1 SMS EXPRESS - HOW TO SEND SMS FROM OUTLOOK 2010 How To Send SMS From Outlook 2010 How To Configure Outlook. Receiving Replies OPTIONAL: Configuring Your Sender ID (who the SMS is from) Sending Your SMS in Outlook Undeliverable Receipts in Outlook Delivery Receipts - View Online Reports Microsoft Outlook 2010 and an existing SMS Express account are required to send SMS. Sending SMS from Outlook 2010 should not be confused with sending to SMS. Outlook 2010 provides a built in SMS plugin, that allows the sending of an SMS to a mobile phone by using a subscription to an SMS Service Provider such as us, SMS Express! 2 How To Configure Outlook In Outlook go to File > Add Account. 2. Select Text Messaging (SMS), and Next, and complete the following details: a. Set the Service Provider URL to b. Enter your SMS Express Username as the User ID and your SMS Express Password

3 3. Select More Settings, and complete the following details: a. Enter an Account Name (any name is fine. Could be your company name or personal name) b. Enter in your mobile number in the Your Phone Number field. This is only used for testing the connection. c. Press Ok to exit this screen. 4. Test Settings a. Click Test Account Settings, and the box should pop up if successfully verified. b. Click Yes to send a test message to the phone number you entered earlier. A confirmation message is displayed when an SMS has been successfully sent. Press OK to continue Received on my Galaxy phone! 5. 4 Receiving Replies Outlook allows users to send SMS, but how do you receive replies to your SMS via or SMS? These features can be configured by editing your account settings in your SMS Express account. You have the choice of replies coming back to your address and/or your mobile phone number. Note that to Forward to your mobile number will cost 1 credit. But Forward Reply to is free 1. Login to your SMS Express control panel 2. Using the left hand menu, select Account Settings 3. On the Account Settings page, scroll down to Incoming Messages forwarding settings (defaults) a. Tick the Apply defaults to API b. To Forward Reply to a Mobile add a number to Forward Reply to Mobile setting c. To forward replies to an , add an address (free of charge) 4. Press Update Defaults to save the new account settings. OPTIONAL: Configuring Your Sender ID (who the SMS is from) An SMS sent via Outlook can either use a default Sender ID. That is, one of our 2 default system numbers that most clients tend to use. If you do not want to change your Sender ID, skip this section. Example of using a company name as a Sender ID. People cannot reply to this as there s no reply path. If you want to change/customise your Sender ID, you can choose to use your own (or another) mobile number, so replies come back to your handset. Or you may use a word, like your company name, in which case. Note that with a word Sender ID, no replies will be received as it s akin to sending a letter with no return address (called a reply path ). However if you don t need replies this is not an issue (eg appointment reminders). You have 11 characters in a Sender ID. However, please note some telcos may block Sender IDs that contain alphanumerics. Test a small group of numbers (with different telcos if possible (Vodafone, Telstra, Optus) and check that messages are delivered successfully with your Sender ID. No refunds will be provided if messages are blocked by a network due to the use of an incompatible Sender ID. To configure a sender ID for messages sent from Outlook.

5 1. Login to your SMS Express account 2. From left side menu select Account Settings 3. On the Account Settings page, go to the Sending From Outlook field under the Your Account Details. 4. Enter in a suitable Sender ID for your outbound messages, or leave the sender ID empty to use the default. 5. 6 Sending Your SMS In Outlook Sending SMS via Outlook is similar to sending an , but should not be confused as being the same thing. 1. To create a new SMS message, select New Items, then select Text Message (SMS) 2. A new window appears where you can write the SMS. A maximum of three messages can be sent (long SMS) per send to multiple recipients. 3. Press Send to send the SMS. Next page: Undeliverable Receipts in Outlook

7 Undeliverable Receipts in Outlook After an SMS has been created and sent via Outlook, Outlook will receive an error response if the SMS could not be sent. The error messages will be delivered to your Outlook Inbox and are called undeliverable receipts. The receipts contain information such as, date, message, recipient and the error. 8 Delivery Receipts View Online Reports Delivery receipts to your SMS sent from Outlook can also be viewed online in your SMS Express account, using the reporting features. To view delivery receipts, login to your account Control Panel, and select Sent/Queued from the menu, and you can see the Delivery Reports Click VIEW to open Summary Report popup window Click any of the underlined links to open a pop window or export an excel or CSV file containing your detailed Delivery Report Some final notes: 1 standard SMS is 160 characters inc spaces. This equals 1 credit characters = 2 SMS (2 credits characters = 3 SMS (3 credits) Your recipient should see 2 or 3 sent SMS as 1 long SMS (they are automatically joined together)
