1 Cambridge Judge Business School Further particulars JOB TITLE: REPORTS TO: MBA CAREERS EMPLOYER RELATIONS COORDINATOR MBA EMPLOYER RELATIONS LEAD Background The Cambridge MBA is one of the premium teaching programmes and a main revenue contributor to Cambridge Judge Business School (CJBS). It has been the primary means by which the School has been able to establish and grow its reputation, and the ability to attract students to the MBA programme is essential for the support of the research, teaching and administrative activities of the School. MBA students are experienced professionals who make a significant investment in their programme. Current Cambridge MBA fees are 40,500, with the additional costs for college membership and living expenses bringing total course cost up to over 50,000. MBA candidates are therefore very selective about the programme they attend, and have high expectations as to the quality, range and number of employment opportunities available through the MBA Careers Service. The role is part of the MBA Careers Service team, reporting to the employer relations lead. The primary responsibilities of the employer relations coordinator are to coordinate the operations and logistics of employer events and recruitment activities (both on and off-campus); employer registrations and job postings on the online careers centre; project host engagement for the Cambridge Venture Project and the global consulting project; and summer projects. The work involves interaction with a wide range of stakeholders, both internal and external to CJBS. A key priority of the role is to provide efficient, customised, timely and professional support for highly sophisticated and demanding corporate clients and project hosts, who are used to levels of service commensurate with the corporate world, to ensure their satisfaction and encourage their continued engagement with Cambridge MBAs. The role holder is the initial point of contact for queries from new employer contacts interested in engaging with Cambridge MBAs for recruitment activities, job postings and projects. The role holder evaluates interests and requests and responds or forwards as appropriate. The role MAIN RESPONSIBILITIES Event management Coordinate operations and logistics of annual schedule of on-campus employer information sessions, events and recruitment activities, including employer presentations and networking events, employer-led skills workshops, recruiter-in-residence days, employer information panels, alumni networking events, webinars and interview processes. 1
2 Liaise with employers to discuss and organise details of events; coordinate with Facilities and IT regarding support requirements; keep employers updated as to arrangements and student registrations; organise student hosts for each event. Develop event description using employer-provided information; research further information as required in order to provide students comprehensive information about the company and job opportunity. Prepare and distribute marketing materials for events. Monitor student registrations for events; determine appropriate channel to re-promote event in the event of low registrations. Develop descriptive content about employer events and recruitment activities for student communications. Create event data sheets to ensure staff hosting events have all relevant information (event format and location; catering provisions; IT requirements; names/titles of employer representatives in attendance; any special dietary or mobility/access requirements; student hosts for event; programme/roles for which employer is recruiting). Organise off-site events and treks; liaise with employer hosts; research and book suitable venues. Conduct risk management assessment for on-site and off-site events. Maintain and update employer events schedule and circulate to relevant stakeholders; liaise with MBA programme office to ensure inclusion of employer and recruitment events in MBA timetable. Represent careers at recruitment events on rota basis. Liaise with employers to organise and schedule on-campus interview processes. Liaise with CUCS (Cambridge University Career Services), alumni office and MFin (Master of Finance) office to promote and coordinate joint events. Organise annual Meet the Client reception to introduce Cambridge Venture Project hosts and mentors to their student teams, including arranging catering, logistics, invitations and operations of the event. Organise events as required (e.g. receptions, meetings and dinners), on-site and off-site, in support of business development activities designed to introduce new employers to the Cambridge MBA and encourage them to recruit students, host projects and/or provide internships. Ensure MBA timetable and MRM systems are updated to provide students and staff with up to date information. Communication and system management Use Careers Service Management (CSM) system to register employers on the online careers centre to enable them to search student CVs and post jobs. Vet new registrations to ensure validity and relevancy of employer for MBA recruitment; approve job postings, seeking input from Employer Relations Lead on relevancy of roles when required; generate and circulate reports. Create, monitor, update and develop automatic notifications from Careers Service Management (CSM) system to employers to ensure relevancy and accuracy of content and delivery schedule; adjust content and delivery schedule to meet employers needs. Create customised CV books for employers based on employer specifications to promote students with relevant experience and with input from the Careers team. 2
