3 Online Service Reservatins fr Enterprise Agreements Service Center tasks The Service Center (VLSC) is the primary lcatin fr Micrsft Vlume Licensing custmers t view and manage their licensing agreements. NOTE The infrmatin and prcedures in this guide apply nly t Enterprise agreements. Online Services Custmer Cntact Infrmatin Every Online Service fr Enterprise scenari begins with Micrsft sending a tenant discvery email describing hw t activate yur nline services. Imprtant Next Steps t Activatin: After the reservatin is cmplete, the persn wh placed the reservatin will receive a cnfirmatin email frm Micrsft detailing features f the reservatin. If yur agreement des nt have any existing Online Services (OLS) prir t this reservatin, e.g. this is yur first reservatin r rder, the persn wh placed the reservatin will receive an activatin email frm Micrsft with instructins n hw t create an nline service accunt (tenant). This accunt is cnnected t yur Vlume Licensing subscriptin. If yur agreement has an existing Tenant yu will nt receive this email, and yur reserved licenses will be added t the existing Tenant. Once the reserved licenses are ready fr assignment t users, the persn wh placed the reservatin and the nline services accunt administratr (Tenant Admin) will be ntified that the service is ready and that users can be assigned in rder t begin using the services. The default cntact at yur rganizatin fr the activatin email is the Online Services Manager (OSM). The OSM is listed n yur rganizatin s Vlume Licensing enrllment frm. If the OSM cntact infrmatin needs t be updated, please prvide that infrmatin via the Cntract Infrmatin Change Request frm. Updates t the frm will nt autmatically generate a new email. If the enrllment frm des nt designate an OSM, the activatin email will be sent t either the VLSC Online Administratr r the Ntices Cntact and Online Administratr identified n the enrllment. NOTE All purchase rders fr nline services must include the crrect cntact infrmatin fr the OSM and/r the VLSC Administratr. Withut the crrect infrmatin, the ntificatin email culd be sent t the wrng individual within yur rganizatin.

4 Online Service Reservatins fr Enterprise Agreements Tenant Discvery email - Sign In versus Sign Up ptins When yu receive the Tenant Discvery email, yu will have the ptin t either Sign In r Sign Up, depending n hw the prfile is set up. NOTE It is imprtant t understand the difference between the Sign In and Sign Up ptins befre taking any actin, as the actin cannt be changed. Activatin step-by-step prcess New nline services custmer As a new nline service custmer when yu purchase nline services via the Enterprise Agreement (EA), and have never participated in an Online Service Trial, fllw these steps. 1. Micrsft r Micrsft Partner enters the vlume licensing rder. 2. Yu will receive a Tenant email frm Micrsft. Select Sign up in ptin #2 t Create a New Accunt. 3. Yu will be taken t the Micrsft Office 365 site t create a new accunt prfile. 4. Yu will create a new Micrsft Online Services user ID, with a unique user name, fr each user accunt that yu add t yur subscriptin. The dmain part f the user ID is the "nmicrsft.cm" dmain that yu create. This can be changed later t reflect yur rganizatin's dmain.

5 Online Service Reservatins fr Enterprise Agreements 5. The Accunt Prfile acknwledgement screen cnfirms the infrmatin yu have submitted t establish yur accunt. Watch yur email fr a message cnfirming this infrmatin. 6. The prvisining cnfirmatin email will include the User ID and dmain credentials, sign-in URL, mdificatin f cntact preferences, cmmunity links and partner set-up infrmatin fr the services that yu have purchased. Select the Sign In link t get started setting up and managing yur services.

6 Online Service Reservatins fr Enterprise Agreements 7. The link will take yu t the Office 365 admin center where yu can view a Get Started Quick vide, Service health dashbard and admin shrtcuts. Existing Online Services fr Enterprise custmers If yu previusly purchased Micrsft Online Services fr Enterprises and want t use the same Tenant fr additinal Online Services, please chse the Sign In ptin frm the link in the Tenant Discvery email that yu receive.

