1 PIC Online Applicatin Help Dcument Welcme t the PADI PIC Online Applicatin! The PIC Online applicatin is designed t guide yu thrugh the prcess f prcessing Diving, DSD, and Emergency First Respnse certificatins. The applicatin will ntify yu if there is an issue s yu ll want t pay attentin t any message that appears. Fr security reasns, the PIC Online Applicatin times ut autmatically if there is n activity after 15 minutes. Getting Started! 1. Ensure that yu have enugh PIC Online credits t prcess yur applicatins. Yu can view yur balance n the PIC Online Prcessing center page. 2. Have yur students cmplete a PIC Online wrksheet yu can retrieve a wrksheet fr printing n the PIC Online Prcessing Center page. 3. T help yu navigate thrugh the PIC Online Applicatin, we have created Tl Tips. Tl tips are identified by symbls. Simply hver ver the symbl t see helpful hints related t a particular sectin f the applicatin. 4. The PIC Online Applicatin will advise yu infrmatin in a field is required. If yu re nt sure what field yu are in, simply hver ver the field with yur cursr and the infrmatin will appear. Let s talk abut the Settings sectin! Manage My Preferences allws yu t set remember me prfiles that can autmatically ppulate the PIC Online Applicatin when selected. In this sectin, yu can als establish yur preferences related t PIC Online prcessing cnfirmatin s. Reprint Available Temprary Cards allws yu t retrieve Temprary Cards fr 90 days. Yu have multiple ptins n this page t filter and srt yur list. Minimally yu will need t define the time perid by using the filter in the secnd clumn. 2 PIC Online Settings Create new Settings r Edit/Delete existing Settings set up as much infrmatin as yu wuld like. Yu can set up a maximum f 10 unique settings. Settings are unique t the accunt, s if yu are lgged in t PADI Prs as a Stre/Resrt, then yu will see the settings linked t the stre nly. The Back buttn will take yu back t the PIC Online Prcessing Center page. Cmmunicatins Ntificatins and Frequency Yu have the ptin t pt-ut f PIC Online ntificatins if yu d like. Uncheck/Untick the bx under Ntificatins. Nte: Persnal chices made the certifying member related t PIC Online Cnfirmatin Ntificatins will be used t determine if a ntificatin is sent/nt sent t them. If yu have pted t receive PIC Online ntificatins, yu have ptins! One-fr-One if yu chse this ptin, we ll send a cnfirmatin fr every student prcessed. 3 PIC Online Applicatin prcessing PIC Online credits (Diving and EFR) will appear at the tp f the screen. Bth Pending and Available credits can be viewed. Prject AWARE dnatins will appear at the tp f the screen and will display the apprpriate currency based n the user s lg in,, $ (USD, AUD, CAD). Sectins click the Cnfirm buttn t prceed thrugh the applicatin. If yu ve missed anything the applicatin will advise yu. Prcessing ptins establishes the Applicatin Type and Prcessing Mde. Use yur established settings t ppulate this sectin f the applicatin. If yu have a certificatin level linked t the setting, the applicatin will autmatically chse the applicatin type. Yu ll need t then select a Prcessing Mde (Class r Student). If yu are nt using a pre-established setting, select the apprpriate Applicatin Type (Diving, DSD, r EFR) and Prcessing Mde manual. Certifying Member Inf defines wh cmpleted the training. Certificatin Lcatin defines where the class was taught. Depending n the Cuntry selected, the PIC Online Applicatin will advise yu if a State/Prvince and Pstal cde is required. Certificatin Infrmatin Defines Certificatin date use the Calendar Tl r manually type the date. Level is filtered by certifying member and Stre/Resrt defined in Certifying Member Inf sectin. Card Type depending n the certificatin level, yu may have a chice f selecting a limited editin Prject AWARE card. A minimum dnatin f $10 (USD, AUD, CAN) is required t receive the limited editin Prject AWARE versin f the PADI certificatin card. Dnatins supprt cean prtectin thrugh Prject AWARE Fundatin, a registered nnprfit rganizatin. Dnatins may be tax deductible where allwed. 