3 Executive Summary In May 2010, Ggle cmmissined Frrester Cnsulting t examine the ttal ecnmic impact and expected return n investment (ROI) enterprises may realize by adpting Ggle Apps after having managed a traditinal n-premise messaging and cllabratin envirnment. Ggle Apps is a clud-based messaging and cllabratin platfrm that includes mail, calendaring, IM, as well as Web-based cllabrative dcuments, spreadsheets, presentatins, and sites. The purpse f this study is t prvide readers with a framewrk and analysis t evaluate the ptential financial impact f switching frm legacy and prductivity slutins t Ggle Apps. T accmplish this analysis, Frrester cnducted a cmbinatin f in-depth executive interviews as well as tw brader surveys targeted at bth IT and end user grups. This apprach allwed Frrester t realize the brad impact Ggle Apps is having n IT and end user rganizatins and t supplement this data with an understanding f the underlying factrs driving firms t mve t a clud-based messaging and cllabratin platfrm. Ggle Apps Drives IT Cst Savings And Key Cllabratin Benefits Our interviews and brader survey arund Ggle Apps and ur subsequent financial analysis identified several key takeaways fr rganizatins migrating t a clud-based messaging and cllabratin envirnment: Ninety-three percent f respndents saw psitive, tangible IT and end user impacts that drve ROI. End users familiar with clud-based persnal transitined mre smthly t using Ggle Apps at wrk. End user prductivity gains were even greater than IT cst savings. End users were able t use Gmail mre efficiently than their previus slutin and cllabrate mre effectively with Ggle Dcs and Ggle Sites than with traditinal ffice sftware. The switch t Ggle Apps was usually driven by replacing r augmenting an existing slutin. Hwever, Frrester saw a grwing number f cases where rganizatins chse Ggle Apps fr cllabratin and then migrated t the messaging platfrm. Fr the representative rganizatin, the three-year results f switching t Ggle Apps frm traditinal infrastructure include: Risk-adjusted ROI f 307% Risk-adjusted net present value (NPV) f $10,039,612 Payback (break-even) within seven mnths Based n ur in-depth interviews with IT grups and end users wh had migrated t Ggle Apps as well as a brader survey f 600 IT and end user respndents, Frrester created a representative financial mdel t aggregate the results. These results are meant t highlight the cmmn cst and benefit impacts f migrating t Ggle Apps frm a previus n-premise IT envirnment and shuld be used as a starting pint fr readers assessing the ptential ecnmic impact f Ggle Apps within their rganizatin. The risk-adjusted values take int accunt any ptential uncertainty r variance that exists in estimating the csts and benefits, which prduces mre cnservative estimates. 8 TEI Framewrk And Methdlgy Intrductin Frm the infrmatin prvided in the interviews, Frrester has cnstructed a Ttal Ecnmic Impact framewrk fr rganizatins cnsidering switching t Ggle Apps frm a traditinal n-premise envirnment fr messaging and cllabratin. The bjective f the framewrk is t identify the cst, benefit, flexibility, and risk factrs that affect the investment decisin. Apprach And Methdlgy Frrester tk a multi-step apprach t evaluate the impact that adpting Ggle Apps can have n an rganizatin. (see Figure 3). Specifically, we: Interviewed Ggle prduct develpment, marketing, sales, and deplyment persnnel and Frrester analysts t gather data relative t Ggle Apps and the market fr clud-based messaging and cllabratin services. Interviewed 12 rganizatins currently using Ggle Apps t btain data with respect t csts, benefits, and risks. Cnducted a survey f 600 IT and end-user respndents wh had migrated t Ggle Apps. Designed a cmpsite rganizatin based n characteristics f the interviewed and surveyed rganizatins (see Appendix A). Cnstructed a financial mdel representative f the interviews using the TEI methdlgy. The financial mdel is ppulated with the cst and benefit data btained frm the interviews as applied t the cmpsite rganizatin. Given the increasing sphisticatin that enterprises have regarding ROI analyses related t IT investments, Frrester s TEI methdlgy serves the purpse f prviding a cmplete picture f the ttal ecnmic impact f purchase decisins. Please see Appendix B fr additinal infrmatin n the TEI methdlgy. Research Highlights Research data fr this analysis was derived frm tw surces: in-depth interviews with IT and end user stakehlders frm 12 client rganizatins as well as a brader IT and end user survey cnsisting f 600 respndents. Clients fr bth the interviews and survey were glbally distributed rganizatins cnsisting f at least 