7 Online Service Reservatins fr Enterprise Agreements Yu will be taken t the Online Services sign-in page. Once yu sign in, yu will receive an acknwledgement that yur existing accunt infrmatin is being assciated with yur Vlume Licensing infrmatin. NOTE If yu d nt remember yur existing accunt prfile infrmatin, cntact Micrsft Supprt. In the United States and Canada: nline r via telephne 1-866-676-6546 and select ptin 2 (6:00 AM Pacific Time t 6:00 PM Pacific Time, Mnday thrugh Friday). Internatinal custmers: cntact infrmatin fr yur cuntry is available here. Create and manage nline service license reservatins Yu can use the VLSC t create and OLS license reservatins. Yu may need t change yur rles and permissins. In rder fr a VLSC user t see the reservatin page, they must have: The Online Administratr (OLA) rle, which is the rle autmatically assigned t the End Custmer when an rder is placed. The OLS Manager rle with the Manage Reservatin cnstraint. An agreement type f E6, EU, r USG. T change yur rles and permissins NOTE Yu must have Administratr permissins t perfrm these tasks. 1. In the main navigatin, select Administratin. 2. Select Add New User, and then enter the new user details. 3. Select the agreement that yu want t add rles. 4. A new cnstraint r rle is added t the OLS rle Manage Reservatins, which allws yu t access VLSC pages that are relevant t Online Services reservatins.

8 Online Service Reservatins fr Enterprise Agreements License Reservatins and Transitins A License Reservatin Order is a statement f intent that yu plan t migrate users t the use f Online Services, als knwn as Micrsft Clud prducts either by creating new rders r by transitining licenses frm prir n-premises purchases. A reservatin gives yu the ability t use Micrsft Clud prducts with the cmmitment that yu will cmplete the purchase at the next anniversary. A cmmitment t sign the uea amendment (if Enterprise Agreement was signed befre 2011) and Online Services Terms and Cnditins (if Micrsft Business and Services Agreement was signed befre 2010) A cmmitment t establish a lcked price, as needed T place a reservatin 1. Frm the main navigatin, select Licenses, and then select Make Reservatins. 2. On the Make a Reservatin fr a Licensing ID page, select an eligible license. Yu can hver ver a grayed-ut ineligible license t see the reasn fr ineligibility. NOTE A Licensing ID may be fr an Enrllment (Enterprise r Select prgrams), an Affiliate (Select Plus prgram), an Agreement (Open Value prgram), r a License (Open License prgram).

9 Online Service Reservatins fr Enterprise Agreements 3. Select an eligible licensing rw, and then select Cntinue. 4. Select the reservatin Usage Date frm the Calendar icn, and then select Cntinue. The Usage Date will apply t all items in this reservatin purchase rder. 5. Once yu select a Usage Date and select Cntinue, yu can view a list f services in the frm f prduct family names, and then select frm a list f prducts t reserve. Usage Date Rules The Usage Date cannt ccur: In the past Mre than six mnths in the future Less than 30 days befre the end f the agreement

10 Online Service Reservatins fr Enterprise Agreements Usage Date clrs: Grey indicates an ineligible time perid Green indicates the time frame is within 30 60 days f the Anniversary Date Red indicates the time frame is within 30 days f the end date View yur services Yur services are determined by yur cmpany s agreement and the amendments already signed. Nt every agreement selected has all services available fr use. Select prducts t reserve 1. Select the prduct r service yu wuld like t reserve. 2. If yu want t change the usage date fr the verall reservatin, select the Calendar icn t pen the date selectin widget. 3. Once yu have selected a service t reserve, frm the Actin drp-dwn menu, select New License r Step-Up. Step-up Licensing enables yur rganizatin t upgrade t a higher-level sftware editin at a lw cst. 4. Type the number f licenses in the Licenses text bx, and then select the Usage Cuntry frm the drp-dwn list. 5. If yu want t reserve multiple prducts, select anther nline service and repeat steps 10 and 11.

11 Online Service Reservatins fr Enterprise Agreements Mre abut usage dates: If yu change the Usage Date after mdifying step-up line items n the reservatin (but befre submitting the reservatin), the system must evaluate if the change in the Usage Date als changes step-up pprtunities. If the new Usage Date is utside f the riginal step-up pprtunities usage date ranges, a warning message appears. If yu select Cntinue and accept the date, the mdified step-up items are deleted. 6. On the Online Services page, select Cntinue. 7. After reviewing and, if necessary, crrecting the reservatin, select Submit Reservatin. NOTE Ensure all details are crrect. Yu have 72 hurs t cancel the reservatin nce it is submitted. Get mre infrmatin n hw t cancel a reservatin. 8. Next, t cmmit t the terms f the reservatin, yu will see ne f three Reservatin Cmmitment pp-up windws.

