3 Downloading and running the Choic Enterprise Installer Please visit the URL below to download the installer for the latest version of Choic Enterprise. You might find it convenient to save it on your desktop so you can find it more easily. Once you have downloaded the installer, simply double-click on it to begin the installation (or update). 4 Screen 2 Enter your name and the company for which Choic Enterprise is being installed. Click Next. Screen 3 This is a confirmation screen. If any of the information is incorrect simply click Back otherwise click Next to continue. Copyright DigiPortal Software Inc., All rights reserved 4

5 Screen 4 This is the default location to where Choic Enterprise will be installed. If you wish to install Choic Enterprise in another location, click Browse and choose the desired location. 6 This is a confirmation screen letting you know that you are about to install Choic Enterprise. Click Next to proceed or Back if you need to modify your choices. Screen 6 (missing) This shows you the status and progress of the installation of Choic Enterprise. Screen 7 Screen 8 You should see two instances of Services installed successfully. 7 Screen 9 Click Finish to complete the installation of Choic Enterprise. Screen 10 Click Yes to configure Choic Enterprise. 8 Configuring the Choic Enterprise Servers This is the main Choic Enterprise Control Panel. Click the Server Setup button in the upper group box called Choic Enterprise Server. Copyright DigiPortal Software Inc., All rights reserved 8

9 General Settings This is the General Tab with the initial default settings. Normally you will not need to change anything in this dialog. POP Server Mailbox Default Path: If you wish to change the location where Choic Enterprise stores mail for users, click on the folder icon with the magnifying glass to browse for the new location. Outgoing server (SMTP) Choic Enterprise comes with a built in SMTP server for sending the identity verification messages (challenges). These settings should normally not be changed. The values in this section are not related to your corporate server. SMTP Proxy Connection The Listen on port setting indicates on which port Choic Enterprise will monitor your outgoing messages. This setting is used when the auto pre-approval option is desired. To enable automatic pre-approval, your corporate mail server must send all outgoing mail through the Choic Enterprise server on this port. Copyright DigiPortal Software Inc., All rights reserved 9

10 SMTP Settings Listen for incoming connections on port This setting should normally be 25 (the standard SMTP port) unless there are other gateways on the same machine that listen for incoming mail before Choic Enterprise. Domains for which mail is accepted: You MUST list ALL domains (everything after sign in your address) for which you are accepting mail. For example, yourdomain.com, yourdomain.net and so forth. To add a new domain, click the Add button and this dialog will appear: Type a single domain name and click OK Copyright DigiPortal Software Inc., All rights reserved 10

11 Repeat for each domain for which you accept Mail Server Address to forward mail to: You must enter the IP address of your corporate mail server so that Choic Enterprise knows to where it should send all mail. We recommend you use the internal network IP address if the Choic Enterprise server and your corporate mail server are on the same network. NOTE: The incoming mail port on your server could be bound to a specific network adapter on the computer. If so, make sure you specify the IP address associated with that adapter. Port: In general, this port MUST be set to 25 because this is the port number to which your corporate mail server normally listens unless there are other servers between your corporate mail server and Choic Enterprise that listen on different port numbers. Relay control If enabled this option allows users who are outside your corporate network to send mail through your mail server. Users MUST use some form of authentication for this function to work. This prevents the server from being used as an open relay by a spammer. You can also restrict this functionality to specified incoming IP addresses or address ranges. HTTP Settings Listen on port: Choic Enterprise includes its own web server. Users use their browsers to log in to Choic Enterprise, review their unknown senders, approve senders who register, preview their approved mail and configure their personal settings. 12 Administrators can manage global senders list, change user accounts and so on. This port number becomes part of the URL for the Choic Enterprise web interface. The default value is 8080, but it can be changed to any unused port number on that machine. In our example above, the port number is 82 so the URL to access Choic Enterprise from a web browser would be: (for regular user login) (for administrator/manager login) Path to images and css files The default is /images which means that Choic Enterprise will serve all images. If you have many users, you can offload image serving to another web server within your network. Any standard webserver such as the popular (and free) Apache server or Microsoft IIS will work. This will improve significantly the performance of Choic Enterprise. To offload image processing, copy all the images from Choic Enterprise to a folder on your webserver and then reference the location of that folder through the appropriate URL. All Choic Enterprise images are located in the folder called Templates\Images\ underneath the folder where you installed Choic Enterprise. For example, if you copy the contents of this folder to your web server s cmfiles folder for example then the path you would enter would be Options Tab: Accept messages from your domain to your domain. Normally this option should not be checked. However, if you are considering using it please review the section Advanced Configuration (page 33) before selecting this option Copyright DigiPortal Software Inc., All rights reserved 12

