2 Introduction Five years ago, I was cosey invoved in designing a new service for empoyers who wanted to take on apprentices. This became the Nationa Apprenticeship Service. At that time, the message from business owners and managers was very cear. They knew about Apprenticeships and were interested but they didn t know how to go about making them happen. Five years ater, there is a ot more hep avaiabe and many thousands of businesses have now taken on their first apprentices. However, that origina cry for hep from many empoyers remains. This guide has been produced by earndirect to hep empoyers who simpy want to know the best way to start an Apprenticeship, whether that be for a new or existing empoyee. You wi find the practica steps you need to take to find the right Apprenticeships for your business, as we as guidance on funding and seecting a training provider. 3 What is an Apprenticeship? When peope think of Apprenticeships they tend to think of eectricians, pumbers, car mechanics and hairdressers a earning a trade. This is true but Apprenticeships can be used to train and deveop peope in amost any business or sector and now cover more than 1,500 job roes from hospitaity services to chidcare, retai banking and denta nursing. They are avaiabe at three different eves: intermediate, advanced and higher. Intermediate (Leve 2) is simiar to five GCSEs at grade A*- C Advanced (Leve 3) is simiar to two A eves An Apprenticeship is on the job training avaiabe to those aged 16 and over. Apprenticeships usuay ast between 12 to 18 months. Depending on the sector and eve, some can ast up to four years. Throughout the time of the Apprenticeship an apprentice is trained and guided towards a skied roe within a business, often with the hep of a training provider so they gain industry knowedge and the skis required to do the job. Apprentices aso study towards nationay recognised quaifications earning both onine and as part of their work-based training. To hep support businesses create a skied workforce, the government contributes funding towards the costs of training apprentices. We provide ots of information about funding and expain how this works in our section on page 11. Higher (Leve 4 and above) is simiar to an NVQ Leve 4 and above, or a Foundation Degree How does an Apprenticeship work? Apprenticeships are avaiabe to businesses of a sizes and now cover amost a occupations and sectors. Anyone who is 16 or over can compete an Apprenticeship. There is no upper age imit to an Apprenticeship, as they are a great way to hep peope deveop their skis at a stages of their career. Apprentices study towards nationay recognised quaifications which incudes a vocationa quaification and technica certificate. If they haven t aready done so, apprentices wi need to compete a quaification in maths and Engish aongside these to aow them to become competent in their roe. Some Apprenticeships may aso require apprentices to compete an Information and Communications and Technoogy (ICT) quaification, to ensure they have the reevant skis they need to do their job. Depending on the type of Apprenticeship it may be possibe for your apprentice to compete a their earning within your business, both on the job and onine meaning that there wi be minimum disruption to your everyday business tasks. Core eements of an Apprenticeship Apprentices are supported throughout their Apprenticeship by a dedicated trainer assessor. Trainer assessors have speciaist sector skis so the training is aways aigned to the needs of your business. Empoyment is a fundamenta part of an Apprenticeship. Apprentices earn and earn. They wi be ike any other empoyee in your business - doing a job and getting paid. You set the wage for your apprentices, athough there is a minimum statutory requirement of 2.73 an hour for apprentices under 19 or in their first year of their Apprenticeship. The average weeky wage paid to apprentices is The Apprenticeship Grants for Empoyers (AGE grants) coud be avaiabe to you if you take on a young person aged Pease see page 11 for more information on AGE grants. QCF Certificate or Dipoma (NVQ) Provides evidence of the earner s COMPETENCE. Achieved through assessment against standards and criteria whist at work and over a period of time Engish Certificate/ Dipoma 1 Technica certificate Technica certificate Provides the KNOWLEDGE evidence. Consists of a range of tests across reevant subjects Evidence of PRACTICAL / APPLIED skis. Everyday skis in maths and Engish 2. Deivered at appropriate eve to quaification. maths 1 4 Most Apprenticeships are structured in this way. 4 Case study: Cherubs Day Nursery Cherubs Day Nursery is part of a chain of 11 nurseries across Nottingham, Mansfied, Worksop and Ravenshead. They deiver chidcare and customer service Apprenticeships to empoyees across the business. This commitment to deveoping their staff has paid off and the nurseries are now reaping the benefits from the fresh poo of taent it s hep bring into the company. Rachae Hornby, Nursery Manager expains: We originay decided to consider using Apprenticeships to train staff because when I first came to the cherubs Kimberey site they were very much a quaified team. We d a worked with each other for a number of years and were quite set in our ways, so we wanted a way of being abe to buid on the skis of our existing staff as we as bringing fresh thinking into the nursery. With a ot of the young apprentices we take on, this might be their first experience of a workpace. We take them through a 3 month induction period which is very hands on and gets them used to the ethos of the company. This heps us determine which age group reay suits their skis and heps us see where they can fit in. We aso take on oder apprentices who might aready have a eve 2 quaification, have taken time out of work to have a famiy and want to get back