EXHIBITORS/SPONSORS INVITATION FOR THE 32nd ANNUAL AUCSO CONFERENCE TO BE HELD AT THE UNIVERSITY OF SALFORD ON 5-7 APRIL 2016 Our 32 nd annual conference will be hosted by the University of Salford and held at the fabulous venue of Media City UK in Salford. Once again we expect to attract about 100 delegates who represent Universities from across the UK and Europe. They are usually Heads of Security, Security Managers or Facilities Managers who have responsibility for security services, and sometimes safety, emergency management or other facilities and who have purchasing authority for their area of responsibility. The exhibition is a key part of the AUCSO conference and delegates are encouraged to visit all the stands during their lunch break, morning and afternoon breaks, and at the end of each afternoon. Additionally, delegates have the option of visiting the exhibition if they do not attend some of the sessions during the day. The exhibition will be located at the conference venue with all refreshments and lunch on both days in the exhibition area, to give delegates time to visit all the stands. The conference programme will give as much time as possible for delegates to speak with all the exhibitors. We are grateful to all our suppliers who regularly exhibit at our conference and hope to see many friends return again in 2016. We also welcome new suppliers and will give any new supplier an early invitation to reserve a place, so that delegates have the opportunity to view new equipment and services, as well as meet up with their existing suppliers. Although we would like to see everyone at the conference, we are limited on space and will restrict the exhibition to about 30 stands. If we receive more than 30 applications, the Executive Committee will take into consideration the category of exhibitors (see below), so that a wide variety of equipment and services is represented to give a balanced exhibition. Those unable to exhibit in 2016 will remain on a stand by list and will also be offered an early place for 2017. Spot Prizes during the conference (programme permitting) there may be opportunities for sponsors to present a spot prize to delegates. Applications, Dates and Payments: 24 September 15 - early invitations sent to those companies who did not get a place in 2015 and to all new suppliers Replies/applications are required by 7 October 2015. 10 October 15 invitations sent to all other companies. 28 October 2015 - All exhibitor/sponsorship applications must be returned. If replies outnumber availability, the AUCSO Executive Committee will decide the allocation of stands, with the final selection confirmed to all applicants by 4 November 2015. The selected Exhibitors/Sponsors must then register and make their booking and pay the total fee by 15 January 2016. Note if payments are not received by the due date, the exhibitor will forfeit their place to another exhibitor on the waiting list.

WEBSITE SPONSORSHIP ONLY Suppliers and service providers who are not allocated an exhibition space this year may be able to have their logo added to the AUCSO website (sponsors page) for one year (April 2016 April 2017) for a one off fee of 300. Exhibitor Information and Terms and Conditions: 1. See draft programme below - The conference starts with a welcome evening for everyone on Tue 5 April. The conference and exhibition is open for 2 days, Wed 6 and Thu 7 April. The exhibition will close on the afternoon (about 3.30pm) of Thu 7 April. 2. Access to set up in the exhibition area will be from 2pm, Tue 5 April. All stands must be ready by 9am on Wed 6 April and taken down/removed by 5pm on Thu 7 April. 3. The exhibition will be located in the conference venue at Media City UK. There is not a specific exhibition hall but the exhibition stands will be spread around the venue. Lunches and refreshments on both days will be served in the exhibition area. 4. Delivery and unloading will be available on the ground level and there is a lift to the conference floor. Public car parking is available near the hotel but is at an additional charge. 5. Exhibition stand areas will be c.2 x 3m, with a table and two chairs provided. A power supply and Wi- Fi is available throughout the venue. 6. The Welcome Evening will be held at the conference venue. It is intended to hold the Networking Evening at Old Trafford (the home of Manchester United) but this is TBC dependent on match days. Both evenings include a meal for two persons for each exhibitor/sponsor. 7. The Gala Dinner evening (Thu 7 April) is to be held at the Imperial War Museum North. This is only open to the Gold and Platinum Sponsors. Two persons from each are permitted and names will be required in advance for the seating plan. 8. Accommodation and breakfast is not included in any of the packages and must be booked separately by all exhibitors and sponsors. Accommodation for all delegates and exhibitors is available at the Holiday Inn Media City UK. Those wishing to utilise the hotel will, on request, be given a code allowing them to book at conference rate. Terms and Conditions: 9. The AUCSO Executive Committee retains the right to accept or reject bids for an exhibition space at the AUCSO conference. Consideration will be given to allow new suppliers to attend, as well as previous suppliers and to ensure there is a reasonable balance of categories. 10. Once a bid has been accepted the supplier will be informed in writing (email) with instructions for registration and payment through the University of Salford Conference Office, which is acting on behalf of AUCSO to take bookings and payments. 11. Full payment must be made when registering. Should payment not be received by the due date, the supplier will be informed that their space has been cancelled and offered to another exhibitor. 12. Cancellation of bookings must be sent to the University of Salford conference office. Refunds may be available if a substitute exhibitor can be found. 13. Access to the venue is stated in the information above. If exhibitors wish to send equipment in advance, they must contact the University of Salford Conference Office to arrange delivery. 14. All exhibitors will be sent a floor plan in advance with their stand number. Stands must be set up as allocated and must not be larger than the space allocated. Exhibitors will be asked to remove any equipment outside the allocated space. 15. Exhibitors will be asked to provide their advert for the printed programme about 8 weeks before the conference, when exact specifications will be provided. Adverts will be included only if received by the final due date, which is generally 4 weeks before the conference.
