2 Norwich Castle Museum and Art Gallery A unique historic city centre venue The city s iconic landmark, Norwich Castle was built by the Normans as a Royal Palace 900 years ago. Now a museum and art gallery and home to some of the county s most outstanding collections of fine art, archaeology, natural history and costume and textiles, Norwich Castle provides a unique city centre venue for corporate and private occasions. Norwich Castle is able to accommodate a versatile range of events during the day or evening, including receptions, presentations, conferences, meetings, training days, weddings, seminars and social occasions. Why not make your time with us even more special. Treat your guests to an exhibition private view, take the opportunity to explore the Keep and museum galleries, book a behind the scenes tour or a visit to the dungeons or battlements, handle museum objects or be entertained by costumed characters.

3 What We Can Offer Not sure which space to hire or how long you need it for? We will be happy to advise on which space is right for your event. If you need multiple spaces, we can offer a range of combinations at reduced rates. Our spaces are available for half and full day sessions, early and full evening events and additional evening hours up to 12 midnight. What s included? The support of our venue hire events coordinator Front of house and operations team Cleaners and porters Built-in or mobile data projection, audio visual and public address equipment Cloakroom (not staffed) Access for set up from 5pm for evening events. Catering? Our Museum catering team will be able to meet all your requirements, from tea and biscuits to a three course dinner. Please note that the venue hire charge applies to venue hire events using our own or approved caterers. We will consider requests to use external caterers who meet our operational requirements and high standards for which there would be additional charge. What else? Specialist equipment and furniture, dedicated A/V support, tour guides, museum experts and costumed characters can be arranged at an additional charge. Approved contractors are available to provide additional supplies and services for more complex events. Entertainment and Music to be organised by the client in liaison with the venue hire coordinator. Weddings Norwich Castle is a superb venue for weddings and celebrating special occasions. Please contact us for further information and charges. Travel and Parking There are 2 disabled parking spaces on site to the left of Norwich Castle s entrance. Unfortunately there is no parking for guests and delegates on site but Castle Mall car park is only a short walk away. Limited parking is available on Norwich Castle Mound for the event organiser(s). 7 the Benefactors Room The Benefactors Room, an elegant room, featuring some of Norwich Castle s fine art collections, is ideal for smaller events and can be set-up to provide a formal or relaxed setting for every occasion. Popular for business breakfasts and lunches, seminars, meetings and training sessions, the Benefactors Room can be equipped with mobile data projection, audio visual and public address system. The Benefactors Room can accommodate up to 40 delegates depending on the style of event. 9 the Rotunda The Rotunda is the hub of the museum, leading to the special exhibition and permanent galleries, The Keep and visitor facilities. This interesting and versatile space, complete with sprung dance floor, is included in all evening venue hire packages, but can also be hired on its own. The Rotunda is an ideal space for presentations, performances, drinks and buffet receptions, dinners and other private and social occasions. The Rotunda can accommodate up to 250 guests depending on the style of event. 11 Exhibition Private View Treat your guests with private access to one of our world-class special exhibitions or unique permanent galleries. After the public have left the Museum, you ll have the gallery all to yourselves, adding an extra dimension to your event and making it a really memorable evening. Greet your guests in the Rotunda with drinks and canapés, or host an exhibition private view in conjunction with another event. We can also arrange for Museum experts to answer questions or guide guests around the exhibition. 13 the Town Close Auditorium The Town Close Auditorium, a stylish and refined lecture theatre with a combination of fixed and flexible seating, is ideal for conferences, presentations and performances. It has excellent data projection, audio visual equipment and public address facilities, adjustable lighting, and access to the internet. The Town Close Auditorium can seat up to 120 delegates. 15 the Colman Art Gallery The Colman Art Gallery, displaying Norwich School landscape paintings, provides a special and distinctive surrounding for an event. A flexible gallery space, it can be set-up in a wide range of configurations and is suitable for presentations, seminars, lectures, meetings, receptions and other private and corporate events. The Colman Art Gallery can be equipped with mobile data projection, audio visual and public address systems. The Colman Art Gallery can accommodate up to 80 depending on the style of event. 17 the Victorian Courtroom in the Shirehall The Courtroom with original Victorian fixtures and fittings provides an unusual venue for private and corporate events. It is suitable for presentations and debates and other activities. The Courtroom can be accessed either from Norwich Castle Study Centre entrance in the Shirehall, or an atmospheric spiral staircase in Norwich Castle which was used to take prisoners between the Courtroom and Norwich Castle prison. It can be hired on its own or in combination with other spaces within Norwich Castle. We have successfully hosted all sorts of events in Norwich Castle, including fashion shows and book launches and may be able to adapt our spaces and facilities to suit your needs.

