Abut DcAve fr Salesfrce DcAve fr Salesfrce has three mdules: Data Prtectin, Data Replicatr, and Cntent Replicatr. Data Prtectin prtects yur Salesfrce data by backing up and restring yur Salesfrce data. Data Replicatr replicates data frm Salesfrce t SharePint, r between Salesfrce and SharePint. This mdule preserves Salesfrce strage space and enables the Salesfrce data t be accessed thrugh SharePint. Cntent Replicatr replicates the data in SharePint t a Wrkspace in Salesfrce. This mdule replicates the SharePint data t Salesfrce in real-time and supprts user mapping, cntent type mapping, tag mapping, and filtering t replicate yur desired SharePint data t Salesfrce. Befre Yu Begin Befre installing DcAve fr Salesfrce in yur envirnment, ensure that yur system and user permissins meet the minimum requirements listed belw. System Hardware and Operating System Requirements The system requirements are as fllws:.net Framewrk v2.0 r higher *Nte:.Net Framewrk 4.5 r abve is required if yu are: Using registered SharePint Online site cllectins. Installing DcAve fr Salesfrce n a server that des nt have SharePint installed n it. Windws Server 2003/2008/2008R2, XP, Vista, etc. At least 1 GHz CPU with 1.5 GB RAM 1 GB free space n yur lcal system hard drive fr backups Internet access SharePint Requirements The SharePint requirements are as fllws: T use Data Replicatr and/r Cntent Replicatr, DcAve fr Salesfrce must be installed n a SharePint server. *Nte: T use Data Replicatr and/r Cntent Replicatr with a SharePint Online farm nly, DcAve fr Salesfrce can be installed n a server with SharePint 2013 On-Premises installed, r n a server that is nt using SharePint. T use all three cmpnents (Data Prtectin, Data Replicatr and Cntent Replicatr), DcAve fr Salesfrce must be installed n a SharePint server. T use Data Prtectin nly, DcAve fr Salesfrce can be installed n any server, even ne that is nt using SharePint. Instead, install DcAve fr Salesfrce n a SharePint 2013 On-Premises envirnment, r a server withut SharePint On-Premises installed. Fllw the steps belw t install DcAve fr Salesfrce. 1. Access the server where yu will install DcAve fr Salesfrce. DcAve fr Salesfrce User Guide 7
2. Dwnlad the DcAve_fr_Salesfrce.ZIP file by either requesting a dem frm http://www.avepint.cm/dwnlad/ r by cntacting an AvePint representative fr links t this package. 3. Unzip this package n the server where yu wish t install this tl. 4. Run the Setup.exe file fund in the unzipped directry. *Nte: When yu run the Setup.exe file, the prcess checks yur SharePint farm infrmatin. If the Wizard cannt lad yur farm infrmatin, the DcAve fr Salesfrce slutin will nt deply prperly. After a SharePint instance becmes available, yu must deply the slutin manually n the Cntent Replicatr Settings interface under the Cntrl Panel tab. 5. Fllw the instructins n the Wizard t cnfigure this tl. Yu will be asked fr yur name, cmpany infrmatin, and an installatin directry. Yu can apply yur sftware license while installing the tl, r apply it later frm the DcAve fr Salesfrce Cntrl Panel. 6. After the installer cmplete, a screen indicates that all DcAve fr Salesfrce services have been installed. Cngratulatins! DcAve fr Salesfrce is nw installed n yur SharePint and Salesfrce envirnments. Salesfrce Checklist Befre using DcAve fr Salesfrce, ensure that the fllwing are in place: Ensure Yu Have a Salesfrce Accunt T lg int DcAve fr Salesfrce, yu must enter yur Salesfrce username, passwrd, and the security tken. If necessary, yu can change yur DcAve fr Salesfrce accunt infrmatin in the User Settings page under the Cntrl Panel tab after yu lg in. Fr mre infrmatin n hw t change this infrmatin, refer t the User Settings sectin f this guide. Apply a License Yu cannt use Data Prtectin, Data Replicatr, r Cntent Replicatr until yu have applied the applicable licenses. Fr mre infrmatin n hw t apply a license, refer t the License Manager sectin f this user guide. Install SharePint On-Premise r Register SharePint Online Site Cllectins If yu want t use Data Prtectin nly, ignre this sectin. Data Prtectin Data Prtectin prtects yur Salesfrce data by backing up and restring the Salesfrce data. Click Data Prtectin t g t the Data Prtectin main page. Perfrming a Backup Refer t this sectin fr infrmatin n setting up a basic backup plan and then perfrming a backup f yur Salesfrce data using DcAve fr Salesfrce. 