1 JOB DESCRIPTION Job Title: Department: Responsible to: Hours: Financial Accountant (Management Reporting) Finance Finance Manager 30 hours per week. Expected to be flexible commensurate with role and to ensure work is completed in a timely manner, for example at month and year end. 1. Job Purpose To be responsible for the monthly management reporting, for both St Oswald s Hospice Ltd and St Oswald s Hospice Promotions Ltd and providing feedback to budget holders. To be responsible for the quarterly VAT Returns, for St Oswald s Hospice Ltd and St Oswald s Hospice Promotions Ltd & liaison with HMRC. To act as the main interface with the Fundraising Department. To deputise for the Finance Manager, in their absence. 2. Key Tasks / Duties and Responsibilities To manage own time in order to meet deadlines and advise the Finance Manager of any operational problems. Month end processing To process journals (Accruals & Prepayments etc) To produce the draft accounts by working day 6 To review budget variances and liaise with the Finance Manager To processes corrections To work with Finance Manager to produce final monthly accounts for users To distribute the monthly reports to the Budget Holders by working Day 8 To produce and distribute other Department specific reports by working Day 8. To assist in the development of new management reports. 1

2 VAT Returns and liaison with HMRC To produce the quarterly VAT Returns for both St Oswald s Hospice Ltd and St Oswald s Hospice Promotions Ltd. To assist with VAT issues re income and expenditure. Technical updating To maintain St Oswalds Sage accounting system To assist with implementation of changes in accounting rules Archiving To maintain the Departmental archiving system. Coding To monitor consistency of account codes and tax codes used in day to day processing, and advise staff on which codes to use. Balance sheet reconciliations To reconcile balance sheets for both St Oswalds Hospice Limited and St Oswalds Hospice Promotions Limited each month (this is to be split with the Finance Manager) Communication with other departments To provide variance analysis of departmental reports for users To attend regular meetings with department heads and the Finance Manager to advise on departmental results Budgeting Assists the Finance Manager with the annual budget process. Statutory accounts and audit To assist the Finance Manager with Statutory accounts and audit process. To assist with external and internal audit queries. To produce audit schedules as required. Fundraising reconciliation To reconcile the Sage Income to Fundraising Income (Donorflex) every month And review the findings with the Supporter Care Team Leader Fixed asset register To maintain records of fixed asset movements and reconcile to the accounting software (Sage Fixed Asset Register v Trial Balance) Systems development To play an active role in any systems developments within the Finance Department. 2

3 Cover To provide cover for other members of the department as required, in particular for the payroll administrator. 3. Self Development To undertake appropriate personal development and maintain, develop skills and knowledge as determined by the annual review and development meetings and subject to the availability of resources. 4. Working Relationships & Team Working To work as a positive team member at all times. To build and maintain effective working relationships 5. Conduct To behave in a professional manner at all times, reflecting and maintaining the values and ethos of the organisation and generating a positive image of St Oswald s. To adhere to all St Oswald s policies and procedures to ensure that these are maintained at all times. To maintain confidentiality when needed. 6. Risk Management including Health &Safety To adhere to St Oswald s Health and Safety policy as set out in St Oswald s Health and Safety policy statement. To attend all health and safety training St Oswalds deems mandatory. 7. 4 PERSON SPECIFICATION Job Title: Financial Accountant (Management Reporting) CRITERIA ESSENTIAL DESIRABLE QUALIFICATIONS TRAINING & EDUCATION Part qualified Consultative Committee of Accountancy Bodies (CCAB) recognised qualification (CAEW, ACCA,CIMA) Competent excel user EXPERIENCE SKILLS, APTITUDES & ABILITIES At least 2 years finance office experience. Production of reports Accuracy Able to ability to meet deadlines. Skilled with Microsoft products especially Excel Able to relate well to others and work as a positive member of the team Analytical skills to work with complex data Previous experience working with Sage accounting products. Charity Sector Aptitude for systems development KNOWLEDGE Partially exempt VAT Current accounting standards PERSONAL QUALITIES AND ATRIBUTES Accurate Reliable Flexibility of approach where needed Ability to adapt to change in the workplace Good communication skills Discretion The post holder must have empathy with the Hospice values and environment.