into chidcare and strive towards a eve 3 quaification. Apprenticeships can aso provide a rea earning curve for existing staff and aows them to deveop reay vita skis ike mentoring and supporting other staff. The main benefit we ve seen from taking on apprentices is definitey getting that bigger poo of ideas and new ways of thinking from the young peope coming into the business. We re a progressive nursery so this reay fits in with the ethos of the company. It s particuary nice to see the apprentices confidence grow whist they re here. We do a ot of outdoor practica activities with the chidren which a ot of peope are quite shocked about when they first start. But once you ve done that practica way of showing them the benefits of this for chid deveopment and combine that with the theory they buid a rea understanding Why shoud I take on an apprentice????? Do you need to train your staff to meet sector reguations and safeguard your business? Do you need a fexibe approach to training new and existing staff that fits in and around your business? Does your business need speciaist training so your staff are quaified to the highest industry standards? Do you need to upski a new or existing member of staff to take on more responsibiity so you can concentrate on other tasks? In a recent survey 69% of businesses said finding staff with the right skis and quaifications was the top recruitment issue 1. 6 Seecting a training provider Most businesses choose a training provider to work with them to hep set up and run an Apprenticeship programme. A training provider coud incude a training organisation such as earndirect or a coege. If you are unsure where to find a training provider which meets your business needs, the Nationa Apprenticeship Service (NAS) wi be abe to advise you. What do I need to know about funding? Funding is not as compicated as it appears. Your training provider wi hep you understand how it a works. 100% funding coud be avaiabe to support the deivery of an Apprenticeship and your training provider wi work cosey with you to manage this on your behaf. Your training provider can aso hep sign post you to other funding initiatives that may be avaiabe to you. Your chosen training provider wi do a number of things to support you. If you want to recruit new apprentices they can hep with advertising your Apprenticeship vacancies and support the recruitment process. They wi aso advise on the Apprenticeship programmes avaiabe for your existing staff and hep get them started. For both new recruits and current staff, your chosen provider wi aso be responsibe for deivering the training and assessment and providing reguar feedback on how your apprentices are progressing. A very important part of your training provider s roe is to work with you every step of the way throughout the Apprenticeship, so that you and your apprentices have a the hep and support you need. Using their expertise, your training provider wi aso hep access and manage the funding on your behaf. See page 11. Things to consider when seecting your training provider 1) Do they offer the Apprenticeships you re after? 2) Are they in your area? 3) Do they understand your business? 4) Coud you work in partnership with them? Here are some facts about funding: government contributes to the costs of training apprentices because they want to create a skied workforce in the UK government funding for training goes directy to the training provider government wi contribute more towards the training costs of younger apprentices. This refects the fact that they are sti competing their education and need more hep to gain the skis they need for work for year ods, government contributes what it describes as the fu costs of the training. This means that you don t have to pay for any of the training for year ods, government contributes 50% of the funding, refecting the greater experience, skis and maturity of the oder worker. This may mean that you have to make some payment towards the cost of the training. Your training provider wi work cosey with you to work out any contribution that you may need to make government aso funds oder workers though priority has been given to apprentices who are under 24 government aso pays towards improving the Engish and maths skis of apprentices which are essentia for everyday tasks. Where ICT is a mandatory requirement of an Apprenticeship, government funding may aso be avaiabe to support this. You are eigibe if you haven t empoyed an apprentice in the past year and may caim up to 5 grants your training provider can hep you appy for Apprenticeship Grants for Empoyers* (AGE grants) of 1,500 if you take on an apprentice who is aged You are eigibe if you haven t empoyed an apprentice in the past year and may caim up to ten grants most oca authorities are aso very keen to promote Apprenticeships. A number of them provide additiona grants to encourage the recruitment of apprentices so it is worth exporing this possibiity * For empoyers with ess than 50 empoyees. 