2 Welcome Hello, and welcome to Creative Bridge. We re looking for an enthusiastic, driven and reliable Customer Service Executive who is excited at the prospect of a new challenge. This is a great opportunity for someone looking for a change in career or for a new opportunity, as part of a vibrant, friendly and creative business. We need someone as our front of house representative to be the face of the company and to offer administration support to other team members. You will also need to provide support to the Management Accountant by creating POs and quotes and keeping our jobs system up to date. Our ideal candidate will have an eye for detail, a head for figures and a heart for helping others. A flair for organising people and events would also be a great advantage. Based in a country house near Lutterworth in Leicestershire, we re a friendly full-service agency that s focused on being our clients first call and favourite place for all marketing communications. Our new Customer Service executive will: Carry out reception duties such as answering the telephone and directing calls, meeting and greeting visitors, opening and distributing post Support each team in the researching, quoting, ordering and organising of advertising space and promotional goods With supervision, hold petty cash and be responsible for the stationery budget Support the Management Accountant with HR related tasks such as holiday monitoring and absence forms Assist the Studio Manager with new starter inductions and updating our job management system Organise events such as a presidential dinner and our own Christmas party Work in accordance with the company s budgetary targets, company procedures and quality standards at all times.

5 about the job The successful postholder will: 1. Act as the front-of-house representative for the company, greeting visitors and offering them a warm welcome 2. Answer calls and directing them to the appropriate member of staff or taking messages where appropriate 3. When requested, support each team with researching, organising and quoting promotional goods taking into consideration the client s requests and budgetary requirements 4. Support the Management Accountant by assisting with the monthly invoicing 5. Report to the Management Accountant on a daily basis keeping him/her up-to-date on any relevant office issues and supporting the administration and implementation of HR matters 6. Book and co-ordinate meetings for members of staff 7. Produce quotes and purchase orders and update the job management system on a daily basis 8. Offer administration support to team members 9. Order stationary and toners and service the printers with the help of an external supplier 10. Coordinate events such as the Christmas party and CIH Presidential dinner, which involves booking hotel rooms, arranging invites and dealing with the organisations involved 11. Work with others, both internally and externally, in a co-operative and confident capacity 12. Work in accordance with the company s quality standards, procedures and budget at all times.
6 our perfect candidate Essential skills and experience: Excellent customer service ethics and communication skills Strong numeracy and writing skills Superb time management skills with the ability to prioritise tasks A passion for helping others Ability to juggle tasks and organise members of staff Desirable skills and experience: Experience of working with a creative agency Experience of administering job management systems Experience of working with FileMaker Pro based MRP system. Full training and an induction will be provided. Competent in Microsoft packages, in particular Excel, Word and Outlook Superb attention to detail, especially when producing quotes, POs and invoices Excellent telephone manner Articulate, professional and personable Experience of working in an office environment.
