1 Job Title Salary Hours Accountable to: Finance Assistant TBC 37.5 hours per week Finance Manager Date: May 2016 Job Purpose To carry out day to day administration of the Department s finance systems and to provide support for other areas of the Department as and when required. Job Dimension To work as part of the Finance Team maintaining accurate Financial data with both accounting and payroll functions, and working in close liaison with other staff at all levels in order to both procure information and respond to information requests. Knowledge, skills and Experience Required At least 5 GCSE s at Grade C or above, one of which must be in English Language. Experience of book-keeping, a qualification is desirable and knowledge of payrolls would be an advantage. At least 2 years experience in a finance environment. A methodical and analytical approach to work. Good numeracy skills. Good keyboard skills a good working knowledge of Microsoft Word and Excel is essential. Ability to communicate with people at all levels. 1

2 Key Result Areas (not in priority order) To prepare and record all receipted cash and cheques for banking on a daily basis, ensuring all such monies for deposit have been recorded in the correct manner. Passing entries back for correction. Ensuring banking slips are correctly completed and balanced to daily banking sheets, checking all cheques have been correctly completed, passing back any that are not. Use the on-line banking facility (ICeB) to print daily entries from our main bank account, create a CSV file to to our Fundraising department and check for unexpected claims on our account. Raise queries for all unknown entries. Collect, balance and bank aromatherapy and acupuncture money, passing details to fundraising to record on Donorflex. Place stationery orders as required. Process payments weekly. Input correct details into monthly accounts spreadsheets (eg staff meals/hairdressing) as and when required. Balance and record till takings Maintain accurate invoice filing and archive systems. Record paypal entries. Prepare the various files for Audit at the year end. Assist Senior Finance Officer to maintain a VAT spreadsheet. Order and prepare Cash Floats for events. Maintain sufficient stock of regularly used stationery and postage stamps, regularly check stock levels of stationery and order in relevant timescales To carry out ad hoc and other duties as required by the Finance Manager. To maintain Petty Cash, ensuring sufficient funds are available at all times, including sufficient coinage for the tills Payroll: When familiar with the functions of the Finance Office, assist the Senior Finance Officer with the input of monthly timesheets Other: Responsible for the monthly readings off the ineo+368e copier and calculating the costs to the various departments. Assist the Senior Finance Office to manage any stock, the weekly balancing of; and maintenance of all spreadsheets relating to Christmas Card Sales. Communication and working relationship Internal Finance Manager; Senior Finance Officer; all internal staff & volunteers. External External Suppliers; banking contacts; the Tax Office. 2
