileNameFilter>archive</FileNameFilter> The fllwing PST files will be skipped with such setting: PSTarchive.pst Archive_20120413.pst Outlk_archive2.pst Archive.pst UseShadwCpy: Use Windws Shadw Cpy service (if available) when backing up PST file fr the first time. Allwed values: True/False Default value is "True" 8

Applied nly if filtering parameters are nt used fr PST file, such as <SkipFlders>, <SyncPrivateItems>, <SyncCustmFrms>, <SyncInLastMnths>, <SyncInLastMnthsCalendar>, <SyncInLastMnthsJurnal>, <SyncInLastMnthsMails>, <SyncInLastMnthsTasks> AdminEmail: Admin email address. This is the email address where the prblem reprt will be sent. The reprt wn t be sent if this parameter is nt defined. This parameter turns n administrative mde. FailuresLimit: Limit f successive failures. When the number f successive failures reaches this threshld, the applicatin will autmatically send an email message t the email address specified in the AdminEmail parameter. If the email sending is unsuccessful, the applicatin will try t send n every new errr regardless f limit value. This parameter turns n administrative mde. Allwed values: Integer number >0. Default value is 3. "0" value indicates that the reprt wn t be sent autmatically. SkipFlders: Flders t skip is a list f Outlk flders that shuld nt be backed up. Fr nnrt flders the path shuld be prvided, e.g. Wrk\Cntacts r {lflderinbx}\persnal\archive. The fllwing literals (pre-defined cnstants) can als be used: {lfldercalendar} - default Calendar flder (typically Calendar ); {lfldercntacts} - default Cntacts flder (typically Cntacts ); {lflderdrafts} - default Drafts flder (typically Drafts ); {lflderinbx} - default Inbx flder (typically Inbx ); {lflderjurnal} - default Jurnal flder (typically Jurnal ); {lflderntes} - default Ntes flder (typically Ntes ); {lflderoutbx} - default Outbx flder (typically Outbx ); {lfldersentmail} - default Sent Mail flder (typically Sent Items ); {lfldertasks} - default Tasks flder (typically Tasks ); {lflderdeleteditems} - default flder fr deleted items (typically Deleted Items ); {lflderjunk} - default flder fr junk mail (typically Junk E-mail ); This parameter turns n administrative mde. By default n flder filters are set. The list is defined in frm f XML ndes within cnfiguratin file: <SkipFlders> <Flder>{lFlderTasks}</Flder> <Flder>{lFlderCalendar}\myPersnalCalendar</Flder> <Flder>{lFlderDeletedItems}</Flder> <Flder>{lFlderJunk}</Flder> </SkipFlders> 9

Nte that the default t skip {lflderdeleteditems} and {lflderjunk} is used nly when the <SkipFlders> XML nde is missing frm the cnfiguratin file. As sn as this nde is defined, the defaults will nt be applied. If the flders {lflderdeleteditems} and/r {lflderjunk} shuld be skipped, then add them t the <SkipFlders> nde explicitly. SyncPrivateItems: Filter "Synchrnize Private Items". This parameter turns n administrative mde. Allwed values: True/False. Default value is "True". SyncCustmFrms: Filter "Synchrnize Custm Frms". This parameter turns n administrative mde. Allwed values: True/False. Default value is "True ". "True" indicates that frms are t be backed up with items. "False" indicates that nly items are backed up and frms are skipped. CreatePST: Create PST file if it desn t exist. This parameter turns n administrative mde. Allwed values: True/False Default value is "True". "False" indicates that surce PST files will be skipped if the destinatin file des nt already exist. CreateNewPSTOnFileCpy: When full PST file is cpied during the backup (fr example, in case f Outlk 2000, as differential backup is nt supprted there), this parameter indicates if new PST file shuld be created each time. Allwed values: True/False Default value is "False". DestinatinFlderCheckInterval: Destinatin flder check schedule. The number f minutes between the checking f destinatin flder availability in cases when the last backup failed due t unavailable destinatin flders. This is typical when destinatin flders are placed n a netwrk r remvable drive. This parameter turns n administrative mde. Allwed values: Integer number >=0. Default is 5 (i.e. every 5 minutes). A value f "0" indicates that the destinatin flder check by schedule is disabled. i.e. n additinal checking until the next backup schedule. See als the DestinatinFlderCheck parameter. 10

