Vertical Phone System Upgrades 2014 Scope of Work
Project Overview Install new Vertical phone system and phones on site. Complete testing with API helpdesk. Remove old phone system, phones and box up for shipping back to CrossCom National. The tech must complete testing with API Helpdesk before leaving site. Project Hours Monday Thursday 3:00PM Before going to site 1. Please work order and scope of work, 2. Assemble the required tools listed on your work order 3. Verify you have your laptop On Site 1. Contact the CrossCom National project team using the IVR to check in. Be prepared to provide your work order number. 2. Check in with the manager. Required Tools 1. Digital Camera 2. Laptop with Crossover cable 3. 10 and 12 Ladders 4. Cat5 Cable Tester with Downloadable results The tech can begin mounting the backboard and phone system at 3:00PM. The can tone out station cables from the counter to the existing system (if needed). The tech CANNOT cutover any CO lines and/or station cables until the store is closed and we have approval from the manager. The tech will need to complete the following work when he arrives on site 1. Locate the equipment on site 2. Complete inventory 3. Mount the backboard 4. Mount the phone system on the backboard 5. Plug the phone system in and power it on 6. Run the network cable so the Vertical can be connected to the network 7. Connect the Vertical to the network 8. Contact level 2 tech support at CrossCom National to verify that they can ping the Vertical 9. Locate the station cables on site and label 10. Locate CO lines on site (at the backboard) and label
11. Once all CO lines and stations are cutover and before calling API helpdesk, call back into CrossCom National level 2 tech support to have programming confirmed. 12. After testing completed with level 2, contact API helpdesk at 781-253-3020 Floor Plans & Cable requirements Refer to the sample below, Install cables and jacks according to the verbiage on the floor plan, NOT by the pictures. The counter with terminals 1 & 4 in the sample below will have 3 faceplates with multiple inserts Location #3 will have 2 phone Inserts Location #2 will have 2 Network Inserts Phone and Network connections are homeruns. Fax, Modem and CC locations can share pairs of the same cable ** Note-The 2 modems in the front office area each connect to different phone numbers** Jack Color Codes Fill faceplates top to bottom, in this order, based on location. Jacks mount to counter legs, or best practice for location. Patch cord colors match jacks.
Network (Data) cables will terminate to Red Cat-5e jacks Digital Extension (Voice) cables will terminate to Black Cat-5e jacks Analog lines (Fax Modem Credit Card) will split pairs and terminate to: Green Cat-3 RJ11 for Credit Card Ivory Cat-3 RJ11 for Fax Grey Cat-3 RJ11 for Modem System Connection Points Rack Tabs will turn sideways for mounting There will be a 2 nd power supply to connect for the Keysets, not pictured. This plugs into the back of the Vertical, see the circle picture below. Wiring Notes Data Cables Verify on site BEFORE terminating, may have to adjust for customer Network. Dress cables so the Patch panel can be moved if needed. Terminate in order based on floorplan, follow ext number order where possible Jacks and Patch Panel MUST be labeled the same Test Jacks These jacks will be pre wired. Use the 6 Black ports for the lines going through the Vertical. Put the stand alone lines on the Blue. The white blue pair will feed line 1, white orange will feed line 2 etc. Connect Cable to Demarc from the the back of the test jacks, Line 1 to port 1, Line 2 to port 2 etc. Station cables Digital stations are all cat5e, terminate to C1 Ext 101 to Port 1, Ext 102 to port 2 etc. Analog devices will share pairs on the cable runs. See detail below the following table System Outputs Will be terminated according to table below. Verify you connect the cables to the correct cards. J1 connects to the trunk card in the slot closest to the board. J2 connects to the station card in the middle slot. The station card has an LED to the left of the amp connector.
Mount and connect the Brick style power supply for the keysets Dial tone Feed Sites will typically have 6 CO lines connected to the Vertical, 2 stand alone lines for analog devices. The Front office Modems do NOT share the same line number. Loop Dial tone through back of patch panel A1 Fax Dial Tone should appear on ports 1-6 CC/Alarm line should appear on ports 7-12 Patch Dial tone to appropriate cables on Panel C2 Label as xxx-xxxx ports 1-6 Label bottom half as xxx-xxxx ports 7-12 Stand Alone Line connections Each site will have 2 stand alone Lines that do NOT go through the phone system. The 2 dial back up modems MUST be on separate numbers The Fax and one of the dial back up modems connect to the Fax line The Credit Card and 2nd dial back up modem share the second stand alone line. Patch Panel Labels All ports on the Patch Panel need to be labeled. Label All Station cables to match the Jacks Label phone numbers for Dial tone feed on Patch Panel A1 Label station ports used on J2 with the extension number Ground System should be grounded before power up Lightning protector must be a separate ground Patch Cords Patch cords are color coordinated according to function, same color code as jacks Network (Data), Red Digital Extension (Voice) Black Green for Credit Card
Ivory for Fax Grey for Modems One Yellow Cat5 patch cord used for Network to Vertical connection. Connect to Switch port as directed by onsite contact Jack Labels Label Data Jacks to match patch panel port number Label voice Jacks with the Extension number Label analog jacks as to function, ie. Fax, Modem, CC. For multiple locations add a 1 after. Ex. Fax 1, Fax 2 System Power up Install BBU in basket as shown. Be sure to strap the internal Battery in the BBU Connect system power cable to BBU. Use one of the outlets that provides power back up, note some of the outlets are surge protection only. Connect Brick power supply. It has a power switch. Connect ALL phones before powering up the system Connect yellow patch cord to next available port on the Network Switch (Verify with onsite contact.

** For the Analog device station cables, follow this pattern example Use adjacent extension number to set the order (Jacks beside ext 101 go first, ext 102 2 nd etc. Label each port as to its use: fax, modem, credit card, etc. Sites will have (2) modems in the front office and these will NOT connect to the same number. WARNING!!! DO NOT UNPLUG POWER CORD TO RESET THE PHONE SYSTEM!!! IF INSTRUCTED BY SUPPORT TO RESTART THE SYSTEM MANUALLY, THE CORRECT SHUTDOWN PROCEDURE IS AS FOLLOWS: 1. Press and hold the red power button on the front right of the system for aprox 5 seconds until the light to the left of the red power button labeled Board begins to flash red. 2. The system will now perform a graceful shutdown. a. This can take a couple of minutes. 3. Once the system has shut down b. Reach to the rear of the system and power cycle the on/off switch IN THE EVENT THIS GRACEFUL SHUTDOWN METHOD DOES NOT WORK: 1. Press the recessed reset button labeled to the left of the red power button on the front of the system. a. This will shut down the system almost immediately and the system will automatically restart.
Old System Removal The old system, test jacks, and any other unused 66 blocks should be removed from the wall. The test jacks, blocks, brackets and old system output cables must be removed from site. Return labels have been provided for the old systems, phones and BBU s. Use the Vertical boxes and pack for return as follows. Mark the boxes with the Store number, pack and attach the correct label to be shipped back to CrossCom National. You will leave the boxes on site and the manager will give them to UPS. Project Completion 1. Verify all trash has been cleaned up on site 2. Take all required pictures 3. Contact the CrossCom National Project team to be logged out.