13 Validate Recipients in real time. This feature instructs Choic Enterprise to query your corporate mail server to verify that the intended recipient address is a valid address for your company. If it is not, Choic Enterprise will refuse the message and it will not reach your mail server. The benefit of course is that your main corporate mail server is not deluged with a lot of bogus messages. They are instead handled completely by Choic Enterprise. * Do not check this option until you have first read over the documentation contained in the section Advanced Configuration (page 33). The use of this option requires additional configuration before it can be used. Allow Honey Pot Feature. This feature is designed to confuse spammers; it gives the appearance that they are able to relay through your mail server but in reality they are not. This feature does not offer a direct benefit to you and in fact will eat up your system resources specially your bandwidth. The theory behind this feature is that if enough companies use Honey Pots, spammers will become confused because they will not know if they successfully sent their messages through your server. We don t normally recommend using this feature unless you feel strongly about doing your part to annoy spammers Advanced Tab: XML Listener, POP Server and POP Grabber sections Leave these at their default settings. 14 POP3 / SMTP Proxy Remote Access IP Control Change Access Permissions: All settings should be left at the default values unless you plan to configure Choic Enterprise and your corporate mail server to support automatic preapproval. Please refer to the Advanced Configuration section of this manual for more detailed instructions. POP3 Server and XML sections. These component are used internally by Choic Enterprise and may be used in future versions for some advanced options. They should be left at their default settings. Finally, click OK at the bottom of this screen Setup screen to save your settings. You should now be back at the main Choic Enterprise Control Panel again. Click on the Server Setup button in the lower group box called Outgoing Mail Server (SMTP) to configure the outgoing mail server settings. Copyright DigiPortal Software Inc., All rights reserved 14

15 Outgoing Mail Server Setup screen Server port = 30 This should normally be set to a value of 30 Domain Set this to your company s domain name (note this is just the domain, not a specific server within your domain) Fully qualified domain name. Set this to the full name of the server where Choic Enterprise is running. DNS servers These should already be filled in. If they are not, please enter the DNS servers for your network. Optimization The following settings should NOT be changed without guidance from DigiPortal Software. These settings are used to optimize the Choic Enterprise SMTP server for sending challenge messages. Please leave them at the values shown in the diagram above. 16 Setting up user accounts in Choic Enterprise Click on User Management to begin creating user accounts in Choic Enterprise. Click on the Add button to add a new User. Copyright DigiPortal Software Inc., All rights reserved 16