DestinatinFlderCheck: Hw many times t check fr destinatin flder availability. This parameter turns n administrative mde. Allwed values: Integer number >=0. Default value is "3". "0" indicates "endless". See als the DestinatinFlderCheckInterval parameter. DestinatinFlderRequiredSpace: Defines hw much free strage space is required n the destinatin flder. If space is lwer than required backup will nt start. Allwed values: Integer in MB. Default value 0. Value 0 indicates that destinatin flder will nt be checked fr free space. MergeDestinatinFiles: Defines whether t merge PST file t an already existing ne. The prfile name used n prduct and file names f surce and destinatin have t match. Typically this feature shuld be used if Outlk is used n multiple wrkstatins by the same user and the backup destinatin is the same. In case the file type is "Exchange" and the prfile names match - the file will be incrementally backed up t an existing nce regardless f this parameter. Allwed Values: True/False. SyncInLastMnths: Filter Synchrnize Items fr Last N Mnths fr all flder types. Allwed values: Integer number >=0. Default value is 0. A 0 indicates that the filter is disabled (synchrnize all items). This parameter turns n administrative mde. SyncInLastMnthsCalendar, SyncInLastMnthsJurnal, SyncInLastMnthsMails, SyncInLastMnthsTasks: Filters "Synchrnize Items fr Last N Mnths" fr each flder type separately. Separate filters fr "Calendar Items", "Jurnal Items", "Mail and Pst Items", "Task Items". This parameter turns n administrative mde. Allwed values: Integer numbers >=0. A value f "0" indicates a disabled filter (synchrnize all items, i.e. independent f their dates). Parameter SyncInLastMnths is ignred if any f these parameters are set. Default values are "0" fr all. SurcePath: This is the rt flder fr the surce PST files. The applicatin will scan this flder and all its subflders fr PST files and back them up (all r selected, depending n the PSTTBackup parameter). If this parameter is missing, nly PSTs (all r selected, depending n the PSTTBackup parameter) within the default Outlk prfile are backed up. Please nte that default lcatin f PST files is: 11

ServerLgPath: Custm flder fr the server lg that cntains nly the backup summary - ne line fr ne full backup prcedure. The default value is the same path as specified in the DestinatinPath parameter. Nte that all entries t the server lg are duplicated in the lcal lg with the prefix "Server lg: ". This parameter turns n administrative mde. TruncateLgsWhenExceed Allwed values: Integer in KB. A value f "0" indicates that lgs are nt t be truncated. Default is "1024". This parameter turns n administrative mde. TruncateLgsT Allwed values: Integer in KB. This parameter turns n administrative mde. Default is "200" PasswrdMde: Mde fr passwrds. If nt SkipPasswrded, then fr each PST having a passwrd, the applicatin will ask fr the passwrd unless the PST is already pen and running in Outlk. When the user enters a crrect passwrd fr the surce PST, the applicatin will try and use the same passwrd fr the apprpriate destinatin PST. Therefre, if the surce and destinatin PST files have the same passwrd, the user will nly be asked fr the passwrd nce. Otherwise, the passwrds are different (e.g., passwrd n surce PST was changed), and the user will be asked fr passwrd twice. This parameter turns n administrative mde. Allwed Values: SkipPasswrded/AskAndStre/AskAlways. Default is "AskAndStre", DeleteDeletedItems: Flag fr handling deleted items. This parameter turns n administrative mde. Allwed values: True/False. When true and if after the previus backup sme items within surce PST file are deleted, the delete will be perfrmed within the destinatin PST file. Default is "True". DeleteDeletedFlders: Flag fr handling deleted flders. This parameter turns n administrative mde. 12