7 How funding works Choose a training provider that meets the needs of your business GO Government funding is provided to hep cover the training costs for your apprentices. The funding is usuay paid directy to your chosen training provider Invest in your apprentice and don t rey on government funding. Government funding is important but it is usuay not enough on its own to support high quaity Apprenticeships. It is much better to think of the Government s funding as investment that wi sit aongside your own. Much of your investment wi come in terms of empoyment, on the job training, paying a wage and mentoring within the business. Don t fee that the funding from government sets imits to what you can do with your apprentice. You get out what you put in! David Way, Former CEO, Nationa Apprenticeship Service The amount of funding for training depends on your sector, the age of your apprentice and the eve of the Apprenticeship Aged % of training costs are paid by government. This is often referred to as fuy funded You empoy your apprentice and are responsibe for paying their wage (this can be a new or existing empoyee) A B C D A B C D Aged 19 to 23 50% of training costs are paid by government 24 years and oder, government may make a contribution towards training costs You may be eigibe for a 1,500 grant to hep with support costs* You can caim support for up to 5 apprentices. The grants do not have to be paid back. Don t get bogged down by funding! Your chosen training provider wi aways work with you to hep manage the funding process on your behaf and advise where you may be required to make a contribution. They wi aso inform you of any additiona funding that may be avaiabe to you. 8 How to get started - Apprenticeship checkist Frequenty asked questions 1 To get the most from your apprentices, it s best to keep things simpe and focus on the training needs of your business. 2 Set cear objectives about what you want the Apprenticeships to deiver for your business. This way you can deveop and shape the apprentices to meet your needs and buid a skied workforce for the future. 3 Do you have a particuar job roe in mind and you re ooking to recruit a new member of staff to fi that vacancy? Or do you have an opportunity to re-train or upski an existing member of staff? Tak to your training provider about the Apprenticeship programmes they offer that can best meet your needs. Your training provider wi support you throughout the Apprenticeship. 4 Ask how your training provider can hep with recruiting a new apprentice or training an existing member of staff. 5 Discuss the range of funding options that coud be avaiabe to you and your business. If you re unsure of how to choose a training provider you can contact the Nationa Apprenticeship Service, who offer impartia advice on those in your area and those who offer Apprenticeships in your sector. You can aso contact earndirect for additiona advice and information. See usefu contacts on page 17 Is there hep recruiting apprentices? A training provider can hep you to recruit as many apprentices as you want. Just ike a recruitment agency, they wi search for, screen and seect suitabe apprentices. Are Apprenticeships avaiabe for existing staff? An apprentice doesn t have to be someone new one of your current staff coud be an idea candidate for an Apprenticeship. This is a great way to upski and nurture the taent aready under your roof. Do I have to empoy my apprentice? In most cases you do. As the empoyer you must induct your apprentice into their roe and provide on the job training. You are responsibe for paying your apprentice s wages and issuing their Contract of Empoyment. There are exceptions. Apprenticeship Training Agencies (ATAs) empoy apprentices and oan them out for their training. How ong does an Apprenticeship ast? It wi ast at east a year and up to four years in some occupations requiring higheve speciaist skis. The expected ength of time is that recommended by empoyers but the time taken wi vary by individua and empoyer. What happens if I become so busy that I cannot train someone for a whie? Your training provider wi work with you to re-profie the apprentice s training programme to refect your work pressures. What happens if my apprentice eaves before the end of the Apprenticeship? Your training provider wi hep the apprentice to compete their Apprenticeship esewhere and find you a repacement. What if I cannot find anyone suitabe for my Apprenticeship? Your training provider wi advise on how to attract more peope to your Apprenticeship vacancy. If you find someone who you might want to take on but fee they are not quite job ready, then a Traineeship may provide the answer. A Traineeship is a work pacement for year ods designed to hep them deveop the workpace skis and experience that businesses need. If you aren t working with a training provider, the Nationa Apprenticeship Service wi be abe to assist you. What happens if I cannot compete the apprentice s on the job training? Your training to date wi be greaty appreciated and your training provider can hep find an aternative Apprenticeship with another empoyer. Is there an upper age imit for the person I recruit or train as an apprentice? No. This recognises that many peope wi have to adapt their skis during the course of their working ives and an Apprenticeship wi often be the best route to achieving this. How can I work more cosey with schoos to attract an apprentice? Schoos generay wecome interest from oca empoyers. There are a variety of approaches you coud take, incuding visiting the schoo to te them about your business; having a stand at open days; offering work experience; supporting schoo projects. This heps the young peope appreciate what you do and improves the understanding of the job opportunities that are avaiabe now and ikey to be avaiabe in the future. Is there a ot of paperwork? Apprenticeships don t require much paperwork from the empoyer, uness you are deivering the training yoursef. Your training provider wi hep you with a the reevant documents throughout the time of the programme. What about part-time apprentices? Apprentices can be parttime but the time it takes to compete an Apprenticeship is extended proportionatey so that the tota amount of training time is not reduced. What happens at the end of the Apprenticeship? This is a great achievement by you both and shoud be ceebrated. After a year or more of training, most young peope are hungry for more and need to continue to deveop. They have the potentia to go further with your guidance and support. They can be even more productive for you. Many apprentices go on to compete higher eve Apprenticeships as there are many opportunities for progression. 