1,000 emplyees. The 12 interviews uncvered several imprtant drivers, which frmed the basis f the financial analysis: The majrity f the custmers interviewed migrated their messaging applicatins first and then let users rganically adpt Ggle s cllabratin applicatins. In these scenaris, the case fr adpting Ggle Apps was driven by specific cst reductins within the management f an rganizatin s messaging envirnment. While the initial case fr migratin was usually based n direct cst savings, clients nted the rle f Ggle Apps cllabratin tls in driving higher verall value acrss the rganizatin. The rganizatins interviewed fr the study were a cmbinatin f glbally distributed enterprises and midsized reginal cmpanies. Six were headquartered in Nrth America while the rest were lcated utside f Nrth America. The majrity f custmers saw the use f Ggle Apps as augmenting their existing cllabratin platfrms, while the use f Ggle Apps fr messaging was seen as a direct replacement. The results f the survey allwed us t validate several f the themes identified during the interview prcess. These included: Emplyees using Ggle , calendar, and cntacts saw material benefits ver their previus system. Eighty-nine percent f emplyees using Ggle Apps felt that the time required t simply sign in t had decreased. Frty-six percent felt that time spent rganizing their had decreased; 37% felt that time spent searching fr messages had decreased; and 30% felt that time spent lcating a cntact had decreased. Emplyees wh als use Ggle Dcs, Ggle Sites, r Ggle Vide saw additinal benefits. Fr example, 72% f these emplyees are nw mre cnfident that they always have the current versin f a prject file, and 70% find that it takes less time t incrprate feedback int dcuments, spreadsheets, and presentatins than befre. Frty-seven percent f emplyees using Ggle s Dcs and Ggle Sites saw material imprvements in their levels f cllabratin with custmers and partners since mving t thse tls. 8

10 Frty-seven percent f emplyees using Ggle Apps als felt that If I had t switch back t my previus envirnment, my prductivity wuld suffer. Cmpsite Organizatin Based n the interviews with the 12 existing custmers prvided by Ggle and brader survey data, Frrester cnstructed a TEI framewrk, a cmpsite cmpany, and an assciated ROI analysis that illustrates the financial impact f Ggle Apps. The representative rganizatin Frrester synthesized frm these results represents a Nrth American services rganizatin with 18, 000 emplyees spread ut acrss three cntinents. The rganizatin chse t first migrate t the Ggle Apps messaging platfrm, with 75% f end users fully migrated in Year 1 f the analysis and 100% f end users migrated in Year 2 and Year 3. The ramp-up f cllabratin usage was mre gradual; while Ggle Dcs and Sites were immediately available with Gmail accunts, end users rganically adpted Ggle Dcs and Ggle Sites as these cllabratin tls tk rt amng their clleagues. In Year 1, 45% f users had started using Ggle s cllabratin tls; in Year 2, 55% had started, and in Year 3 f the analysis, 60% had started. Framewrk Assumptins Tables 2 and 3 prvide the basic mdel assumptins that Frrester used in this analysis. The Ref. clumn n the right side f Table 3 is used t illustrate reference metrics used as part f calculatins in subsequent tables. Organizatins typically use discunt rates between 8% and 16% based n their current envirnment. Readers are urged t cnsult with their respective cmpany s finance department t determine the mst apprpriate discunt rate t use within their wn rganizatins. Csts T quantify the ROI impact, we need t examine the incremental csts assciated with the migratin t Ggle Apps. These csts included the cst f the Ggle Apps yearly license, as well as the cst f change management, testing, pilt, implementatin, and nging rutine supprt. 10

12 License Cst Ggle Apps is sld fr a flat annual license, which includes bth the messaging and cllabratin tls. The annual license cst is $50 per user per year. Organizatins nted a driver in mving t Ggle Apps was the simplicity f pricing as a factr in cnsidering Ggle Apps as a messaging and cllabratin platfrm. In additin t the base cst f licenses, message archiving csts f $13 per user per year were added t take int accunt the regulatry and cmpliance requirements f an rganizatin f this size. Change Management In additin t the cst f licenses, rganizatins nted several additinal csts were incurred as part f the migratin away frm their n-premise envirnment t Ggle Apps. The cst f change management included the time and effrt t educate and prmte adptin f Ggle Apps amng a cre grup f pwer users. Testing Anther upfrnt cst with Ggle Apps was