3 1. About the Community Transport Association Introduction to CTA We are the national membership association for providers of community transport across the UK. These are typically charities and community groups, but can include anyone providing transport on a not-for-profit basis, e.g. a school which uses a minibus to transport students. All of our activities and services are aimed at people who either work or volunteer for these organisations or provide support to them. The CTA itself does not provide any transport services directly to members of the public. We are a charity and company limited by guarantee. We are governed by a trustee board made up of people elected from the CTA membership and other co-opted trustees from different backgrounds who bring a range of experience to enhance the contribution they make. We employ 23 staff in our offices around the UK. Our main UK office is in Hyde in Greater Manchester and we also have offices in Edinburgh, Belfast, Rhyl and Swansea. Our vision We want to see community transport thriving across England, Scotland, Wales and Northern Ireland, enabling people to live independently, participate in their community and to access education, employment, health and other services. Our mission We lead and support community transport to be successful and sustainable in all parts of England, Scotland, Wales and Northern Ireland through: Leadership: Promoting community transport and influencing the development of better strategy, policy, regulations and investment at all levels of government Support: Advocating high standards of practice and providing advice, information, training and hands-on support that assists community transport in working to these standards. We prioritise mobility and accessibility We stand up for the people who rely most on community transport to enable them to enjoy a decent quality of life. We share this deep sense of responsibility and passion with our members and work with them to ensure that community transport, in whatever form, is rooted in responding to needs within local communities, prioritising those that are unmet by other services. 4. We champion volunteering We celebrate the high levels of volunteer involvement within the community transport movement and speak up for the importance and benefits of involving volunteers. We do not believe that unpaid means unprofessional and will always challenge negative perceptions about the value and contribution of volunteers. 5. We think big We are a small team with big ambitions for community transport. We are curious, creative and open to new ideas. We try new things and learn from them and encourage everyone we work with to do the same. We seek feedback and use this to enhance the quality of experience of working with us. Job description Job description for the post of Administrative Assistant Accountable to: Salary: Hours: Location: Length of contract: Admin Team Leader 16,650 pro rata ( 9,990 per annum) 21 hours per week Greater Manchester (currently in Hyde, but we are planning to relocate within this area before October 2015) Initially a fixed term 12-month contract (to be reviewed) Job Summary To provide high-quality administrative support for the Community Transport Association, its staff and activities. Responsibilities 1. Be responsible for the processing, packing and dispatch of orders of CTA products to members and customers; this requires some manual handling of goods for dispatch up to a weight of approximately 15kg. 2. Be responsible for receiving stock and storing materials appropriately. 3. Ensure the effective organisation and stock management of all CTA materials and request approval to order new materials as and when required. 4. Complete mail-outs to key stakeholders including member organisations. 5. Be responsible for uploading certificate data onto the CTA database and process information electronically in line with CTA requirements. 6. Be accountable for personal development through the Performance and Development Review (appraisal) process seeking out opportunities to learn new skills. 7. Person specification Person specification for the post of Administrative Assistant ESSENTIAL REQUIREMENTS OF THE POST HOLDER Experience Basic knowledge of using office equipment, e.g. photocopier, fax machine Experience of using Microsoft Office, including Word, Excel and Outlook Skills Good interpersonal and communication skills, and a customer-focused approach Good organisational skills and an ability to maintain efficient information management and retrieval systems, including the handling of confidential material Good numeracy and literacy skills Good keyboard skills Attributes Able to work as a member of a team, with the ability to develop and maintain effective working relationships with colleagues Positive, enthusiastic approach to work Keen desire to learn new skills DESIRABLE REQUIREMENTS OF THE POST HOLDER Experience in a post room or store room environment CTA UK Recruitment 2015: Administrative Assistant Page 6 of 7
