2 The Smart is the Innovation and Enterprise business hub in Tauranga. The organisations partnering in the hub are: Chamber of Commerce Tauranga Region Inc New Zealand Trade & Enterprise Export NZ Bay of Plenty Cohesion Massey University Canon Geneva Health EMA Legal The Smart offers modern facilities. Services include meeting rooms, training rooms, a video conferencing suite and a computer suite. The Centre is centrally located (10 minutes from airport, 5 minutes from CBD) and provides serviced rooms, a range of technology and equipment, provision of catering and ample free car parking.
3 Redpath Boardroom The Redpath is a versatile room filled with natural light. Ideal for meetings, formal presentations and interviews. The Redpath can be used as a traditional boardroom or can be broken down to any layout as required. The Redpath features a built-in projector, an electronic white board and a large white board. Vodafone Suite The Vodafone Suite is an ideal training room. As our largest room it is ideal for larger meetings, seminars, presentations and workshops. The suite can be set up in any room layout. This room features video conferencing facilities, a built-in projector, drop down screen and a large white board. Rimu Room The Rimu is ideal for meetings (2-6 people), interviews, smaller presentations or a breakout room. The Rimu can be set up in any layout requested. This room features a built-in white board. Kowhai Room The Kowhai is ideal for smaller meetings (2-4 people), interviews or as a breakout room. The Kowhai features a built-in white board.
4 HP Gen-i Computer Suite The HP Gen-i Computer Suite is equipped with a HP Multiseat Solution which is perfect for computer training. The suite offers state of the art technology and a fully supported Windows experience for 15 users. Equipment and services A range of equipment is available for hire including data projectors, an electronic white board and screen. 7 Terms and Conditions Confirmation of Booking An should be sent to to book the function room. You will receive an confirmation from the Smart to confirm your booking. The rooms are generally available for hire during the hours of 8am 5pm. Any hireage outside of the normal hours of 8am-5pm will incur after hours staffing and security charges. Sub-letting a booking is not permitted. For each hour (or part thereof) that the room is occupied after the end of the hire period will be charged to the hirer. Full contact details including an address and telephone number must be given for all bookings. Deposit: A deposit of $100 is required to confirm the booking. This is to be paid at least 2 days prior to arrival. Cancellation Policy We require at least 48 hours notice of cancellation of your function room. If it is within the 48 hour period you will forfeit 20% of your deposit. Cancellations of less than one full day will be charged at full amount of hireage. The Smart reserves the right to vary or cancel any bookings, subject to reasonable notice being given to the hirer. In the event that these Terms and Conditions are breached, the Smart reserves the right to cancel a booking without notice. Smart may cancel your booking and the agreement if the Smart considers that the use of the rooms will or might contravene any statute order, regulation, bylaw rule of law or any other requirements of a public or local authority or otherwise be in breach of reasonable standards of public decency. Smart may also require any person(s) to leave the premises during an event if the Smart Business Centre reasonably considers that a person or person be intoxicated or under the influence of drugs or otherwise behaving in a manner which puts other people at risk, or causes damage or increases the risk of damage to the premises or other property, or is causing a public nuisance or breaches any of these terms and conditions. Terms of Use The use of pins, nails, staples and adhesive tape on tables, chairs, walls, pillars or any fixture is not permitted. Any damage resulting from the above will be invoiced direct to the client. Floors, walls or any part of the building may not be pierced by any contrivance, nails, screws etc. or defaced by printing, signs, advertising or any other forms of decoration or by the temporary installation of any equipment or device. Any damage resulting from the above will be invoiced direct to the client. Hirers may prepare or set up the room one hour prior to the booking provided that it is not booked during that time. There will be a charge for the Smart to set up your room if required. The Smart must receive your detailed set-up requirements for the room at least 7 days prior to your booking. The Smart will discuss your requirements with you and identify any additional services you require. All additional services will be charged. Terms continued..
8 Terms and Conditions Terms of Use The Smart will take all necessary care of the client s property but will take no responsibility for loss or damage to this. The Smart recommends that the contracting client takes out their own independent insurance and security. Catering can be organised for your function either by yourself or the Smart. However, the account for the catering will need to be settled before leaving the venue. Crockery will be provided and set up in the function room. Once you have finished please make sure the crockery is stacked up in one place in the function room. Please note that the Smart is not a licensed premises. If you would like to bring alcoholic beverages to the Smart for your function, prior permission will be required. Any equipment for the event can be delivered on the day of the event; however, the Smart cannot accept responsibility for the safe storage of this. Storage is limited and space will be subject to availability. All merchandise and equipment brought into the premises must be taken at the conclusion of the event. The Smart shall not be liable for damages and has the right to terminate this agreement if it is prevented from complying with the terms by reason of act of God, earthquake, riot, flood, terrorism, explosion, law or government restraint, strikes or any other causes not reasonably within the control of the Smart. In the event of any damage or losses caused to any facilities, furniture or equipment of any description, it shall be immediately reported to the Smart and the hirer shall be held liable. In the event that the room (s) are left in a dirty or unsatisfactory condition or any damage has taken place, the hirer shall be liable to meet the full costs of the Smart for employing a cleaning contractor, or for any repairs that may be required for remedying a situation. Smoking is NOT permitted in any part of the building or surrounding areas and fire safety regulations forbid the use of candles or other naked lights within the confines of the buildings. No exemptions will be allowed. Fire exits shall be kept free of any obstruction and the decision of a Fire Officer in respect to this or any other fire safety matter shall be final. Hirers are responsible for the safe evacuation of the premises in an emergency. The Smart will provide copies of the Emergency Evacuation procedures prior to the commencement of your booking, these must be read and understood and followed. Correct procedures must be in place for any persons with a disability. In the event of a dispute or difference arising as to the interpretation of these Terms and Conditions, the decision of the Smart and its officers shall be final. All event attendees will be asked by the Hirer to park in the middle parking area, not in front of the ground floor retail shops.
