Position Description POSITION TITLE: Excellence Program Coordinator SCHOOL/ OFFICE: Office of Marketing & Admissions PURPOSE OF THE POSITION: CLASSIFICATION LEVEL: Bond 4 DATE LAST CLASSIFIED / UPDATED: June 2014 Scope/Statement To provide a strategic focus to the recruitment of high quality students for Bond University courses. To support the General Managers Domestic and International, Managers of Schools and Community, International Regional Managers in the expansion and standardisation of a university wide scholarship program. To liaise with Bond University faculties, marketing staff, admissions staff, school careers advisors and other stakeholders on a national level to optimise recruitment performance from the designated market. To ensure maximum accountability and conversion for all scholarship activities across all regions. The role is principally one that involves working with the respective General Managers to develop and implement a strategic and cohesive marketing program focused on the recruitment of high quality students from around the world to Bond. In addition, the Excellence Program Coordinator will be required to coordinate the Bond University Scholarship Program, Student for a Semester Program, RSL Youth Development Program and Student Ambassador Program. In conjunction with the Office of Development the role is responsible for developing, maintaining and managing other new and emerging programs specifically designed to attract high quality students to Bond University. Role/Responsibilities The Excellence Program Coordinator will be required to provide a high level of strategic marketing input to the Domestic and International recruitment teams in conjunction with the General Manager Marketing and Communications in the promotion of Bond University scholarships, Student for a Semester and the RSL Youth Development Program. Furthermore, they will be required to manage procedures, organise events, marketing activities and where necessary assist the Marketing Manager. Supervision/Planning/Judgement The Excellence Program Coordinator will report to the General Manager Marketing and Communications and the role will require liaising with the Managers of Schools and Community and International Regional Managers, faculty representatives, the Office of Development, students and other marketing and admissions staff members.

Demonstrated skills in analysing statistical data and the ability to produce reports in a concise manner. Ability to exercise independent judgement, to solve problems and make decisions based on knowledge of policies and procedures. Demonstrated skills in the use of a range of computing applications including Microsoft Word, Excel, Access, Outlook and other database software packages. Plan the future management of Bond University s Scholarship Program by developing business rules for online solutions. Develop regular recommendations which will be supplied to Senior Management, indicating areas for improvement, conversion rates, quality and cost per acquisition etc. Monitor the performance and seek opportunities in the Bond University Collegiate School Program including marketing programs and targeting individuals. Develop market research reports outlining opportunities; including competitor analysis, reports on past results and explanations and outlines on operations for individual marketing tactics. Develop and maintain relevant and up-to-date Collegiate School Program Induction Packs and other marketing material which outlines the agreement, benefits and responsibilities as a Bond Partner schools. Work in conjunction with the Office of Development to grow relationships, identify new opportunities and develop new scholarships and excellence programs with outstanding business. Work in conjunction with the Office of Development to identify new audiences to recruit outstanding potential students to personally invite to participate in one of the National Excellence Programs. Liaise with all the winners of all programs and manage the further opportunities involved in their ongoing success including but not limited to - PR - Website Profiling - Social Media - Flash File Profiles etc... MANAGEMENT Manage the marketing tactics & generate record breaking application year on year for all excellence programs: - National Scholarships Program including 100%, 50%, Dean s, Sponsorships, Bursaries and discounts. - International Scholarships Program - RSL Youth Development grants - Student for a Semester Program - Student Ambassador Program - All application for pre-university excellence programs Manage the inclusion of International Scholarships into the current program, including the training of International Regional Managers and the changing and updating of policies and procedures to include this new market Developed business rules and internal processes that effectively introduce new scholarships in conjunction with the Office of Development. Monitor the performance of existing and new collegiate school partners and make regular recommendations to Management, Regional Managers and IRMs on their effectiveness and adherence to the program Interpret reports which track scholarship deferrals, make predictions and recommendations as to appropriate conversion strategies which enable internal stakeholders to more effectively budget Develop, implement and train all internal stakeholders on the business procedures, policies and regulations surrounding all scholarships. Manage the Student Ambassador Program effectively and efficiently through recruitment of both international and domestic volunteers and through the management of the following activities: - Student Ambassador Award Evenings Ensure the university-wide procedure for new scholarships is developed and abided by all departments involved. SMG, Office of Development, Office of Student Systems, Finance and Office of Admissions Each of Bond University s scholarships is attached with official rules which can be audited and passed by university and official committees.