9 Case study HSS Hire HSS Hire - an award-winning suppier of toos, equipment and hire reated services empoying more than 2,600 coeagues across the UK is working with earndirect to provide young peope with a rewarding career through Apprenticeships. Joe Parry, Learning & Deveopment Manager at HSS Hire said: We decided to invest in Apprenticeships as we wanted to offer opportunities to young peope and thought HSS was the perfect fit for apprentices. Our peope make our company great; we re a friendy, supportive business but our coeagues te it ike it is perfect for young peope starting out in the word of work. We knew the business woud utimatey benefit from investing time and support in the apprentices and we woud have ambitious empoyees capabe of making a positive impact. We aso knew we coud provide apprentices with an industry eading induction which woud equip them with the necessary skis, heping them deveop into successfu coeagues. In September 2012, HSS Hire decided to run a piot for apprentices aged earndirect worked with them to design their Hire Apprenticeship in customer service which woud provide the apprentices with the opportunity to experience four areas of the business. Joe said: We fet this best suited our key roes; drivers mate, saes desk, test & run and warehouse which the Hire Apprenticeship covers. We thought this was reay important, aowing the apprentices to come into our business and find their future career path. The piot proved to be hugey successfu - from the origina 2012 intake, 20 are sti with us in 16 earndirect.com/business fu time roes and our programme has since grown to incude more than 90 apprentices earning a range of different skis. From this success, we have now embedded the programme within our recruitment process aowing managers to raise an Apprenticeship vacancy when needed. The tangibe measure we use to measure the success of the programme is how many apprentices progress to fu time empoyment within HSS. That is the soe objective of our apprentice programme, getting young peope into fu time empoyment. Apprenticeship: An Apprenticeship is a way for young peope and adut earners to earn a wage whie they train in a rea job whist working towards a quaification. Apprenticeship Grant for Empoyers (AGE): The Apprenticeship Grant for Empoyers of 16 to 24 year ods (AGE 16 to 24) aims to support businesses, who woud not otherwise be in a position to do so, to recruit individuas aged 16 to 24 into empoyment though the Apprenticeship programme. Apprenticeship Training Agency (ATA): Apprenticeship Training Agencies (ATAs) support the deivery of a high quaity Apprenticeship programme with a focus on sma empoyers who wish to use the services of an ATA Nationa Careers Service Website: nationacareersservice.direct.gov.uk Phone: Federation of Sma Businesses Website: Phone: Confederation of Apprenticeship Training Agencies website: Phone: to source, arrange and host their Apprenticeships. This coud be for a number of reasons incuding them not being abe to commit to the fu framework, short term restrictions on empoyee numbers, or uncertainty about the vaue of an Apprenticeship. The ATA wi act as the apprentice s empoyer and wi pace them with a host empoyer. The host empoyer pays the ATA a fee for the apprentice s services; this fee being based on the wage agreed with the host (at east the minimum Apprentice rate) and the ATA management fee. Trainer assessor: Learners are supported throughout their journey by a trainer assessor who wi train and assess them in the workpace throughout their earning. Apprenticeship frameworks: An Apprenticeship framework is made up of a vocationa quaification, a technica certificate and functiona skis in maths, Engish and IT if necessary. Nationa Apprenticeship Service (NAS): The Nationa Apprenticeship Service is part of the Skis Funding Agency and offers advice and support to businesses, training providers and individuas at a stages of an Apprenticeship programme. Nationa Careers Service: The Nationa Careers Service provides information, advice and guidance to hep individuas make decisions on earning, training and work opportunities. Traineeships: Traineeships give year ods in Engand the opportunity to deveop workpace skis and experience, putting them in a better position to compete for an Apprenticeship or job. Training provider/ organisations: A training provider wi work with you to deveop your Apprenticeship programme and guide you through the set up process. 10 Case study - Sirona Care and Heath Sirona Care and Heath is a not-for-profit socia enterprise which provides pubicay funded community heath and adut socia care services to peope in Bath and North East Somerset and South Goucestershire and surrounding areas. They ve been working with earndirect for the past two years to bring fresh taent into the business through Apprenticeships as we as deveoping their existing staff in areas incuding heath and socia care, IT, business administration and catering. We ve heped around 4.5 miion peope get the skis they need for work and more than 75,000 organisations improve the skis of their workforce. Initiay some of the heath orientated teams were nervous about young peope being abe to undertake certain tasks but as they ve seen the apprentices deveop they ve got over that and reaised how capabe they are. As we as bringing in young peope we aso offer Apprenticeships to our existing staff to hep them grow and deveop. Apprenticeships enabe us to offer earning and deveopment opportunities that are taiored to our needs as a Company and give staff the satisfaction of having their skis and knowedge recognised and nationay accredited. Apprenticeships add to the breadth of earning and deveopment opportunities we, as an organisation are abe to offer, making us a more attractive empoyer. earndirect have been very hepfu.
