Key Responsibilities/Main Duties The position of Administrative Assistant (scale 2) will work within a busy administration team fulfilling a variety of tasks commensurate with the role. Key Responsibilities Specific Tasks Operation of a particular administrative function or functions. Dealing with enquires both internal and external, conveying complex information. Operation and maintenance of specific College equipment used in the day to day execution of set tasks. Initially the role will involve working within the Personnel team. (See task sheet.) The exact nature of the role will vary within the levels of responsibility detailed above. The specific tasks associated with the role will vary annually and be set in conjunction with the Support Services Manager. Skills, Knowledge and Experience Performance The role requires some previous experience in an administrative role. Knowledge of administrative processes and systems.. The role requires a level 2 qualification in English. Completion of specific tasks and efficient administration of agreed functions to required deadlines and to agreed standards. Salary: In accordance with Sixth Form Colleges Support Staff pay spine, starting at point 15, 15,625 per annum (actual: 12,931 per annum) rising to point 17, 16,368 per annum (actual: 13,546 per annum). TASK SPECIFICATION 1. Assisting the Personnel Manager and Personnel and Payroll Administrator with administrative tasks relating to the recruitment, employment and termination of employment of all employees of the College as per all College employment and recruitment policies and procedures. 2. To maintain and update the Personnel database of accurate and up to date staff details and employment records in a timely manner. Ensuring compliance with the Data Protection Act, checking that Personnel information is up to date and that staff are aware of the data which is held on them and for what purpose in accordance with College Data Protection Policy. 3. Maintaining the recruitment database of candidate and equality information, inputting new details and updating during and on completion of the selection process. 4. Ensuring recruitment literature/packs are kept up to date, in liaison with Personnel Manager, Heads of Departments and Assistant Principals. 5. To liaise with prospective applicants, interviewees and referees. 6. To ensure appropriate recruitment checks are conducted (i.e. qualifications, DBS, medical). 7. To ensure that each member of staff is provided with a pigeon hole in the staff room. 8. Ensuring sufficient supplies of personnel forms, ensuring staff room supplies are replenished on a regular basis. 9. To record daily absences on the personnel database. 10. To undertake filing and scanning of HR documents. 11. To ensure that photocopying and printing are undertaken as required. 12. Attendance at departmental meetings.
