1 Connection and Printer Setup Guide For connection issues, see the following sections of this document: "Connection Requirements" on page 1 "Log on" on page 2 "Troubleshooting Your Connection" on page 4 For information on how to remove a security prompt, set up Delivery Task Manager for batch printing documents, and add a local printer, see the following sections of this document: "Removing the Security Prompt" on page 6 "Batch Printing with Delivery Task Manager" on page 8 "Firewall Settings for Delivery Task Manager" on page 9 "Network Printer Setup" on page 10 Connection Requirements To connect to and use the application, you need an internet connection and the following hardware and software: Type Requirement Hardware Microsoft OS Compatible Devices Operating System Microsoft Windows 7 Microsoft Windows 8 or Windows 8.1, but you need to enable.net 3.5. For more information, go to: Connectivity Microsoft Remote Desktop Connection (RDC) software version 7.0 or newer Microsoft.NET Framework version 3.5 or newer 1

2 Type Requirement Internet Performance Performance of your project connection is affected by two factors: 1. Bandwidth represents the capacity of the connection. The greater the capacity, the more likely that greater performance will follow. Minimum bandwidth should be at least: a. 35 kilobits per second per logged-in reviewer in a non-audio review b. 121 kilobits per second per logged-in reviewer for an audio review. 2. Latency refers to any of several kinds of delays typically incurred in network data. Low latency network connections generally experience faster performance. High latency connections generally suffer from long delays. Maximum latency should be no more than: a. 100 milliseconds or less for adequate performance b. 50 milliseconds or less for best performance Browser Microsoft Internet Explorer 8 or above Monitor 17-inch screen 1024x768 or higher resolution Dual monitors are supported Printing Standard Microsoft Windows print drivers Note: If the site maintains a firewall or proxy server, the IT department may have to open the firewall to the Kroll Ontrack IP addresses. Please contact our toll-free Tech Support center at for more information. You may need to add the connection page as a trusted site. Important: If you are using a 64-bit Operating System, the 64-bit version of Microsoft Internet Explorer must be used to single print. Log on Connecting and Exiting Kroll Ontrack will send an containing log on credentials and a URL to the connection page. Both of these are provided to you by an administrator of your review or a Kroll Ontrack specialist. These credentials allow you to access any project databases you are assigned within your organization. 2

3 To connect to the application 1. Review the System Requirements and ensure that your system complies with them. 2. Connect to the following URL using Microsoft Internet Explorer: 3. Login using your provided credentials. Tip: You are prompted to change your password the first time you connect. The default password settings require you to enter a complex password and to change your password every 90 days. Administrators: if you want to change this timing, contact our toll-free Tech Support center at Note: We suggest you do not use the 'remember my password' feature in Microsoft Internet Explorer. 4. Select the End User License Agreement acceptance box, and then click Connect. 5. If prompted to install the Microsoft Remote Desktop ActiveX Control do one of the following: Click the Install button. Click the information bar at the top of the browser window and select Install ActiveX. 6. In the RemoteApp window, click Connect. Tip: Check with your internal IT staff to see if they can make the Remote Desktop Protocol (RDP) a trusted file publisher so that you can bypass this step of the login process. 7. Select or enter the project database you want to connect to and click Go or Connect. 8. If you have access to more than one user group, select the User Group you would like to connect to and click Logon. Note: To connect using multilingual characters, use the Microsoft Input Method Editor that appears at the top of the window. To switch to a different project database 1. Exit the application. 2. In the project database selection screen, select the project database you want to access and click Go. 3. If you have access to more than one user group, select the Project you would like to connect to and click Logon. To exit the application 1. Complete one of the following: On the File menu, click Exit. Press Ctrl + Q. Click the X in the upper-right corner. 3

4 2. If you are assigned to multiple project databases, click Exit in the project database selection screen. Installing Remote Desktop ActiveX Control The first time you connect, you may be asked to install a small file called the Microsoft Remote Desktop ActiveX Control, if you do not already have it installed. The ActiveX Control enables you to run the application inside Internet Explorer Web browser. This secure connection procedure prevents anyone other than you from accessing your data. Note: Some firewall settings may prevent the Remote Desktop ActiveX Control from running. If you have trouble installing this control, contact your Administrator. Administrators, contact your firm's IS department or contact our toll-free Tech Support center at Changing a Password You only need one password to log on to all project databases you are assigned to within the organization. Passwords can be changed from the File tab or the Reviewer Properties dialog box of your profile. If you forget your password, contact an administrator and request a password change. When changing passwords, the new password must meet the complexity criteria as defined in the application. To view the criteria, while in the Change Password dialog box, click complexity criteria. Note: You are prompted to change your password the first time you log on. For security reasons, you are prompted to change your password every 90 days. To change your password 1. Click the File tab and select Change Password. 2. Enter the current password in the Old Password field. 3. Enter the new password in both the New Password and Confirm New Password fields and click OK. To change a password for another reviewer Note: The "Manage Reviewers" permission is required to change another reviewer's password. The "Admin" group has this permission. 1. Right-click the Reviewer's Name and click Edit Reviewer to open the Reviewer Properties dialog box. 2. On the Organization tab, click Change Password. 3. Enter the new password in both the New Password and Confirm New Password fields and click OK. Troubleshooting Your Connection If you are having trouble connecting to try the troubleshooting resolutions below. If you are still unable to connect or print, please contact your Case Manager or call our toll-free technical support center at