1. In the Data Prtectin main page, click Backup t set up a backup jb. 2. Select the Salesfrce bjects yu wish t include in the backup. By default, all bjects are selected (yu can deselect all bjects by deselecting the checkbx next t Table Name). If yu want t view the number f recrds fr each Salesfrce bject, select the Shw the recrds number in every bject checkbx. Once they have laded, the number f recrds will be listed in the Recrds Number clumn. 3. Click Next t use the Data Range feature and t set the backup type and schedule ptins. 4. If yu d nt plan n using a schedule r wish t perfrm a backup immediately, click Run Nw. This prmpts yu with a pp-up windw where yu can specify a Data Range (see the Data Range descriptin belw) and then click Run Nw again t initiate a ne-time full back up. 5. If yu wish t set up yur back-up jbs t run n a schedule r with a selected Data Range, cnfigure the Schedule Settings. Data Range If deselected, a backup jb will cntain all the data specified by the backup type. If Data Range is selected, a backup jb will cntain nly the data whse last mdified time is in the specified time frame accrding t the ptins cnfigured: Backup data fr the past hur, day, r mnth Backs up data frm tday t the previus pint in time specified. Backup data frm Specify a range between tw dates by clicking the calendar icns t specify time frame frm where the backup data can be gathered. 6. Cnfigure any r each f the backup types: Full, Incremental, r Differential. Full Backs up all Salesfrce recrds selected in the previus screen. Incremental Backs up nly the recrds added r mdified since the last backup jb, regardless f the backup type. Differential Backs up all recrds that have been added r mdified since the last Full backup was run. Using the calendar icn next t each backup type, yu can cnfigure the schedule fr each individual type f backup jb. A schedule is nt required t run a backup, but if yu wish t set up a schedule, fllw the steps belw: 10 DcAve fr Salesfrce User Guide
a. Deselect N Schedule. b. Use the Calendar icn ( ) t set a Start Time fr this jb. c. Use the Interval ptins t make this a recurring jb r have it run nly nce. Select Only Once frm the drp-dwn list t run this jb nly nce. Select Minute, Hur, Day, r Week frm the drp-dwn list, then specify a psitive number in the Interval text bx t run this jb by the interval f the specified minutes, hurs, days, r weeks. Select Mnth frm the drp-dwn list, then specify ne r mre mnths by selecting the crrespnding checkbxes. Then, DcAve fr Salesfrce runs this jb at the specified mnth. Fr best results, we recmmend running a Full backup jb mnthly with a weekly Incremental backup. *Nte: If this is yur first backup, we recmmend scheduling a Full backup. 7. If yu wish t send a ntificatin e-mail abut the jb, fllw the steps belw t cnfigure the ntificatin settings: a. Select Yes in Jb Ntificatin Via E-mail. b. Enter the e-mail recipients in the Recipient(s) text bx. Multiple recipients can be added t the Recipient(s) text bx, separated by a semicln ;. c. Select a ntificatin level. The Failed Jbs, Successful Jbs, and Any Jbs ptins are available. By default, all the ntificatin levels are selected. 8. Click Finish t cmplete the cnfiguratin. If yu have set a schedule, yu can wait until the scheduled time when the backup will initiate autmatically. Viewing the Prgress f a Backup After a backup has been initiated, yu can view its prgress frm Jb Mnitr. 1. Begin by pening Jb Mnitr. 2. Frm the Type: drp-dwn menu, select Data Prtectin/ Backup and brwse thrugh the table. This will display the current status and results f all backup jbs. 3. If desired, click the blue arrw at the tp right f the table t dwnlad any selected reprts. Changing Backup Settings If yu have already set up a backup plan, yu can als update the settings (the cntent backed up r schedules) by fllwing the steps belw: 1. In Data Prtectin, click Backup. 2. If a backup jb was previusly run, the backup infrmatin will be listed in Backup status. Yu can run the backup jb immediately by clicking Backup Nw, r click Change backup settings t change the cnfiguratin. 3. Yu can als select r deselect the Turn n the schedule checkbx t enable r disable the schedule settings. This checkbx is selected by default. 12 DcAve fr Salesfrce User Guide