20 Venue Hire Charges Hire charges vary depending on whether it is a daytime or evening event, a weekday or Saturday, how many spaces are used and the duration of your event. The venue hire charges apply to venue hire events using our own or approved caterers. There will be an additional charge if we agree to the use of external caterers. Approved contractors are available to provide additional supplies and services for more complex events. The prices below are a guide. If you need multiple spaces, we can offer a range of combinations at a reduced rate, plus discounts for multiple bookings. 22 Catering Options and Charges You can take your breaks as your schedule allows and we ll make sure everything is ready exactly when you need it. Tea or coffee We offer quality tea, coffee and biscuits or cakes for your event. These can be available on arrival, mid morning, mid or late afternoon as required. It is served in the Rotunda area, or for Benefactors Room delegates, in or just outside the room itself per head per serving tea/coffee and biscuits 3.50 per head per serving tea/coffee and cakes Buffet lunches, receptions and breakfasts 7.50 per head Buffet Lunch Menu A: Filled rolls, fresh fruit, cakes, fruit juice per head Buffet Lunch Menu B: Homemade soup, filled rolls, cake, fresh fruit, fruit juice per head Buffet Lunch Menu C: Filled rolls, mini quiche, hot sausage, cheese straws, fresh fruit, fruit juice per head Buffet Breakfast: Continental breakfast, tea, coffee, pastries. 23 Venue Hire Terms and Conditions We want to work with you to make your event a success. However due to the historic nature of the building and for health and safety purposes all persons hiring Norwich Castle must comply with our terms and conditions. Once your booking it confirmed you will be asked to sign a copy of these terms and conditions and will receive a letter confirming the date and duration of the hire and any other specific instructions we may agree with you. Booking Confirmation and Deposit Norwich Castle requires signed confirmation of bookings together with a deposit of 20% of the venue hire fee including any catering ordered. The deposit is non-refundable in the event of cancellation. Payment of the deposit constitutes acceptance of Norwich Castle s Terms and Conditions as set out in this document. Confirmation of Final Numbers and Catering Requirements must be confirmed 7 days prior to the event. Payment of the balance of the venue hire fee including any catering ordered (less deposit ), is due 7 days before the booked date. This is non-refundable in the event of cancellation. Late Bookings If you book your event less than 14 days before it takes place we require payment in full upon confirmation of the booking, including catering ordered. Hire Period The date and period of hire will be stated in the confirmation documentation, including times and arrangements for setting up and clearing away. If you later realise that you need to either start earlier or finish later an additional hire fee may be charged. Floral Displays and Decorations must be freestanding. They cannot be fixed to the building or fixtures and fittings. Posters, Banners, Signs, Flags or Notices must be freestanding. They cannot be fixed to the exterior or interior of Norwich Castle. Portable Electrical Equipment bought into the building must have been electrically tested for safety. We will require evidence of this prior to your event. Food and Beverages Only food and drink purchased from Norwich Castle is to be consumed on the premises unless formally agreed. Norwich Castle reserves the right to remove products bought externally and to charge the client for loss of revenue. Non-availability of Norwich Castle In the unlikely event that we have to cancel your booking we will refund your deposit and other monies paid, but shall have no further or additional liability to the hirer whatsoever, including losses, costs and expenses incurred by the hirer. Death and Personal Injury We will not be liable for the death or injury to any person attending Norwich Castle unless caused by its negligence or that of its employees. Loss of or Damage to Property We will not be liable for damage to or the loss of any goods, articles or property of any kind brought into or left at Norwich Castle by the hirer for his/her own purposes or by any other person, and such property is brought onto the premises at the owner s risk. Damage to Norwich Castle Norwich Castle is a Scheduled Monument housing important museum collections, and the hirer must ensure that the building, its collections and fixtures and fittings are not damaged in any way. If damage is caused the hirer will be responsible for costs incurred. Assistance Dogs are welcome at Norwich Castle. Smoking is not permitted anywhere in Norwich Castle Museum Candles and Balloons are not permitted anywhere in the building. Conduct We reserve the right to refuse entry.