internal testing prir t implementatin. Organizatins nted the need t ensure the data and infrmatin frm existing accunts culd be successfully migrated frm the n-premise envirnment t the new clud-based platfrm. Pilt And Implementatin The cst f pilt and implementatin includes the cst t transitin each user t the new Ggle Apps envirnment. As part f the rllut, mst f the surveyed rganizatins selected a subset f pwer users t perfrm the initial pilt as well as act as platfrm champins during the wider rllut. Supprt Csts Mst rganizatins nted a reductin in verall supprt csts ver time, but a minrity f surveyed rganizatins saw increases in supprt csts as a result f user questins during the migratin perid. Ttal Csts Table 4 illustrates the ttal investment csts fr the representative rganizatin. 11

Messaging-Specific Benefits Ggle Apps clients nted several key end-user benefits within Ggle s messaging envirnment in cmparisn with their n-premise slutin. Our survey results highlighted the imprved efficiency in using specific features within Gmail, including Chat (IM). In particular, users cited key time savings with search, spam filtering, message archiving, and message rganizatin, as well as the ability t use integrated Chat (IM) within Gmail t quickly identify internal cntacts and reslve immediate questins. In additin, users interviewed cited imprvements t hw they read and respnd as a result f Gmail s autmatic message rganizatin capabilities like message threading. Imprved Efficiency Within The messaging Envirnment (Search, Spam Filtering, Archiving, And Organizatin) Mving t Gmail had a net psitive impact n users fr many cmmn tasks. Users saw a reductin in the amunt f time spent searching, filtering, and archiving after they became accustmed t Gmail s new features. In the case f archiving, users nted that in the previus messaging envirnment they needed t perfrm manual archiving f their nt their lcal client, whereas Gmail s large strage quta eliminates the need fr manual archiving. In additin, with all s stred in ne central, easily searched lcatin, the amunt f time spent searching fr was reduced as cmpared with the previus messaging envirnment, where archived was stred in multiple lcatins. In fact, 37% f respndents reprted that they spend less time searching fr messages. Frty-six percent f emplyees using Ggle Apps fund that they spent significantly r slightly less time rganizing . With Gmail s spam filtering, users are able t reduce clutter within their inbx thrugh a reductin in junk r spam messages. A full 25% agree that they spend less time lking fr imprtant messages because they have less spam t deal with. Furthermre, a very high 89% f emplyees reprt that they can sign int faster with Gmail than they culd with their previus slutin. 13

15 T calculate the impact f imprved efficiency within the representative rganizatin, each calculatin belw examines the time spent n average fr a given task prir t the adptin f Ggle fr high-, medium-, and lw-usage grups and then mdels the estimated time imprvement f each task by grup. Data frm the in-depth interviews and brader survey suggests that users see imprvements in prductivity bth in large blcks f time saved but als in small, recurring efficiencies thrughut the day. While bth sets f imprvements are beneficial t an individual emplyee and the rganizatin as a whle, t be cnservative in ur financial estimates, Frrester chse t nly fcus n larger blcks f time saved as part f the financial business case. Seventy-eight percent f survey respndents said that they use IM fr internal cllabratin, while 98% exchange ideas via . Chat is a faster way than t reslve an issue and quickly mve frward if yu can find the cntact. With a single address bk and unified interface fr and chat, Ggle Apps speeds up finding cntacts and initiating IM sessins. In fact, 30% reprt that they spend less time lking fr a mail cntact than with their previus slutin. In additin, 19% reprt spending less time lking fr a chat cntact than befre. Fr many f the interviewed custmers, in their previus messaging envirnment, adptin f chat lagged behind that f . A pssible reasn fr this is that IM did nt achieve a critical mass fr widespread use and as a result, nt all users had IM installed r active n their machines. With the integratin f Gmail and Chat in the brwser, users were mre likely t adpt and use IM features. Users culd search fr and identify new cntacts and quickly reslve questins thugh increased adptin f IM. T calculate the benefits related t increased use f IM, we islated tw specific use cases: identifying a new internal cntact t ask a questin ver IM and reaching ut t an existing cntact using IM. 17