12 Online Service Reservatins fr Enterprise Agreements If yur cmpany has nt signed the uea amendment (if Enterprise Agreement was signed befre 2011) and the Online Services Terms and Cnditins (if Micrsft Business and Services Agreement was signed befre 2010) and/r lcked pricing, a pp-up windw will appear, suggesting yu wrk with yur Micrsft representative t sign the uea amendment and Online Services Terms and Cnditins, Once yu select Accept and Submit, the Reservatin Cmplete screen will appear. 9. At the cnfirmatin ppup windw, read the entire agreement. If yu want t cmmit financially n behalf f yur cmpany, select Accept and Submit r Submit Reservatin depending n the pp-up that appears. Yu may als select Cancel t restart the prcess frm the beginning. 10. The Reservatin Cmplete screen will appear, shwing details abut the reservatin placed. It will indicate if it is cmplete r if there were any errrs in the submissin. After yu cmplete a reservatin After the reservatin is cmplete, the persn wh placed the reservatin will receive a cnfirmatin email frm Micrsft detailing features f the reservatin. If yur agreement des nt include any OLS prir t this reservatin, the persn wh placed the reservatin will receive an Activatin email frm Micrsft with instructins n hw t create an nline services accunt (tenant) t cnnect t yur Vlume Licensing subscriptin. If yur agreement has an existing OLS accunt (Tenant) yu will nt receive this email, and yur reserved licenses will be added t the existing accunt.

13 Online Service Reservatins fr Enterprise Agreements Once the reserved licenses are ready t be assigned t users, the persn wh placed the reservatin and the nline services accunt administratr (Tenant Admin) will be ntified that the service is ready and users can be assigned in rder t begin using the services. Until these requirements are satisfied, reminder email messages will be sent t yur cmpany s OLS Administratr, Custmer Ntices Cntact, and Partner representative every tw weeks. Placing a Step-up reservatin 1. Fllw the same reservatin prcess as previusly described; hwever, n the Online Services page, select the Actin drp-dwn menu. 2. Cnfirm that the prduct shwn at the tp (1) is the ne yu want t reserve. 3. Make the fllwing selectins: Actin (2): Select the Actin drp-dwn list, and then select Step-up License. Step-up Surce (3): Select the apprpriate surce fr the step-up reservatin. Selecting a prduct ppulates the Available field. Available (4): Nte the number that appears in this field. It is the maximum number f licenses that yu can reserve. Licenses (5): Type the number f licenses required. Once this field is ppulated, the ttal number f licenses in the Available clumn decreases by the number f licenses yu reserve. In this example, 200 licenses were available, and 150 are reserved. There are 50 licenses remaining fr the surce prduct.

14 Online Service Reservatins fr Enterprise Agreements Usage Cuntry (6): Select the Usage Cuntry where the licenses are reserved. After yu finish making all these selectins, the number f licenses yu selected will appear beneath the prduct lg. 4. If yu want, select Add Entry t add anther line item t the same service. 5. Review yur line items, and then select Cntinue. Fr each prduct yu selected, the number f licenses yu are reserving appears beneath the prduct lg. Be sure t view ther pages where yu may have made selectins. 6. The Reservatin Cnfirmatin page displays the multiple nline services chsen fr step-up included in this reservatin. 7. Select Submit Reservatin r Edit Reservatin t make changes.

15 Online Service Reservatins fr Enterprise Agreements Viewing yur Service, License ID, and Reservatin details Use the Service Histry link t display the details f yur previus reservatins. 1. Frm the main page, select Licenses, and then select Manage Reservatins. Yu can view the Manage Reservatins by Service, License ID, and Reservatin pages. 2. Select the Service buttn t display all f yur reservatins. Select a number in the Reservatin clumn t see reservatin details. Select Cancel if yu want t cancel a reservatin within 72 hurs f submitting the reservatin.

16 Online Service Reservatins fr Enterprise Agreements Select a license ID in the Licensing ID clumn t display the License Details page. NOTE Services will nt be active until prvisined in the Micrsft cmmerce platfrm. Select Clse t clse the Service sectin. 3. Select the License ID t view yur reservatins by license ID. Select a number in the License ID clumn t view reservatin details. Select a number in the Reservatin clumn t view reservatin infrmatin fr the license ID selected. If yu select a reservatin number link, the page will pen the Reservatin view and clse the License ID view. Yu can view reservatin infrmatin by descending rder r by the reservatin date. Getting help Select the Help link n the main navigatin bar t view a drp-dwn menu with tw ptins: See FAQ (Frequently Asked Questins) r Training & Resurces. Yu d nt have t be signed in t the VLSC t view and use the VLSC FAQs r Training and Resurces.

The Cntact Us link at the bttm f the FAQs page pints t infrmatin abut hw t cntact Micrsft by phne r email if yu need supprt. This Cntact Us page has three items: Supprt Center Cntact Inf: This drp-dwn menu lets yu select yur cuntry frm the drp-dwn list t display the Supprt Center infrmatin. Interactive map: This lets yu select the regin t limit the number f entries in the Supprt Center Cntact Inf drp-dwn list. Supprt Center Cntact Inf: This displays cntact infrmatin and Supprt Center hurs f peratin.