Restring Backup Data Restring r recvering data is a very quick and simple prcess using DcAve fr Salesfrce. DcAve fr Salesfrce has the flexibility t restre data bth t its riginal accunt within Salesfrce r t any ther Salesfrce accunt. 1. Begin by pening Data Prtectin. Click Restre. 2. Select the backup jb yu want t restre, and click Next. 3. Select the cntent yu wish t restre. Mre detailed infrmatin f what is cntained in the item will be listed n the right-hand side. 4. Yu can als select the Include related list items ptin, which ensures that if a recrd has dependent bjects, the dependent bjects will als be restred with the recrd. Fr example, if yu select an accunt t restre, and there is a dependent cntact fr this accunt, it will restre bth the accunt and the crrespnding cntact; if yu d nt select this ptin, Data Prtectin restres nly the accunt. 5. Click Next t cnfigure the Restre Settings. Chse a Restre Optin. Nt Overwrite is selected by default, which will nt replace the existing cntent in the destinatin. Overwrite will replace any item that already exists in the restre destinatin with the same ID. Chse t either run the restratin nw by selecting Run Nw r t set a restre time fr this restre jb, select At a specified time and click the calendar icn t specify when t run the restre jb. Select Finish. This will restre the data selected t its backed up lcatin and state. Out f Place Restre If yu wish t restre backup data t a different Salesfrce accunt, perfrm the fllwing steps: 1. Lg int DcAve fr Salesfrce with a different user accunt. 2. Open Data Prtectin and click Restre t set up an ut f place restre jb. 3. Select the backup jb which was backed up by the accunt yu wish t restre data frm, and then click Next. 4. Select the recrds yu wish t restre. Mre detailed infrmatin f the recrds will be listed in the table n the right-hand side. Yu can als select the Include related list items ptin, which ensures that if a recrd has dependent bjects, the dependent bjects will als be restred with the recrd. Fr example, if yu select an accunt t restre and there is a dependent cntact fr this accunt, it will restre bth the accunt and the crrespnding cntact; if yu d nt select this ptin, nly the accunt is restred. 5. Yu can click Apply a Filter t filter the items and nly restre the items that meet the rules. T apply a filter, refer t the fllwing steps: a. Select the recrds yu wish t filter in the table. b. Click Apply a Filter. c. Select the cnditin in the drp-dwn list; its type is displayed in the Type field. d. Select the peratr in the drp-dwn list and enter the value in the Value field. e. If yu want t set multiple rules, click Add icn t set ther rules and select And r Or t cnnect them. f. Click OK t save the cnfiguratin, and the filter result will be displayed in the right windw. 6. Click Next t cnfigure Restre Settings. Chse a Restre Optin. Nt Overwrite is selected by default, which will nt replace existing cntent in the destinatin. Overwrite will replace any item that already exists in the restre destinatin with the same ID. Chse t either run the restratin nw by selecting Run Nw r t set a restre time fr this restre jb, select At a specified time and click the calendar icn t specify when t run the restre jb. 7. If yu wish t send a ntificatin e-mail abut the jb, fllw the steps belw t cnfigure the ntificatin: a. Select Yes in Jb Ntificatin Via E-mail. b. Data Replicatr This sectin explains hw t replicate Salesfrce data t yur SharePint envirnment using DcAve Data Replicatr fr SharePint. Befre replicating any data, yu must create a data replicatr mapping plan by fllwing the steps belw. Building a Data Replicatr Plan Refer t the sectins belw t build a Data Replicatr plan. Chsing Cntent Replicatin plans rely n cntent mapping, which creates replicatin pairs between bjects in Salesfrce and SharePint. 