17 Type in a username for this account. This will be the username that this user will need to provide when he/she accesses Choic Enterprise. We strongly recommend that you use the same username as their existing username but without the domain portion. For example, if the complete address is then the username portion is simply xyz. The username should already present on this screen. You will need to modify the following settings: Password: We recommend that the password and username be the same as those values set by the user in their program. 18 Force user to change password on logon: This is totally up to you and typically will depend on your company policy. However, you should probably NOT check this box if you plan to allow your users to continue using their current password. Access Level: For most users, set this field to Regular User. If the user is responsible for (and authorized for) configuring Choic Enterprise in which case you will want to be Administrator. Most employees will be set up as Regular User Type one address per line: Leave this blank for now. Choic Enterprise protects only addresses that are explicitly listed here. Incoming to all other addresses is passed directly through Choic Enterprise without being filtered. This is a feature to allow you to optionally introduce Choic Enterprise to your corporation gradually rather than having to enable it for everyone immediately. For testing purposes you can send yourself an . This will let you check that Choic Enterprise is indeed running and passing s to your corporate mail server without any problems. Once you have verified that mail is passing through to your corporate mail server normally, you can come back to this dialog box and add your address so that Choic Enterprise will protect it. POP 3 addresses = This function is not used in this version of Choic Enterprise so just leave it blank. Click OK at the bottom of this screen to save your settings. 20 Starting the Choic Enterprise Server Processes Before you start the Choic Enterprise Server processes you will need to do one of the following: If you have a firewall on your network the only action required is to reroute incoming SMTP traffic (port 25) to go to the machine where Choic Enterprise is installed rather than to your corporate mail server. Please refer to your firewall documentation if you are not sure how to do this. If you do not have a firewall and Choic Enterprise is open to the world you will have to change your domain MX records to point to the machine where Choic Enterprise is installed. (However, if you don t have a firewall, we strongly encourage you to get one!) You are now ready to start both Choic Enterprise Server processes by clicking on the button for each server. With the Choic Enterprise servers now running, send yourself a test message or if possible have someone outside your network send you an and then check your program to confirm that you have received it. This test is used to verify your settings and to ensure that messages that will not be processed by Choic Enterprise continue to reach your existing corporate mail server. 22 Logging into Choic Enterprise from a web browser Bring up a web browser (Internet Explorer, Netscape, Mozilla, etc) and type in the IP address or URL of the machine where Choic Enterprise has been installed i.e. or (8080 = the default HTTP Server Port used by Choic . If you have changed this for any reasons such as a port conflict then use the port number to which you changed it.) Enter in the username and password that you created in Choic Enterprise when setting up your account under the section called: User Management. (page???) 24 To have Choic Enterprise start protecting your address: Click on the Addresses link on the left hand side of the screen. Type in your address in the field provided. Click on Add to include this address. (You MUST also enter in all aliases you own that resolve to this address). Click OK at the bottom of the screen to save your settings; you will return back to the Senders Page. Choic Enterprise will now protect the address(s) that you have entered and you should start to see messages appear in your Unknown Senders view. 26 Example outgoing challenge message These are the sequence of events that take place when someone sends you an and they are not on one of your White Lists. 28 Confirmation page The Sender will see this confirmation screen once they click on: Send My Request By default Choic Enterprise automatically approves senders who respond to a challenge. What this means is that if the sender fills out the challenge and sends it back, Choic Enterprise will do the following: Forward the original message from the sender to your corporate mail server to be delivered to the recipient. Send an to the recipient stating why the message was accepted Send a notice to the original sender of the to let them know that they have now been authorized to send messages to the recipient. 30 Entering in your Usercode and Key into Choic Enterprise The trial version of Choic Enterprise expires after a preset number of days (normally 14 days). Once your trial expires, Choic Enterprise will no longer block any messages. When you purchase Choic Enterprise, you will be sent a usercode and key that will unlock Choic Enterprise permanently for the number of users for which you bought your license. Please follow the steps below to authorize Choic Enterprise: Open the Choic Enterprise Control Panel by clicking on the shortcut on the desktop shortcut or by choosing Configure Choic Enterprise within the DigiPortal Software Applications of our Program menu. Click the About button When the About Choic Enterprise dialog appears, click on Enter License Copyright DigiPortal Software Inc., All rights reserved 30

33 Advanced Configuration How to check your MX records. Open a command prompt type: nslookup and press Enter type: set type=mx and press Enter type: your domain name and press Enter You will see your MX records displayed on the screen. Accept Messages From your Domain to Your Domain. This should only be checked if: You have multiple offices and more then one server but use the same domain name at both. You have a website that s you orders or uses a form mail script to forward comments from customers to you and the From address contains your domain name i.e. By turning on this option, you are telling Choic Enterprise to allow spoofed addresses for your domain. Spoofing is when someone makes it look like an came from one domain when it really came from another. Web hosting companies often do this when they set up an address for your on line store or web form, it s a spoofed because it looks like it is coming from your company i.e. your domain but it is actually being sent by the hosting company. If you are in this situation, we suggest that you change the From address to one belonging to the ISP that is hosting your site. Not only is this more appropriate (because THEY sent the , not you) but it will also protect you from spammers that try to send spoofed s to users in your company. Validate Recipients in real time. This feature instructs Choic Enterprise to query your mail server to verify that the intended recipient address is a valid address for your company. If it is not, Choic Enterprise will refuse the and it will not reach your mail server. IMPORTANT: This option is only available if your mail server supports recipient filtering. In the case of Microsoft Exchange, only Exchange 2003 has this capability and even then it must be configured manually. Please leave this option unchecked if you are not sure there is an alternative way to set up real time validation in Choic Enterprise. Alternative Validate Recipients in Real time Create a text file called validrecipients.txt and enter all valid addresses for your company, one per line. The list must contain ALL addresses regardless if they are protected by Choic Enterprise or not. Open the Choic Enterprise control panel Stop both servers. Save the file in the Mailboxes subfolder underneath where Choic Enterprise itself is installed. (This is typically C: \Program Files\DigiPortal Software\CM Enterprise\Mailboxes) Store the text file in the Mailboxes folder. Restart both servers. Remember that this list and the list of addresses that you have set up in your mail server MUST always match. Choic Enterprise will block all incoming to a recipient if that recipient is not on the list. Copyright DigiPortal Software Inc., All rights reserved 33

