JOB DESCRIPTION IDENTIFICATION OF JOB JOB TITLE - VISITOR CENTRE AND CATERING MANAGER TEAM - PARC SLIP WILDLIFE TRUST VISITOR CENTRE WORKING BASE - TONDU RESPONSIBLE TO - MARKETING MANAGER RESPONSIBLE FOR - VISITOR CENTRE STAFF TEAM VISITOR CENTRE VOLUNTEERS OVERALL PURPOSE OF JOB To manage and develop the Parc Slip Wildlife Trust Visitor Centre s (PSWTVC s) catering and hospitality operations, specifically, its Coffee Shop, events and buffets and to maximise income through realising the full potential of the whole building. MAIN RESPONSIBILITIES Daily Operations The Visitor Centre and Catering Manager will be responsible for managing a small team of Visitor Centre Assistants and Volunteers to maintain the high standard of catering service and customer satisfaction. Drawing up Coffee Shop rotas, menus and provide quality food within agreed budgets whilst conforming to all local authority food hygiene regulations. To be hands on member of the team with responsibilities in the preparation of food and beverages, serving customers and daily house-keeping. Deal with all the finances associated with the role of Visitor Centre Manager. The Visitor Centre and Catering Manager will be the main key-holder for the Parc Slip Wildlife Trust Visitor Centre, with responsibility for ensuring opening up and closing down the visitor centre each day and access for out of hours users. Be the main point of contact for Discovery Room bookings and manage the meetings/events diary accordingly. Ensuring all requirements have been met for the variety of Discovery Room bookings including catering, cleanliness of the room, set up and take down of furniture in appropriate lay-outs, and correct use of IT and other equipment. Sales and visitor records and daily cash reconciliations and to create a monthly and annual report. Ensure that the provisions of Health and Safety legislation are fully understood and complied with, and that all other staff, volunteers, contractors, researchers and visitors are properly instructed in safety matters applicable to them. Ensure that the building annual maintenance tasks are kept up to date and a high standard of housekeeping is kept.
Work with the Marketing Manager to deliver the PSWTVC Marketing and Communication Plans. To undertake other duties appropriate to the post that may be requested from time to time by the Line Management. Events Assist in the delivery and marketing of events, conferences and meetings. Work with the Wildlife Trust s Conservation Team to help support events within the Visitor Centre and on the Nature Reserve. Membership Actively encourage visitors to support the work of the Trust by becoming members. Promote membership packages within the PSWTVC. Information Create new and interesting seasonal displays. Regularly check that literature and displays within PSWTVC are current and in clean condition.

Accountability and Resources Structuring own working time to prioritise and deliver tasks. Working with Marketing Manager to deliver work within a set budget. Job Impact The work undertaken has a significant impact. An increase in visitor numbers and profile of the Wildlife Trust will have a direct impact on income through sales and memberships. The level in which the visitors are inspired and engaged with nature will have a significant impact on return visits and support for the organisation s conservation aims and objectives. Independence and Judgement A high level of independence is required with decision making and ensuring the smooth running of PSWTVC. Liaison with the Marketing Manager over some operational aspects will be necessary. People and Contacts There will be regular contact with visitors, booking delegates, tutors and speakers, potential customers and any other suppliers or contractors hired to run or participate in events. There will be regular contact with catering suppliers. There will be daily contact with the general public. The post holder may also be required to gather personal and financial information from individuals for payment processing. It is important for the post holder to promote a positive image of the Wildlife Trust with considerable opportunities to influence the public s view. There is some degree of contact with tourism bodies, community groups and associations to gather information and create marketing contacts. Creativity and Innovation There are many routine and regular tasks within the role; however there are several opportunities to be enterprising and imaginative and to create a memorable and rewarding visitor experience. The post is often exposed to unexpected situations, where quick thinking and good judgement is required.
Working Conditions The nature reserve is open all year. The Visitor Centre will be open up to 7 days a week. The Discovery Room currently has occasional evening bookings. The post covers 35 hours per week. The hours required will include weekend and Bank Holiday working with occasional evening work required on an ad hoc basis to cover the needs of the business. Overtime may be required on occasion; this can be claimed back as time in lieu. Some duties will occasionally require the post holder to work away from the work base. The use of a pool car is available on these occasions if the post holder possesses a valid driving licence. This post is subject to the Wildlife Trust of South and West Wales securing on-going funding.