MARKETING - Scholars Dinners - Orientation Week Information Hub - Collateral requests - Campus Tour requests - Other Student Ambassador related activities Mentor and work closely with the Scholarship Coordinator to ensure all scholarship policies and procedures are maintained and adhered to. Offer support and training when necessary to build knowledge of the program. Planning Prepare the program marketing and scholarship annual plans and reports outlining opportunities, including a competitor analysis, reflecting on past results and explaining the operational plan for all tactics in conjunction with national and international marketing managers. Develop policies, procedures and marketing collateral for the introduction of new collegiate school partners, both Domestically and Internationally into the current scholarship suite in conjunction with national and international marketing managers. Website Identify opportunity to raise the awareness of the Bond University programs through the internet in conjunction with marketing manager. Manage the content on specific web-pages on the Bond University website and other sites related to the programs. Report on the effectiveness of the material published to this medium. Direct Marketing - Ensure all market segments are informed of the Bond University programs through mail and email campaigns. Events Event management, from start to finish: selection weekends, information sessions, student events and internal meetings. - Investing in your Future - Vice-Chancellor s Scholarship Selection Weekend - Scholarship Selection Day - RSL Youth Development Leadership Weekend - Student for a Semester Orientation and Award Evenings Plans are well written, timely and communicated to the wider university. Ensure website maintains true and accurate at all times. Increased open rates on all e- campaigns and increased response rate on mail campaigns. Increase the number of attendance year on year. Ensure approximately a 90% satisfaction at all events.

PROGRAM MANAGEMENT AND ADMINISTRATION Develop opportunities to promote international scholarship winners to agents, international collegiate schools etc. Work in conjunction with the Office of Development to grow relationships, identify new opportunities and develop new scholarships and programs For both prospective international and domestic students. Manage the recording and accurate tracking of all scholarship, Student for a Semester and RSL Youth Development Program applications. Manage efficient selection of scholarship and RSL Youth Development Program winners by using and further developing selection criteria. Manage the RSL Youth Development Program assessment and administration process Develop and work to grow the RSL Youth Development Program. Network and maintain the traditions and expectations of our student body. Maintain internal relationships and external partnerships through frequent correspondence. Confident reporting and updates using databases. Adherence to timelines, procedures and policies. Ensure a 1 day turnaround for all enquires and concerns. Grow the RSL Youth Development Program to a 1 million dollar deal. Have a positive repour with Student Council.
PLANNING & REPORTING CLIENT RELATIONSHIP MANAGEMENT TEAM WORK ADMISSIONS & INTERVIEWING Understanding of Quality Assurance Prepare the Excellence Programs plan including the Bond University Scholarship Marketing plan. Provide annual plans, timelines, and reports on all programs year round. Make recommendations to the Marketing Manager on ways to improve and develop all Bond University scholarship programs. Produce ad-hoc reports for Senior Management Group (SMG) and the Office of Marketing & Admissions Team Leaders. In conjunction with the Development Office, isolate opportunities to broaden Bond s scholarship portfolio with current and new partners. Cross-training across all elements of the Marketing Teams. Where required, assist Regional Managers and Managers of International Programs in the admissions process and interviewing of scholarship applicants. Staff should demonstrate an understanding of the principles of quality assurance and continuous improvement as they apply at Bond University. Staff are expected to demonstrate an ongoing commitment to the Bond University Strategic Plan, university policy and to our quality assurance processes. Reports/ plans/ timelines are concise, well structured, correct, and delivered within the specified timelines.