5 Initial Troubleshooting If you are unable to connect, try the following: Press F5 to refresh your session. Verify you entered the correct credentials. Retry at a later time. You may be experiencing Internet congestion or other technical difficulties. Verify with your administrator that your reviewer account is not disabled and your project database access has not been locked. Additional Troubleshooting If you are still unable to connect, try the following: Problem The message "Windows has blocked this software because it cannot verify the publisher" might appear when the is not added as a trusted site. One or more pop-up blockers installed on your browser, which is preventing the installation of the Microsoft ActiveX plug-in. This plug-in is required to access the application. A blank white screen appears when you try to connect. You are logged on as the first user name you entered, regardless of the credentials you enter in subsequent connections. Add this site as a trusted site. Solution For more information about adding trusted sites, see the following Microsoft support article: To disable Internet Explorer s pop-up blocker, click Tools > Internet Options > Privacy tab, then clear Turn on Pop-up Blocker. If you have other pop-up blockers installed, you should temporarily disable them, as well. After you do this reload the logon page and click the information bar at the top of the browser window and select Install ActiveX. Your firewall is blocking traffic. Your IT department needs to configure the firewall to allow outbound traffic through port 3389 from IP address You have logged on to more than one instance of the application on the same computer. Log out of the application for all instances and log on again. 5

6 Certificate Error Problem Solution In order to be able to connect to Entrust s certificate revocation lists, you need to have a FQDN based firewall rule to allow access to the following URLs: crl.entrust.net crl2.entrust.net cdn.entrust.net.c.footprint.net ocsp.entrust.net Delivery Task Manager (DTM) Print Issues If you are having issues using DTM, try the following: Entrust uses dynamic global load balancing for their CRLs, so there is not a set range of IP addresses to approve. For more information, see the following article: Problem You do not meet the minimum system requirements to use DTM. Your firewall is blocking traffic. Solution Review the "Batch Printing with Delivery Task Manager" on page 8 to be sure your system meets these requirements. Your IT department will need to configure the firewall to allow inbound traffic through port 443 from IP address For more information about firewall settings required to use DTM, see the "Firewall Settings for Delivery Task Manager" on page 9 section in this document. Removing the Security Prompt When connecting, an additional security prompt appears with the following notification: "A website wants to run a RemoteApp program. Make sure that you trust the publisher before you connect to run the program." This prompt appears each time you establish a connection. To prevent the security prompt from appearing Note: This procedure only works for computers running the Windows 7, Windows 8, or Windows 8.1 operating system. You must repeat this procedure for each computer that will access the application. 6

7 1. Copy the certificate thumbprint by completing the following: a. Enter your Logon Name, Password, and click Connect, the RemoteApp dialog box appears. b. Click the link in the Publisher section of the dialog box. c. Select the Details tab in the Certificate window. d. Select Thumbprint from the list. e. Copy the Thumbprint certificate number. If there is a space before the number, do not copy the initial blank space. f. Close the Certificate window, cancel the dialog box, and close the browser to exit the logon process. 2. Set the Group Policy Object to Local Computer by completing the following: a. Click Start from the Microsoft Windows desktop b. Type MMC in the Search programs and files box and press Enter to open the Microsoft Management Console (MMC). c. Select File and then Add/Remove Snap-in... in the console window. d. Select Group Policy Object from the list and click Add >. The Select Group Policy Object pane opens. e. Verify the Group Policy Object field is set to Local Computer and then click Finish. 3. Paste the thumbprint into the Comma separated list of SHA1 trusted certificates thumbprints by completing the following: a. Verify the Local Computer Policy snap-in appears in the Selected snap-ins list and click OK. b. In the right pane of the Console window, expand Local Computer Policy, > Computer Configuration, >Administrative Templates, >Windows Components, >Remote Desktop Services, > Remote Desktop Connection Client. c. Double-click Specify SHA1 thumbprints of certificates representing trusted.rdp publishers. A new window of the same name opens. d. Select Enabled. e. Paste the thumbprint you copied in the previous procedure into the Commaseparated list of SHA1 trusted certificates thumbprints: field. Ensure there is no space before the thumbprint's first character. f. Click OK. 4. Exit the Console window and select No when asked if you want to save. 5. Open a new browser window and connect to the application. The extra dialog box should not appear. If this procedure does not resolve the issue, please contact your Case Manager or call our tollfree technical support center at