4 Adding Student Infrmatin When yu ve cmpleted the upper prtin f the applicatin, yu will be prmpted t Add Student Infrmatin. Click n the buttn and prceed. Student Search is available t yu t retrieve existing student infrmatin. Yu can lk up by Student number r First Name/Initial/Last Name/Date f Birth cmbinatin. If recrd(s) exist, we ll display the list t yu alng with a thumbnail pht if we have a pht n file. If yu have previusly certified this student, we will display all address and cntact infrmatin n screen. If yu need t change any f this infrmatin, click in the apprpriate field and make the change. If yu have nt previusly certified this student, yu will need t cmplete the Address, Phne Number, and sectins f this page. If yu d nt want t lk up a student, click n the first name field and begin yur entry prcess in the Student Infrmatin sectin. 5 Preferences Yur student is able t define the type f news and updates they receive digitally and via the pst. Please have yur student define their wishes n the PIC Online Wrksheet. Prject AWARE Dnatin Optinal Field Enter a dnatin amunt abve the minimum required dnatin f $10 (USD, AUD, CAN) required t receive the limited editin Prject AWARE versin f the PADI certificatin card. Dnatins supprt cean prtectin thrugh Prject AWARE Fundatin, a registered nnprfit rganizatin. Dnatins may be tax deductible where allwed. When yu have cmpleted this sectin, select. Uplad Pht If yu have selected Diving as yur Applicatin Type, yu will see the Uplad Pht sectin. If yu are entering a DSD r EFR certificatin, yu will nt see this sectin. If a pht is n file, we will display it. Yu can chse t use it by selecting Use Pht r uplad a new pht by selecting Chse New Pht If yu chse t uplad a new file, the PIC Online Applicatin will advise yu f the pht requirements. If we have any issues with the new pht yu are trying t uplad, the applicatin will let yu knw what this issue is. If yu need t resize a pht, visit and then brwse and uplad yur pht. A new ptimized image is prcessed. Yu will need t then dwnlad the new ptimized pht t yur cmputer s that yu can uplad that image during applicatin prcessing. 6 Pending Applicatins The student recrd yu have just entered will nw appear in the Pending Applicatins sectin. Yu can If yu wish t edit any f the student infrmatin, click. Yu can then chse t edit the certificatin infrmatin r the student infrmatin. Yu will nt be allwed t change a name r date f birth fr a student if yu have used the Lk Up Student functin. Yu will need t cntact yur lcal PADI Reginal Headquarters t make the necessary changes. When yu are ready t submit yur rder, select. If yu have incurred any Prject AWARE charges, yu will be prmpted t enter credit card details in the Payment Infrmatin sectin and select. If there are any payment issues, the PIC Online Applicatin will advise yu. The PIC Online Applicatin will cnfirm prcessing by displaying a in the Status clumn f the Prcessed Applicatins sectin. If there are any prcessing issues, the student recrds will remain in the Pending Applicatins sectins and will display an icn in the Status clumn. Click Details t display the issue(s). 7 Temprary Cards frm Prcessed Certificatins sectin Yu can view a single Temprary card by clicking the can view a class by clicking buttn next t a student s name r yu Yu can print a Temprary card frm yur screen Yu can als chse t have an sent t yur student that will prvide them with a link t their Temprary Card fr 90 days. Just click the r We will queue the at ur PADI Wrldwide ffice and it will be sent within minutes. Student Mde tips Yu can quickly prcess multiple levels fr the same student when the Prcessing Mde f the applicatin selected is Student. The Certificatin Infrmatin sectin will expand and allw yu t pick new certificatin date, level, card type, and STC fr next level (same student) minimally the level needs t change t be able t Add Student Infrmatin t the Pending Applicatins sectin. If the level allws, yu can select a new card type. Yu can select a different STC fr each card. Select Add Student Infrmatin t add the new level. 8 Pending Orders If yu have students queued in the Pending Applicatins sectin and yu lse internet cnnectin r yu have t clse yur brwser, we will remind yu that yu have a pending rder(s) the next time yu visit the PIC Online Prcessing Center page. We will maintain pending rders fr 7 days after 7 days the rder will be autmatically deleted Each rder is summarized fr yu - resume prcessing r delete the pending rder by clicking n the apprpriate rder. If yu resume prcessing, yu cannt add additinal students t the queue. Pending rders d nt remve PIC Online credits frm yu. Yu d need t ensure that yu have sufficient PIC Online credits t resume prcessing f yur pending rder. If yu d nt, the applicatin will ntify yu. Yu can chse t ignre the Pending Orders Alert by clicking n Clse.
