VIRTUAL EXHIBIT TERMS & CONDITIONS Deadline Dates: Because each virtual exhibit booth takes time to create and approve, we cannot guarantee your booth will be in the next release unless we receive your contract and complete production materials by March 24 (the Space Guarantee Date). We cannot accept contracts past March 24, 2006 (the Absolute Deadline Date) for the next release. Earlier orders have a better chance of being included. Standard Booth Design Charges: Before a booth can be included in a virtual exhibit, the booth itself must be designed and modeled in 3D. Exhibitors may choose a starting base design from the many standard structural designs contained in our booth repository. From that base, geometry changes will be made to add the Simple Product Displays desired (see that section for details). The model is then textured with textures chosen from our standard texture library, and with textures created based on the exhibitor s actual products or information to be displayed. For every 100 square feet of booth space, up to 5 simple product models and 10 pages of ebrochures are included in the base booth price. Additional geometry changes ordered by the exhibitor will be billed at $75.00 per additional hour. Additional pages of ebrochures will be billed at $45.00 per additional page. Standard booths do not include any 3D product modeling. Custom Designed Booths: Exhibitors may choose to design and build a custom booth without starting with a base design from our repository. These custom designed booths will be billed at $75.00 per hour for the actual design work done. The design charge is in addition to the standard booth design/space rental pricing based on the equivalent size of a standard booth. A firm time estimate will be provided based on initial discussions and barring unusual circumstances shall be the amount billed. If circumstances caused by the exhibitor force the estimated time to be exceeded, a new estimate and approval will be required before continuing. Regardless if the exhibitor cancels or continues, all hours worked to date will be billed and is payable. Simple Product Displays: Each product or service to be displayed is accomplished by placing images on a simple primitive shape such as a cube, cone, sphere, or pyramid. The images may be the equivalent 6 sides viewed of a rectangular shaped product or package, or may be different images representing different models within a family, or different functions or benefits of a service. For example, if you were displaying a stereo system, you would show each of the sides of that product on each of the 6 sides of a cube. If you were displaying a line of electronic components, you might place an image of capacitors on one side of a box, resistors on another side, and each side would click to its own ebrochure. If you were displaying a service, each side could highlight a major function or benefit of that service. (Note: If you wish to display something with a unique shape (such as an automobile or a forklift) please refer to the 3D Product Models section for an alternate approach.) EBrochures: Each object in a booth (simple product displays, signs, posters, etc.) can be linked to one or more ebrochures. Each ebrochure in turn, can be linked to other ebrochures. An ebrochure is typically 620 pixels wide by 440 pixels high so they fit on a standard VGA 640x480 screen. The maximum size is 780 x 1040 pixels, which is suitable for printing on standard 8-1/2 x11 paper. For each simple product display in your booth, two (2) ebrochure pages per are included at no additional charge. For example: If you have 5 simple products displays, your booth includes up to 10 ebrochure pages at no additional charge. Additional ebrochure pages cost an extra $45.00 each. In-Booth Presentations: A virtual exhibit booth may contain one (1) PowerPoint style presentations per 200 square feet of booth space. Each may be up to 20 pages of slides, each slide measuring up to 620 pixels wide by 440 pixels high. Material for presentations must be provided by exhibitor in the form of a complete Microsoft PowerPoint presentation that will be scaled and converted into the actual Expo3D slide presentation format. The presentation may contain only static images and text, no animations or sounds. Sound may be added for an additional charge of $150.00 for each 30 seconds. Additional slides may be added at $45.00 per slide. Alternate Format Files: Objects in a booth may also be linked to other kinds of exhibitor provided files (in addition to an Expo3D ebrochure) such as an Acrobat PDF file, or.mpg video clip, sound files, program files, etc. Each simple product display may have a single additional file as long as the file s size does not exceed 200,000 bytes. Multiple files, or files larger than 200,000 bytes will be billed an extra space charge of $450.00 per MB billed in 200KB increments. Voiced Scripts: Each virtual booth may include a single automated attendant avatar that is custom scripted covering a maximum of 30 seconds of action and voice data. Additional script actions or voice data beyond 30 seconds is billed at $150.00 per 30 second increment. 3D Product Models: Individual 3D product models can be created to replicate an exhibitor s actual product allowing the visitors to view the product from any angle. The creation of models is dependent on the product s complexity and will be treated as custom work and follow the same billing and acceptance procedures as described in Custom Designed Booths. Booth Redesigns: Existing booths used in previous releases may be redesigned and updated before the next release. The price for a redesign is $9.00 per square foot. This includes the re-texturing and re-lighting of the booth but no geometry changes. This also includes the updating of existing ebrochures that require less than 50% modifications. EBrochures with over 50% modifications, or new ones, will be billed at $45.00 per additional page. Payment Terms: A 50% deposit on both the annual space rental and booth design charges is due at the time the order is submitted. Design work will not begin until receipt of deposit. The remaining balance will be billed after the initial release and is due in 30 days.
