The post is based on our site at The Park, Cheltenham. The post holder is employed by the University of Gloucestershire but works directly and solely for the EAUC. The post holder may be based at any premises the EAUC occupies and may be required to work at any site or any other reasonable location where the EAUC is undertaking its business. Some UK travel will be required. Central Services Manager EAUC is looking to appoint a part time Finance Officer to administer the office accounts. This post is central to the efficient operation of the EAUC. You will work in close contact with the Central Services Manager and the Administration Officer. We are a small UK charity working with universities and colleges to promote sustainable practices through both academic and estates management. We have a team of 8 based at the University of Gloucestershire, Park Campus with an additional office based in Scotland. Primarily the post holder will be responsible for processing all purchases, invoices and received monies as well as bank reconciliations, budget monitoring and reporting. The appointee will take on a wide range of challenging activities drawing on a range of skills and provide essential drive and support to the Association, its employees and Trustees. The Environmental Association for Universities and Colleges is the leading sustainable development organisation for further and higher education in the UK. We are a member lead organisation with approximately 270 university and college members. Established 14 years ago and a registered charitable company since 2004, we are an independent organisation, with our headquarters based in Cheltenham and a regional office in Scotland. With the sustainability agenda rising up the government, funding council and sector agenda, EAUC members have endorsed an ambitious Strategic Plan which will significantly increase Association products, services and professionalism. This role will be key to supporting staff and Trustees in delivering the Strategic Plan.
The role of the EAUC is to support and meet the needs of our members. We run training events, an annual conference, produce newsletters and manage an active email discussion network. Increasingly we have established externally funded projects with partner agencies and support and work with many partners on their projects. With an expanding membership both in numbers and diversity of disciplines, the EAUC is committed to improving its services and products and finding new ways to inform, guide, train and support these professionals. In addition it will work with sector strategic partners to push sustainable development higher up the Further and Higher Education agenda. Oversee and administer the day-to-day finances of the office, ensuring policies, procedures, and systems are complied with. 2. Entering all transactions on our accounting software, Sage 3. Processing all invoices, payments and receipts, including cheques, BACS and internet (World Pay) payments 4. Banking of all cheques and cash 5. Processing debtors, including chasing bad debts 6. Processing bank reconciliations 7. Processing internet payment (World Pay) reconciliations 8. Processing expense claim forms 9. Processing credit card reconciliations 10. Preparing monthly reports, including cash flow, debtors and budget monitoring 11. Processing Grant claims and receipts 12. Preparing monthly income and expenditure reports on Project budgets and monitoring 13. Preparing VAT returns 14. Dealing with any financial queries 15. Assistance with the annual audit, budget setting and forecasts
Maintaining all financial records and data accurately and within agreed procedures. Secondary Functions 1. Performs miscellaneous job-related duties as assigned. 2. To undertake any other duties and responsibilities, commensurate with the grade of the post, properly directed by the line manager. These variations will not change the general character of the post or the level of responsibility entailed. 3. Actively contribute to all mechanisms of Association communication including web site and newsletters 4. To provide cover for other staff during holidays This job description is a guide to the work the post holder will initially be required to undertake. It may be changed from time to time to meet changing circumstances by mutual agreement. It is expected that the job description will be reviewed regularly by the post holder and his/her manager. These discussions will normally take place during the Staff Development Review interview.
