LOCATION: Group Office Melbourne DATE REVIEWED: November 2015 PURPOSE: To develop, implement, monitor and continually review Furniture,Fittings and Equipment (FF&E) as part of all infrastructure projects for SVHA. To work collaboratively with consultants, project officers, group procurement and key stakeholders to facilitate the procurement, management and commissioning of FF&E. To liaise and negotiate with clinical and non-clinical stakeholders in regard to specific requirements ensuring these requirements can be met through the provision of appropriate FF&E. To ensure all key considerations are identified and integrated within the project plan whilst ensuring budgetary requirement s and group procurement guidelines are met. The FF&E Coordinator will be responsible for coordinating the scheduling, selection, procurement, delivery, storage, installation and testing (as appropriate) of Groups 2 and 3 FF&E in line with group procurement. To coordinate an executive review of the FF&E Master Schedule as provided by the architect and assist in the preparation and maintenance of the Groups 1, 2 and 3 FF&E Schedule. Link with Group procurement to provide the Groups 2 and 3 FF&E costing information for the budget approval. Produce technical specifications for nominated Groups 2 and 3 FF&E items, and ensure these are consistent with SVHA wide policies including for (but not limited to) WH&S and Infection prevention. Review relevant documentation prepared by the Architect and consult with stakeholders on the selection of Groups 2 and 3 FF&E with reference to practicality,suitability and value for money Assist the Commissioning Manager in operational commissioning planning inregard to Groups 2 and 3 FF&E. Assist in the coordination of Major Medical equipment selection, procurement and installation including attendance at vendor meetings. Page 2 of 5
Stake Holder Mangement To liaise and negotiate with clinical and non clinical stakeholders in regard to specific requirements for the project and ensure these requirements can be met through the provision of appropriate FF&E. Attend user group and project design meetings as required. Coordinate user group feedback and provide information to the Project Manager. Liaise with the Project Manager and Construction Contractor in regard to the arrangements for delivery and/or collection of Group 2 FF&E Effective time management and demonstrated ability to prioritise conflicting deadlines with demonstrated capacity to work autonomously in the achievement of project deliverables, particularly in relation to FF&E. Innovation Responsible for applying high level analytical skills with attention to detail and problem solving including the ability to provide authoritative advice across projects in the area of Furniture, Fittings and Equipment procurements and contracts. Assist with preliminary technical specifications for nominated Groups 2 and 3 FF&E ittems. Promote evidence based decision making by encouraging research Drive Results Liaise with the User Groups to confirm the Groups 2 and 3 FF&E needs are accurate and align with the FFE Master Dataset for the duration of the project Coordinate and manage the procurement process for Groups 2 and 3 FF&E Prepare and maintain accounting procedures, spreadsheets and reports for the progressive cost reporting for Groups 2 and 3 FF&E procurement Assist and coordinate the verification and sign off of the FFE Schedule (including appropriately detailed specification) Prepare and issue a Groups 2 and 3 FF&E completion report to the Director of Strategic Development and Infastructure Including but not limited to: updated / final Groups 2 and 3 FF&E Schedule operational, maintenance and cleaning data from suppliers and contractors Schedule of warranties. Identify those FF&E items to have asset labels attached Supervise and produce the raw data for those items with asset labels attached Prepare the Groups 2 and 3 FF&E Preliminary costing information. Demonstrated experience in dealing with high level analytical projects with attention to detail and problem solving skills including the ability to provide authoritative advice across a large and complex organisation, in the area of Furniture, fittings and Equipment procurements and contracts. Demonstrated expertise and leadership relevant to planning, design and delivery of FF&E within a project management environment. Demonstrated capacity to work autonomously in the achievement of project deliverables, particularly in relation to FF&E. Proven experience in engaging with and managing the expectations of stakeholder groups at all levels whilst maintaining effective working relationships with senior management. QUALIFICATIONS: Relevant Tertiary Qualifications in Health field or relevant equivalent work experience,or a combination of study and work experience specifically related to FF&E. While not mandatory, project management qualifications and understanding of the clinical models of care Page 4 of 5

TECHNICAL High level proficiency in the use of Microsoft excel and other databases relevant to equipment procurement and management. Knowledge of procurement and supply best practice methodologies. Demonstrated understanding of the role and function of private hospitals,community health services and aged care within the Australian health system. Excellent verbal and written communication.