8 Batch Printing with Delivery Task Manager The Delivery Task Manager (DTM) is a program that needs to be installed to download documents to your computer or to do batch printing. Note: The image format of documents is needed to print. DTM requires the same minimum system requirements as the main application. For more information, see "Connection Requirements" on page 1. Note: DTM continues to function after your browser session is closed. Before You Begin Before you install and use DTM, you will need the following: Administrative rights to your computer to install the DTM. If you need assistance, please talk to your system administrator. Access through the firewall. If necessary, have your systems administrator verify the settings in "Firewall Settings for Delivery Task Manager" on page 9. If you have a previous version of DTM installed, you need to uninstall it. For information about how to uninstall a program, see the following links: Windows 8: o Windows 7: o Note: For best results, be sure to add as a trusted site. To install the DTM 1. If you are currently logged on to the application, exit and return to the connection page in Internet Explorer. 2. On the Connect screen, click the Install Delivery Task Manager link. 3. Install DTM by completing the following: a. On the Delivery Task Manager screen, click the Delivery Task Manager link. b. In the File Download - Security Warning dialog box, click Run to run the installation file, or click Save to save the file to your computer and then run it. c. In the Internet Explorer - Security Warning dialog box, click Run. The Delivery Task Manager Setup Wizard appears. Note: If a security pop-up appears, it is likely because you have the Microsoft SmartScreen Filter enabled. For more information about Microsoft SmartScreen, see You can either disable Microsoft SmartScreen and retry the install or you can click Run Anyway to continue installing DTM. 8

9 d. Click Install. The system detects your operating system before proceeding. e. When the button becomes available, click Next. f. On the Select Installation Folder page, specify where you want to install DTM. You can accept the default path, type a new path, or use the Browse button to find an existing folder. g. Under Install Delivery Task Manager for yourself, or for anyone who uses this computer, select one of the following options and click Next: o o Everyone: By default, everyone who logs on to this computer can use DTM. If DTM has been installed by an Administrator account, you need to open DTM with your user account (from the Start menu) to complete the installation process. Just me: If this option is selected, web page detects that DTM has been installed on any computer account, but you are the only one who can use DTM on this computer. 4. On the Confirm Installation page, click Next. The Installing Delivery Task Manager dialog box shows the progress of the installation. If necessary, click Cancel to stop the installation. 5. When the installation finishes, the wizard indicates that DTM has been successfully installed. Click Close. 6. Close and reopen your browser. Firewall Settings for Delivery Task Manager The following settings allow any or only the specified computers outbound access to the IP address and Web address specified in the table. The following table lists the settings required for the firewall to allow access to Delivery Task Manager: Option Rule Source Setting Create a rule above the Drop All or Drop SSL rule Enter either the IP addresses for the computers needing access to DTM or you can select Any. Port 443 Destination URL Microsoft Internet Explorer Settings A Web address exception must be set on each individual computer needing access to DTM. To add an exception to Microsoft Internet Explorer's Exceptions list 1. On the Tools menu in Microsoft Internet Explorer, click Internet Options. 2. Select the Connections tab and click LAN Settings. 3. Select Use a proxy server for your LAN and click Advanced. 9

Network Printer Setup Most printers are detected automatically, but if the printer you would like to use is not in the list complete the following process. Note: The image format of documents is needed to print. To make a network printer appear as a local printer to your computer Note: If you have a printer directly connected to your computer you should be able to print to that printer without any additional set up. This procedure is intended to allow your computer to recognize a network connected printer as a locally attached printer. 1. Click the Start button from the Microsoft Windows desktop. 2. Type cmd in the Search programs and files field and press Enter. 3. Obtain the UNC name for your network printer from your network administrator. It will look like: \\server\printer name. 4. Enter the following command replacing your UNC printer name and including the double quotes: net use lpt1 \\server\printer name /persistent:yes. The message Command Completed Successfully appears. Note: If you have not logged into the domain where the server resides, you need to enter: net use lpt1 \\server\printer name <password>/user:<domain>\<username>/persistent:yes. 5. Open a document and print a test page to make sure the network printer has been set up correctly. 6. Enter Exit and press Enter to close the command window. Note: You need to perform the setup instructions individually for each computer. You do not have to repeat the setup after the computer is shutdown. Legal Notice Copyright. All Rights Reserved.
