1 Elite Stadium Management & Events POSITION DESCRIPTION Position Title: Stadium Operations Officer Organisation: Elite Stadium Management & Events Reports to: Stadium Operations Manager Primary Location: Dandenong Stadium: 270 Stud Road, Dandenong North Updated: April Organisation Brief Dandenong Basketball Association, trading as Elite Stadium Management & Events (ESME), employs approximately 15 full-time staff and 40 part-time and casual staff. Our core business is to provide fitness & leisure services to the City of Greater Dandenong and its surrounding communities. Dandenong Stadium is a 15 indoor multi-court facility that houses both Dandenong Basketball Association and Volleyball Victoria and plays host to a number of major national and international events. The facility is one of the largest in Australia and receives over 15,000 visitations per week. The goal is to maximize use of Dandenong Stadium to its fullest potential. ESME maintains all management rights to the facility. 2. Purpose of the Position The Stadium Operations Officer will work alongside and assist the Stadium Operations Manager with a varied list of tasks that directly relate to the overall management of Dandenong Stadium. The main functions of this role are: In liaison with key stakeholders, manage and coordinate all court hire and all function and meeting room bookings In liaison with relevant departments oversee and report any required maintenance and cleaning. Control, update and maintain POS operating system and train casual staff as required Assist with preparation of staff rosters as required Other tasks as directed by the Stadium Operations Manager Prepared by Kathryn Ousley Page 1 of 5

Major Position Responsibilities KEY RESULT AREA RESPONSIBILITIES KEY PERFORMANCE INDICATORS Actively promote court hire at Dandenong Stadium within the local community and seek to fill all spaces, Maximised use of courts 1. Court taking into consideration requirements of all users Up-to-date invoicing Bookings Receive, secure and finalise all court bookings within 5 working days with a confirmation . Courts set up correctly for Liaise with customers/clients regarding court availability, stadium closure, court changes. different users Send invoicing details through to the Finance Manager to invoice clients/customers at the end of each Customer & user feedback month Liaise with supervisors and maintenance staff and advise all court set up requirements in a timely Actively promote function room hire within the local community Time management / Efficiency 2. Function Receive function room expression of interest forms and provide clients with a quote based on their Maintain and increase bookings Room requirements within 24 hours. Customer feedback Bookings Finalise all function room bookings with a confirmation and hire agreement Event & function success rates Send invoicing details through to the Finance Manager to invoice clients/customers at the end of each month Liaise with catering manager/external caterers to ensure all event requirements are met Actively seek to expand knowledge of software packing in line with upgrades/expansions, etc Implementation of new 3. 3 Prepare/provide all relevant court plans, meeting room & function room bookings to relevant 5. Staff stakeholders In conjunction with the Operations Manager, oversee and assist with the training and preparation of rosters and general management of casual staff Ensure all ESME staff is First Aid qualified and Defibrillator trained. Organise these courses for any staff 6. Occupational members who are nearing the end date on their certificates. Health & Take responsibility for the health and safety of yourself and others by reporting any risks to management Safety and/or to the maintenance manager immediately. Be familiar with the Occupational Health and Safety policy in the Code of Conduct document. Ensure other Health and Safety responsibilities are completed as required. Report any hazards or maintenance issues to the Stadium Operations Manager and/or the maintenance manager. 7. Work Ethic Approach tasks in a flexible and positive way. Work with staff members and customer in a consultative. Be proactive and efficient, (good time management). Read and ensure understanding of Code of Conduct and Human Resource Policies of ESME. 8. General Provide accurate to Stadium Operations Manager information as required for reporting purposes Administration Actively promote services of ESME Data entry and record keeping as required by Stadium Operations Manager Rosters prepared in a timely Knowledge of procedures for reporting of OH&S risks and accidents. Selection Criteria Demonstrated skills in literacy, numeracy, accuracy and attention to detail Highly developed time management proficiency Pro-active approach to work tasks Knowledge and understanding of Occupational Health & Safety The demonstrated ability to work autonomously Sound computer skills and understanding of IT operating systems The ability to participate as an effective team member in a fast paced environment The demonstrated ability to be flexible, to use initiative, and a sound work ethic Previous experience with events and or facility management an advantage A keen interest in sports, including basketball and volleyball an advantage 7. Specific comments relating to the position The role is solely overseen by Elite Stadium Management & Events Liaison with Dandenong Council in regards to maintenance, upgrades, etc to the facility.