1. Click Add next t the Mapping table. A pp-up windw appears. 2. In the left-hand clumn, click the icn next t Salesfrce t list the Salesfrce bjects. Select the bjects and recrds yu wish t map frm Salesfrce t SharePint. 3. Abve the right-hand clumn, enter the SharePint Site URL, and click the arrw ( ) t lad the cntent under this specified site. If yu leave the SharePint Site URL blank, it will lad all SharePint sites after clicking the arrw ( ). Click the icn t expand the tree, and then select the lcatin (the site r the list) where yu want t save the cntent. 4. Click OK t save the Replicatin Mapping Settings. A pp-up windw appears. 5. Select a mapping type. One Way Replicates the data frm Salesfrce t SharePint. Tw Way Replicates the data between SharePint and Salesfrce. The data in Salesfrce will be replicated t SharePint, and the data in SharePint will be replicated t Salesfrce. 6. Select the Replicate with attachments checkbx t replicate the attachments when the jb runs. Otherwise, they will nt be replicated. 7. Click OK t save the Replicatr Settings. Editing a Mapping Once a mapping has been created, yu can edit the replicatin ptins by clicking Edit, view the cntents, r chse whether it is Enabled by selecting the crrespnding checkbx. Running the Plan If yu wish t run yur replicatin n a set schedule, see the Schedule Optins sectin belw. If yu d nt plan n using a schedule and wish t perfrm a replicatin immediately, click a mapping and then click Run Nw at the bttm f the screen. Click OK t run the plan. *Nte: When yu click Run Nw, a black DOS pp-up windw appears fr a split secnd, and then disappears. Advanced Settings In rder t cnfigure advanced ptins fr a Replicatin mapping, highlight the plan and click Advanced. Yu can then edit the settings fr Schedule, Cnflict Optins, User Mapping, and List Mapping. Schedule Optins If yu wish t schedule fr each replicatin type fllw the steps belw: 1. Select the replicatin type by clicking the crrespnding tab t either replicate all cntent (Full) r nly the changes made since any previus replicatin (Incremental). 2. Deselect N Schedule r N incremental schedule t enable the schedule and activate the ptins belw. a. Set a Start Time fr this replicatin mapping by clicking the calendar icn. b. Use the Interval ptins t make this a recurring jb r have it run nly nce. Select Only Once frm the drp-dwn list t run this jb nly nce. Select Minute, Hur, Day, r Week frm the drp-dwn list, then specify a psitive number in the Interval text bx t run this jb by the interval f the specified minutes, hurs, days, r weeks. Select Mnth frm the drp-dwn list, then specify ne r mre mnths by selecting the crrespnding checkbxes. Then, DcAve fr Salesfrce runs this jb at the specified mnth. 3. Yu can select the Replicate Deletins ptin in incremental schedule t synchrnize the surce deletins t the destinatin. 4. Click Apply t save and apply the settings. Cnflict Optins Yu can set up the Cnflict rules t cnfigure hw DcAve fr Salesfrce reslves cnflicts between SharePint and Salesfrce. 1. Set the pririty number fr the cnflict reslutin rules by changing the number frm the drpdwn list. 16 DcAve fr Salesfrce User Guide
2. Select the cnflict actin t be perfrmed nce the pririty has been established by selecting the crrespnding radi buttn. There are three ptins available: Skip, Overwrite, and Manual Cnflict Reslutin. Skip Dcuments with the same name r items with the same ID in the surce and destinatin will nt be replicated. Overwrite Dcuments with the same name r items with the same ID will be verwritten accrding t the pririty set abve. Manual Cnflict Reslutin in SharePint Creates a new flder named ReplicatinCnflicts and then backs up the cnflicted files int this flder. The file in the surce will replace the riginal file. Only files which were upladed t Salesfrce manually can be saved in the new flder. *Nte: the new flder will be created nly if dcument is replicated and the cnflict file f SharePint was upladed t SharePint side previusly. *Nte: These three actins can all be taken n in SharePint, but Salesfrce can nly perfrm the Skip and Overwrite actins, it has n impact n Salesfrce if yu select Manual Cnflict Reslutin. 