3 Coordinate annual mailing of CV Profile Books to employers. Coordinate annual outreach campaign to Cambridge Venture Project and Global Consulting Project hosts; track and report on responses to ensure target number of hosts is achieved; ensure hosts receive appropriate briefing materials and information. Create 120 profile books of project teams for Cambridge Venture Project and Global Consulting Project hosts, Project mentors and supervisors. Manage projects database to ensure currency and accuracy of contact details to ensure consistency of details for corporate contacts. Provide Careers Operations Coordinator with content for twitter and newsletters. Student/employer/project host liaison and support First point of contact for student queries regarding the Cambridge MBA s relationship with specific employers and job opportunities. Set appropriate expectations and direct students to relevant support from careers office for application and interview processes. Liaise with students to provide updates and status reports on job applications and interview outcomes; follow up with employers as required to ensure accuracy of information. Respond to employer and project host queries in a timely, thorough and professional manner to ensure top quality experience and engagement with the Cambridge MBA and increase the likelihood of their continued involvement recruiting students and/or hosting projects. Analysis and reporting Track, analyse and report on new employer registrations, job postings, internship postings and recruitment activities/events; analyse and report summary information to MBA Employer Relations Lead. Coordinate delivery, tracking and reporting of employer and project host surveys. Conduct relevant research as required on employers and potential project client/host companies. Financial and budget administration Source quotes, purchase services and generate purchase orders in compliance with University purchasing and finance policies and procedures; process invoices, check that invoices are correct, submit to finance office for payment. Track and keep comprehensive records of expenses using excel spreadsheets; monitor expenses against budget and report to employer relations lead. Monitor event-specific budgets to ensure delivery within budget limits. Coordinate with finance office to invoice employers for event expenses; track employer expenses and payment using excel spreadsheets; follow up with employers regarding outstanding/overdue invoices to ensure payment. Coordinate expense reimbursement process for student travel and accommodation expenses for Global Consulting Project using excel spreadsheets; solicit, collate, organise and report student expenses; liaise with finance office to organise project host invoicing for student expenses; track project host payments and follow up as required to ensure full reimbursement to students. 3
4 Other Contribute to the development of strategy and plans for the MBA Careers Service in conjunction with the Careers team on an on-going basis. Work on cross-team projects and initiatives as required. Staff careers provision and employer/recruitment events in team rota, which requires periodic afterhours work; administer attendance register and update student attendance records on CSM system. The person The ideal candidate should have the following qualities, skills and attributes. Outstanding organisational skills and meticulous attention to detail. The ability to turn rapidly and with full concentration from one task or person to the next, prioritising as required, is essential. Customer service orientated with experience in relationship management and ability to work sensitively with tact and diplomacy and in confidence. The ability to build good working relationships with external and internal members of the community, including corporate partners, faculty, senior administrators, and MBA students within the School. Exceptional communication skills with good presentation skills. The ability to present information effectively both orally and in writing in a concise, clear and interesting way. Good teamworking skills required, particularly experience in being a successful team member in a small team setting. Cultural adaptability and sensitivity working with international clients and students. The ability to understand and translate the recruitment strategies of very different sorts of companies across a wide range of sectors and countries. International experience (including language skills) is therefore also useful. Intellectual and personal self-confidence. Good project management skills and experience of leading and managing complex projects in order to achieve deadlines. Ability to analyse information and people quickly, draw correct conclusions, be logical, accurate, objective and practical. Good IT Skills, proficiency in using database management/crm (customer relationship management) systems, social media and Microsoft Office required. A keen and lively interest in people is an absolute requirement. Enthusiasm, self-motivation, initiative, creativity and flexibility are all extremely important. Ability to manage expectations of students in relation to employer events and recruitment. Ability to collaborate with Cambridge Judge Business School colleagues, including academic staff, and other University careers advisers. Experience in events and/or project management is desirable. Experience of corporate relationship management is an advantage. 4
5 Knowledge of corporate recruitment, MBA Career Services and/or business schools is desirable. Experience of working in a top tier higher education establishment in a client facing role is an advantage. Strong desire to support students in achieving their careers goals as well as employers in achieving recruitment targets. Patience and resilience with often demanding constituencies. Benefits This is a full-time position working 36.5 hours per week. Holiday entitlement is 28 days per annum plus eight days of public holidays. There will be a six-month probationary period. The salary will be in the range 24,775 28,695 per annum. The full incremental salary range for the position is advertised in order to demonstrate the progression for the Grade. In the majority of cases appointments will be made at the Grade minimum; only in very specific exceptional circumstances can a higher salary be offered.