This way yu can have several restre pints f yur data. Backup will ccur accrding t the schedule set in the <HistryScheduling> tag. Default value is "False". HistryScheduling: Defines histry backup schedule type and times. This tag supprts all child tags and their values as described in <Scheduling> tag. LimitBackupSpace: Defines hw much strage space all restre pint files can use (in Gigabytes) Allwed values: Integer. Default is "30". If the size f the current backup is larger than the threshld size then the value EstTimeMaxValueOverThreshld is used, and if the size f current backup is smaller than the threshld, EstTimeMaxValueBelwThreshld setting is used. Bth f these settings define hw much time can the backup take the lngest. Default value is "500". EstTimeMaxValueOverThreshld: Allwed values: Integer in min. Default value is "120". When the cnnectin test fails, this setting determines hw many times the prgram shuld try t repeat the test. Default value is "5". RetryInterval: Allwed values: Integer in min. When the cnnectin test fails, this setting determines hw much time shuld be waited befre each retry. Default value is "5". SkipBackup: Allwed values: Yes/Prmpt/N. If the cnnectin test detects that the current cnnectin is slw, this ptin describes what t d in that situatin. In case "Yes" is set, it will skip the backup, "Prmpt" will ask the user whether t cntinue this test r nt, and in case "N" is set - backup will cntinue. If the cnnectin test is turned ff n the current cnnectin type: Yes - will skip the backup; Prmpt - will prmpt the user always n that cnnectin; N - backup will always happen. Default value fr the free versin is "Prmpt" fr all cnnectin types. Fr the Enterprise Editin this parameter is set t "Prmpt" fr the WAN cnnectin type, and "N" fr all ther cnnectin types. 15

CnfigPath: Read cnfiguratin file again frm the specified path. The value can be either a file path (e.g. %LOGONSERVER%\Backups\cnfiguratin.xml) r a flder path (e.g., \\SERVER\Backups\) in which case the Settings.cnfig will be read. When this parameter is defined, the applicatin reads all the ther parameters frm the cnfiguratin file fund in the specified lcatin. All previusly read parameters will be verwritten except CnfigPath. This parameter can nly be used nce, i.e. a chain f cnfiguratin files can have n mre than 2 members. This parameter turns n administrative mde. HideGUI Allwed values: True/False. If Safe PST Backup is already running, the cmmand line utility passes valid cmmand/ptins t the running applicatin fr executin. If Safe PST Backup is nt yet running, the cmmand line utility will launch it. The nly exceptin t this is when the cmmand line utility is launched with the help parameter in which it shws the help infrmatin and des nt launch Safe PST Backup. The cmmand line utility withut any cmmand line parameters (r with invalid parameters) will nly launch Safe PST Backup. It cnsists f 2 parts Mnitring Service and Administratin Tl. Mnitring Service Installatin and Cnfiguratin Install the Safe PST Backup Mnitring Service n ne f the wrkstatins that is always n (preferably it shuld be server machine). During installatin please enter the current server IP address and chse a prt fr it. This is used by Safe PST Backup client applicatin and Admin Tl t submit and retrieve status data, s IP and prt shuld be accessible frm all wrkstatins with Safe PST Backup client installed. Mnitring Service itself has n user interface. All infrmatin, warning and errr messages f the service are lgged in Windws applicatin event lg. Email ntificatin template abut failed backup f mnitred wrkstatins can be mdified. It can be fund in the fllwing flder: [Service installatin path]\data\email_template.xml. Administratin Tl Cnfiguratin Administratin tl can be installed n any wrkstatin. After installatin, pen the Administratin tl and g t Service -> Service Cnnectins in the tp menu. In the Administratin Tl Settings Service Cnnectins dialg click Add Server buttn. Enter the name fr the service (any name may be used), the server hstname r IP address, and prt f the server where the Mnitring Service is installed. Click OK. Click OK in the main dialg. Chse the Client Activatin tab -> check the Activate Safe PST Backup Clients using Mnitring Service and then enter activatin cde.