3. Click Apply t save and apply the settings. Refer t the fllwing table fr the detailed infrmatin. Cnflict Reslutin Rules Skip Overwrite Overwrite & Manual Cnflict Reslutin in SharePint[Overwrite and save lser] Surce always wins Cnflict recrd is ignred and lgged. Destinatin recrd is verwritten with surce recrd. Destinatin recrd is verwritten with surce recrd, and a cpy is saved in SharePint side under separate flder. Target always wins Cnflict recrd is ignred and lgged. One Way Cnflict recrd is ignred. Tw Way Surce recrd is verwritten with destinatin recrd. One Way Cnflict recrd is ignred. Tw Way Surce recrd is verwritten with destinatin recrd. Recrd with latest mdificatin time wins Cnflict recrd is ignred and lgged. Latest recrd verwrites the lder recrd. Latest recrd verwrites the lder recrd. If the recrd n the SharePint side is verwritten, a cpy f the lder recrd is saved in a separate flder n the SharePint side. DcAve fr Salesfrce User Guide 17
User Mappings Use DcAve fr Salesfrce t create custm replicatin mappings fr data frm Salesfrce users t SharePint users manually. If yu d nt cnfigure user mapping, Salesfrce users will be matched with SharePint users autmatically. Hwever, Salesfrce users wh cannt be autmatically matched with a SharePint user are mapped t a system accunt. T create custm user mappings, fllw the steps belw: 1. Specify a Default Dmain User int the prvided field. This will add the users wh are nt cnfigured in the mapping prfile t that dmain. If yu leave this field blank, DcAve fr Salesfrce will use the dmain f the current machine. *Nte: Fr SharePint Online farm, enter the default dmain user fllwing the frmat shwn in the example: i:0#.f membership purple@trueblddsitetest.nmicrsft.cm. 2. Select the User Mapping checkbx t enable user mapping. Next, enter the surce Salesfrce username that yu want t replicate and the destinatin SharePint username. Yu can als map a Salesfrce user t a SharePint grup using Grup Mapping. By default, the User Mapping and Grup Mapping ptins are selected. *Nte: T map yur SharePint system accunt t Salesfrce, enter SHAREPOINT\System instead f the lgin username f this system accunt in the SharePint Username text bx. 3. Click the plus icn and minus icn t add r remve additinal mappings. 4. Click Apply t apply the mapping. If yu have large number f users, we recmmend yu use an XML file t map the users. Fllw the steps belw t map users using XML file: 1. Click Save Mapping t save the mapping prfile as an XML file. 2. Cnfigure this XML file t add user mappings in it. 3. Click Lad an Existing Mapping t lad this cnfigured XML file t DcAve fr Salesfrce. 4. Click Apply t apply the mappings. List Mapping DcAve fr Salesfrce can map Salesfrce bjects t SharePint lists manually. T create a manual list mapping, fllw the steps belw: 1. Select the List Mapping checkbx t enable a manual list mapping. 2. Enter the surce Salesfrce bject name that yu want t replicate and the destinatin SharePint list name. Yu can als select the SharePint list type in the drp-dwn list. 3. DcAve fr Salesfrce can als map Salesfrce bjects t SharePint clumns by specifying the Salesfrce bject name, the Salesfrce clumn name yu want t map, the SharePint Field Name, and the SharePint field type which yu want t map t in the drp-dwn list in the Clumn Mapping area. By default, List Mapping and Clumn Mapping are selected. 18 DcAve fr Salesfrce User Guide
