1 Human Resources Job Description SF08145 Post Title: Executive Education Administrator (Maternity Cover) Grade: Grade 5 Faculty/Department: Reports to: Responsible for: ICMA Centre Dr Michael Smith N/A Purpose To provide exceptional administrative support and assistance related to the provision of ICMA Executive Education ensuring the general smooth running of all activities to a highly professional standard. To ensure that delegates receive an efficient and professional customer focused service, and to facilitate effective day-to-day communication between all parties involved. Main duties and responsibilities Working closely alongside other ICMA Centre administrative staff and staff at ICMA Head Office in Zurich and ICMA Ltd in London, you will be responsible for a multitude of duties including: - Responsible for the co-ordination of efficient systems to administer courses, examinations, feedback and other quality control mechanisms for all Executive Education programmes provided by ICMA. In collaboration with professional trainers, be responsible for producing and distributing high quality module materials for executive education programmes, including contacting candidates with instructions for accessing electronic materials and provide administrative support in advance of attendance on courses. Responsible for ordering and delivering collateral needed for individual candidates and course venues around the world as required, to include management of the logistical arrangements and communication with candidates, venues and course tutors Managing all course registrations and course codes via the EEDRS system Producing and processing invoices to candidates and where rewuired issuing appropriate discounts Producing monthly accounts and financial reports for submission to ICMA Producing and distributing certificates in collaboration with ICMA. Editorial amends to presentations and marketing materials Sourcing global venues for Executive Education programmes and regular liaison with these external providers to arrange accommodation and examinations. 2 Responsible for the co-ordination and payment of travel bookings for professional trainers and ICMA Executive Education staff. Ensuring all bookings adhere to the university s travel and expenses policy. Responsible for the payment production of external suppliers using both the university s financial system Agresso and through the management of a purchase card. Ensuring these systems are collated and reconciled on a regular basis. Manage the examination processes at a number of global venues to ensure that all examinations processes are run effectively and to the required standards Production of course evaluations, collation of results and provision of feedback to the course tutors. Advise ICMA of any subsequent improvements as a result of the evaluations Provide regular and professional communication with candidates and ensure that staff at ICMA are also kept informed To attend, contribute and take minutes at management meetings as required Ensuring that all records, both in paper and electronic database format, are maintained accurately and timely and have responsibility for maintaining archive records. Responsible for maintenance of ICMA Executive Education pages on the ICMA Centre website. Maintain accurate course content and respond to candidate queries and through online learning platforms. Liaising with various offices across Henley Business School and the University of Reading to ensure adherence to all administrative and financial procedures and policies. Maintain good working relationships with all external contractors, corporate customers and partnership organisations. To produce regular reports on executive education programmes Any additional general office duties as required by ICMA Centre.
