CLIENT PORTAL GUIDE SUMMARY Using the CISI nline prtal is simple. Just g t www.culturalinsurance.cm and fllw the steps belw. As the grup administratr, simply g t the green mycisi buttn n the tp f the page r Lgin t mycisi Prtal under the Quick Links fr Members sectin. Make sure t add CISI t yur list f Trusted Sites if prmpted. Once yu reach the lgin page, select that yu are a spnsr frm the drp-dwn menu and enter yur username and passwrd (this will be prvided t yu by yur accunt manager). Click Lgin t begin. 1

Accunt Infrmatin Frm this page, yu can change yur cntact infrmatin and update yur passwrd. Yu can als use the tlbar n the left t search fr a particular participant, add enrllments ver a secure envirnment, view an enrllment rster, search fr an invice, dwnlad plicy materials, brwse ur Resurces and Links r Persnal Security Assistance pages fr cuntry-specific infrmatin, r lk-up imprtant cntact infrmatin via the Emergency Cntact Inf link. Click n Add Enrllments t learn mre abut this feature 2

Adding Enrllments IMPORTANT: Befre adding an enrllment, make sure yu have already filled ut the CISI Enrllment Template with the relevant infrmatin (please see Page 4 f this dcument t see a sample and review sme helpful tips). Yu must first select the mst current plicy under Plicy Number and click n the Add Enrllment icn. Yu will then see a screen like the ne abve. Select Imprt Enrllments t lcate yur pre-filled enrllment spreadsheet (r Add Individual Enrllments if yu nly need t enrll ne r tw participants). Click Submit and Clse Invice t submit yur enrllment spreadsheet fr prcessing. If yu have errrs, yu can view the message, cancel the entire invice, and try again (after making crrectins). If the prblem persists r if yu need help, please cntact CISI s enrllment/billing manager, Jeanette Trres. Once prcessed, yu can view and print invice details, an invice cver letter, and even ID cards right frm the prtal. Select Clsed Invice Search n the left-side menu t view these features. 3

Sample Enrllment Template & Helpful Hints Yur accunt manager will prvide yu with a spreadsheet like the ne abve. Make sure all required lines are filled ut fr each participant and d nt hide any clumns. Here are sme helpful hints: Each spreadsheet filled ut will yield its wn invice. Fr this reasn, yu may want t submit different spreadsheets fr different trips. Be sure t list each participant s full first and last names (n nicknames). All dates need t be in m/d/yyyy r m/d/yy frmat. Be sure t check that dates are nt in the *m/dd/yyyy frmat frm the frmat cells menu. Yu may have different Enrllment Cell Cde ptins depending n yur plan. Yur accunt manager will prvide yu with guidance if needed (and Sheet 3 n yur template will utline yur ptins). Yu shuld als list the cuntry f rigin as US, nt USA. Yu can nly list ne cuntry/regin under in the destinatin field. We recmmend the primary cuntry r a regin (i.e. Asia, Eurpe, Central America, Africa) if multiple cuntries will be visited. Yu can als put wrldwide ). Please refer t Sheet 2 n yur template fr acceptable cdes. Leave the Perids field blank. The Spnsr Prgram Name field is ptinal but yu may find it helpful fr separating trips fr reprting purpses. Keep in mind that this field is limited t 50 characters. Spnsr Prgram ID is als ptinal; many schls use student ID numbers here. We strngly encurage email and phne numbers (fr emergency purpses). Prviding an email address will als allw yu t send a bulk CISI Welcme Email t all participants with the ID card and ther cverage-related dcuments. Make sure yur spreadsheets are saved in the XLS frmat (nt XLSX) befre submitting. Please feel free t share yur first few spreadsheets with yur accunt manager r the enrllment/billing manager prir t submitting. We are always happy t walk yu thrugh the prcess if needed. 4

Viewing/Printing Invices, Invice Cver Letters, and ID Cards Select Clsed Invice Search n the left menu bar. Then select the plicy number and hit Invice Search when prmpted. If yu d nt enter in any search terms, all invices fr the selected plicy will appear. Select the invice yu wuld like t view and scrll dwn. Yu will then see a variety f ptins, as highlighted in the screensht belw: Please select Send Welcme Package t send a bulk email t all participants n a selected invice. If email addresses were included in the enrllment template, the addresses will autmatically ppulate nce selected. Yu will have the pprtunity t manually input and/r 5

edit existing addresses. The Welcme Package cntains the ID card, cverage brchure, claim frm, cnsulate letter, and a link t the mycisi participant prtal. If yu select Invice Details and Invice Cver Letter frm the prtal screen, yu will be able t view/email the specific charges and basic billing details. Yu can then submit these dcuments t yur accunting department fr prcessing (within 30 days). If yu select the Invice ID Cards ptin, yu will be able t generate a PDF dcument cntaining all the ID cards fr participants n the invice yu selected. Yu can send this dcument t trip leaders fr distributin r print and put in pre-departure packets. If a participant lses his/her ID card, yu can print the relevant page and resend, use the Participant Search feature (described belw), r prvide instructins n hw participants can access the card via the Participant Prtal (refer t the mycisi Participant Prtal Overview dcument fr thse details). It is very imprtant that participants keep a cpy f the ID card with them at all times. The ID card cntains valuable cntact infrmatin in the event that assistance is needed. Please refer t the Emergency Cntact Inf link if yu need this infrmatin. Searching fr a Participant The Participant Search feature n the left-side menu allws administratrs t view participant-specific infrmatin using a variety f fields. After typing in a desired term, click n Search fr a list f travelers matching yur criteria. If yu need t generate an ID card fr a participant, just select his/her name and scrll dwn fr instructins. 6

Using the Enrllment Rster Feature t Pull Reprts The Enrllment Rster feature n the left-side menu allws administratrs t view enrllments in an easy-t-read frmat (either as a PDF r Excel dcument). This is particularly helpful if yu need t generate a reprt n yur internatinal educatin activities, fr example. The Enrllment Rster feature als allws administratrs t view participant lists fr specific destinatins. If yu need t knw whether r nt yu have travelers in Italy after finding ut there was an earthquake, fr example, this wuld give yu easy access t that infrmatin. 7

Accessing Brchures, Claim Frms, and Cnsulate Letters By selecting Plicy Materials n the left-side menu, administratrs can access the cverage brchure, claim frm, and custmizable cnsulate letter. The cnsulate letter belw cntains valuable infrmatin shuld any participants require prf f insurance in rder t secure a visa. 8

Destinatin-Specific Infrmatin Be sure t check ut ur Resurces & Links and Internatinal Prvider Tabs fr a wealth f infrmatin. The screensht belw is frm ur Internatinal Prvider Database. Clients with security evacuatin included in their plan autmatically will als receive access t the Persnal Security Assistance link. After clicking this link, yu will be taken t the belw site, where yu will be able t access a variety f resurces based n lcatin. Students and parents will als have access t this site via the mycisi Participant Prtal. Questins?