*Nte: When cnfiguring a Clumn Mapping, enter the Label Name f the Salesfrce clumn in the Salesfrce Clumn Name field. *Nte: The Salesfrce Object Name, Salesfrce Clumn Name, and SharePint Field Name fields are case sensitive. If the value in Salesfrce r SharePint is capitalized, the value entered in DcAve fr Salesfrce must be capitalized t. 4. Yu can click the plus icn and minus icn t add r remve additinal mappings. 5. Click Apply t apply the mapping. 6. After cnfiguring the mapping, yu can click Save Mapping t save the mapping prfile as an XML file which can then be laded later by clicking Lad an Existing Mapping. Replicatr Settings There are three mapping types yu can select fr the Cntent Replicatr mapping plan. One Way Replicates the data frm SharePint t Salesfrce. One Way Link Only Replicates all the files f SharePint t Salesfrce in the frm f dcument link. Click the link and it will link t the SharePint lcatin f the file. Tw Way Synchrnizes the data between SharePint and Salesfrce. The data in SharePint will be replicated t Salesfrce, and the data in Salesfrce will be replicated t SharePint. There are three additinal ptins yu can cnfigure fr the Cntent Replicatr mapping plan. 1. Editing a Mapping Once a mapping has been created, click Edit t edit the mapping ptins, view the cntents, r chse whether it is Enabled. Running the Mapping Plan If yu wuld like t set any advanced ptins including a mapping schedule, see the fllwing sectin. If yu wish t perfrm a replicatin immediately, click Run Nw at the bttm f the screen, and then click OK. Advanced Settings In rder t cnfigure any advanced ptins fr the Cntent Replicatr Mapping Plan, click Advanced. Schedule By default, cntent replicatin frm SharePint t Salesfrce is nt scheduled. If yu wish t schedule a replicatin fr the future r t schedule a recurring replicatin, fllw the steps belw: 1. Navigate t the Schedule tab. 2. Select the replicatin type by clicking the crrespnding tab t either replicate all cntent (Full) r nly the changes made since the previus replicatin (Incremental). If yu select an Incremental replicatin jb, there are tw additinal ptins yu can select: Replicate Mdificatins Files that have been mdified in the surce since the last replicatin jb was run will replicate with the versin with new mdificatins verwriting the destinatin. Select the apprpriate database t stre the backup data under Backup data t. Embedded Database (SQLite) Enter the Database Name. By default, it is SFBackupDB. The database will be created under the path yu specified belw. SQL Server Database Enter the name f the SQL Server where yu want t create this database. By default it is. which means lcalhst. Jb Pruning Use Jb Pruning t set up a pruning rule fr selected jb recrds accrding t either a jb life cycle r jb cunt. We recmmend yu have a jb pruning plicy in place if yu run frequent backups. This ensures that yur database will nt be verladed with utdated data and minimizes database maintenance required by administratrs. T set up jb pruning, fllw the steps belw: 1. Select a general jb pruning rule by selecting its radi buttn: N Pruning All types f jb recrds will be saved indefinitely (r until the database exceeds the server size). By Jb Life Cycle Set the number f days, weeks, r mnths t keep the jb recrds befre they are autmatically pruned. By Jb Cunt Set the number f previus jb recrds t keep. Once this limit is reached, the ldest recrd will be remved befre each new jb is run (unless a pruning schedule is set). 2. Select which jb types t include in the pruning rule. 3. If desired, yu can set up a schedule fr the pruning rule by deselecting the N schedule checkbx. Use the calendar icn next t the Start Time field t select a date and time fr the pruning jb t run. WFE Quantity The WFE quantity limited in the license. Used WFE The number f Web frnt-ends in the farm. SharePint Versin The value is SharePint 2007, SharePint 2010, SharePint 2013, r Office 365 fr the Data Replicatr mdule and the Cntent Replicatr mdule. It is N/A fr the Data Prtectin mdule. System Settings Use System Settings t cnfigure the language f the DcAve fr Salesfrce and lg detail level fr jbs which have run. In the Path: field, enter any path in the UNC frmat: \\<hstname>\c$\... 2. Enter in the Username in the frmat Dmain\Username and the passwrd fr cnnecting t this drive. 3. Click Test t verify the infrmatin, and then click Save t save the cnfiguratin. *Nte: If yu d nt specify a lcatin in this sectin, Cntent Replicatr uses a default lcatin: \AvePint\DcAve fr Salesfrce\data\Salesfrce \CntentReplicatr \RealTimeMessage.