34 Automatic White Listing Automatic white listing is a feature where someone to whom you send an is approved automatically so that they are not challenged when they respond to your message. In Choic Enterprise, enabling this feature is a two-step process as you have to modify your corporate mail server settings as well. The instructions here are for Microsoft Exchange but the details apply to any corporate mail server. Step 1: Configure Choic Enterprise Open the Choic Enterprise s Control Panel Stop both servers. 35 Click on Advanced Click on Change Access Permission Select Allow specified connections and add the IP address of the machine on which Microsoft Exchange is running. Copyright DigiPortal Software Inc., All rights reserved 35

36 Alternatively, select Full remote access. However, we don t recommend this unless you really understand your security setup as you are opening up Choic Enterprise to everyone and although authentication is still required, this is generally considered to be a bad idea. Click OK all the way out and restart both Choic Enterprise servers. Step 2: Configure Microsoft Exchange: (These instructions work for either Microsoft Exchange 2000 or Please refer to your Exchange documentation as necessary) Open Microsoft Exchange System Manager. 37 Click servers -> Expand to find the machine on which Exchange is running -> Expand that to find Protocols -> Expand that to find SMTP -> Click on the SMTP folder so that the Default SMTP Virtual Server is listed in the right hand column -> Right click on it and select Properties. 38 From the Default SMTP Virtual Server Properties screen click on the Delivery Tab. Click on the Outbound Connections button at the bottom. Change the TCP port to 35 and click OK Copyright DigiPortal Software Inc., All rights reserved 38

39 Go back to the Default SMTP Virtual Server Properties screen -> Delivery Tab and click on the Advanced button. The fully qualified domain name should already be there but if it is not then you need to add it. If you control your MX records the fully qualified domain name is most likely mail.yourdomain.com but if you are getting an feed then it is probably your mail server s fully qualified name, such as name.yourdomain.com Copyright DigiPortal Software Inc., All rights reserved 39

40 If Choic Enterprise is running on the same machine as your corporate mail server then the IP address will normally be Note that this IP address must be enclosed in square brackets [ ]. If Choic Enterprise is running on a different machine than your corporate mail server, then you should specify the IP address of that machine, again enclosed in square brackets. Click OK Click OK all the way out until you are back to the Default SMTP Virtual Server. Right click on it again, but this time choose Stop. 42 Trouble Shooting Choic Enterprise Server Not Installed : If you see either this error or Outgoing Mail Server not installed, this simply means that during installation one of the servers was not installed. To rectify this please do the following: Double click on the Hard Drive where you installed Choic Enterprise. By default this will be the C: drive unless you have chosen another location. Double click on Program Files Double click on DigiPortal Software Double click on CM Enterprise Find a file called and then double click on it. You should get 2 notices that Service uninstalled successfully. You may have to click OK as each one comes up. Find a file called installsvc.cmd and double click on it. 43 You may have to click OK as each one comes up. Choic Enterprise Server Will Not Start: If clicking the Play button for Choic Enterprise server displays Start Pending and then Stopped the typical cause is a port conflict. Under Choic Enterprise Server click on Server Setup. General Tab: Change HTTP Server Connection -> Listen on Port to 81 or 85 Click OK to save your settings. 45 If clicking the Play button for Outgoing Mail Server (SMTP) displays Start Pending and then Stopped the typical cause is a port conflict. Click on your Start Menu Click on Control Panel Double click on Administrative Tools Double click on Services Find and double click on Microsoft Simple Mail Transport Protocol Right click and choose Properties. Click on STOP. Click on Start Type and choose Disabled Click on Apply and then OK Restart the Outgoing Mail Server (SMTP) Challenge Messages Are Not Being Sent Out Copyright DigiPortal Software Inc., All rights reserved 45

46 If you are able to receive mail but people are saying that they are not getting Challenges then you need to first check your Unknown Senders list. Log into Choic Enterprise via your web browser Click on the Senders link on the left hand side of the screen Click on the? icon at the top of the screen so that all of your unknown senders appear. Look at the list of unknown senders do you see this icon?: If you do, you need to check to make sure that Choic Enterprise s Outgoing Mail Server (SMTP) is Running. If Choic Enterprise s Outgoing Mail Server (SMTP) is running then the next probable cause is that Choic Enterprise can not resolve the address which means there probably is a problem with the DNS servers you have specified into Choic Enterprise. You should double check with your Internet Service Provider to make sure that you have at least one of their DNS servers listed in Choic . Open the Choic Enterprise Control Panel by either clicking on the Shortcut to it: or clicking on your Start Menu -> All Programs -> DigiPortal Software Applications - > Configure Choic Enterprise. 47 Stop the Outgoing Mail Server (SMTP) and then click on Server Setup under Outgoing Mail Server (SMTP) Double check the DNS Servers with your ISP.
