1 Cambridge Judge Business School Further particulars JOB TITLE: REPORTS TO: INTERIM MARKETING ASSISTANT (FIXED TERM) MARKETING & COMMUNICATIONS MANAGER Background The Marketing Assistant role is part of the marketing function at Cambridge Judge Business School s (CJBS) Entrepreneurship Centre (EC) at the University of Cambridge. The EC delivers over eight programmes, numerous events and activities per year to inspire, enable and research entrepreneurship within the University of Cambridge and beyond. In 2015, CJBS turned 25 years old and articulated its vision to encompass the full entrepreneurial journey, launching the EC under the patronage of HRH The Duke of York. This new development builds on the track record in entrepreneurship education by bringing together the Centre for Entrepreneurial Learning s role in unlocking entrepreneurial potential through programmes such as Enterprise Tuesday, Ignite and the Postgraduate Diploma in Entrepreneurship; Accelerate Cambridge's expertise in incubating promising ventures into businesses; and the new SME Growth Club designed to support SMEs develop their management capabilities. The role The Marketing Assistant supports the implementation of the marketing strategy for the Centre and programmes. The role holder works productively and pro-actively with the EC team, students, delegates, external entrepreneurs and practitioners; University of Cambridge and CJBS staff to ensure the effective delivery of specific programmes and events through marketing and communications activities. The primary aims of the role are to raise awareness within the University of Cambridge and at a local, national and international level of the EC s mission to inspire, enable and research entrepreneurship through training programmes and other projects; to promote the attributes and benefits of specific programmes to relevant target markets through defined marketing projects, campaigns and networking events; to provide marketing support to the EC team. The role holder assists the Marketing Manager with all aspects of the company s marketing and communications strategy as well as providing administrative support on specific marketing activities. The role holder reports to the Marketing Manager for line management. On a project basis, the role includes co-ordinating with Programme Managers on marketing activities. MAIN RESPONSIBILITIES Marketing administration Support the Marketing Manager with financial administration on a project basis including raising purchase orders and processing invoices where appropriate. Assist in writing reports and analysing data on marketing activity. 1

2 Manage and co-ordinate the schedule for annual marketing planning meetings and regular meetings between the marketing and programme teams to facilitate effective planning of marketing activity across the year. This includes writing and circulating meetings agendas after discussion with Marketing Manager. Organise and administrate market research projects. Assess the results of marketing campaigns using available tracking tools and provide reports to inform on their effectiveness and make recommendations for future planning and implementation. Liaise with other University departments and contacts to exchange information on event, newsletters, etc as needed. Liaise with external contacts to build further marketing channels to promote the Centre and programmes, i.e. external networks, web sites, media and newsletters. Handle enquiries from media sales and discuss information on potential opportunities with the Marketing Manager as appropriate. Retain and refresh the Entrepreneurship Centre online image library. Maintain the Entrepreneurship Centre press release and case study library. Monitor and maintain supplies of marketing and promotional collateral. Develop and improve administrative procedures for marketing-related activities and provide clarification for the Entrepreneurship Centre team on these procedures. Marketing communications Support the development of branded templates for reports, course manuals and teaching materials, disseminate to the Entrepreneurship Centre team and provide assistance as required. Liaise with the Marketing Manager and EC Programme Directors/Managers to develop content and production schedules for programme marketing collateral. Support the Marketing Manager in the development of EC collateral by gaining quotes, collating data and liasing with agencies and team members as needed. Proof and edit content for EC and programme marketing collateral as part of agreed production schedules, ensuring consistency of style and gaining final sign off from the Marketing Manager and relevant programme team members. Liaise with external agencies to progress marketing collateral to agreed production schedules and budgets. Support the development of online advertising campaigns and digital marketing activities via channels such as Google and LinkedIn in conjunction with the appointed media agency, helping to evaluate data and effectiveness of campaigns in line with strategic aims. Liaise with external contacts to circulate information on EC marketing activity via external websites, newsletters, networks and other channels as needed. Assist with promotion via social media by posting agreed content to EC social media groups on LinkedIn, Twitter and Facebook. Co-ordinate production of artwork with external agency for advertising or print. Manage internal communications from across the University and CJBS including content for plasma screens, information points, bulletin boards, intranet and other internal channels to ensure consistent flow of information and messaging. 2

3 Event co-ordination Arrange and co-ordinate the logistics of events to promote the Centre and for programmes as required. Book venues, catering, guest parking and liaison with the venue. Coordinate and send event mailings to target audiences as agreed with the Marketing Manager. Co-ordinate attendee lists and following up enquiries. Additional liaison with event speakers and/or speaker support team. Financial administration ensuring the event is completed in budget. Customer relationship management (CRM) Assist the Marketing Manager in activities and processes for finding, targeting and winning new customers/students/delegates. Work with the Marketing Manager to develop a database of contacts for marketing purposes, then to administrate and monitor the lists regularly to keep them updated and as accurate as possible. Communicate with alumni to develop and update case studies and news stories on a regular basis. Support the management of marketing activity for the EC community beyond the EC portfolio of programmes. Public relations co-ordination Develop and manage a process for handling press enquiries which ensures efficient processing of information and response from the EC team. Support the Marketing Manager on the implementation of PR campaigns and activities to raise awareness of EC and to support the entrepreneurial offering at CJBS and the University of Cambridge. Support the Marketing Manager in the development of regular podcasts for the Entrepreneurs and Exerts series through liaison with potential interviewees, booking interview slots and getting approval for publication. Ensure the Centre blog is regularly updated with new material in line with agreed timetable by liaising with EC team and guest bloggers. Help develop relationships with journalists from relevant local, national, trade and entrepreneurial media to build contacts and aid PR activity. Website co-ordination and maintenance Develop and maintain timetable for regular update of the Entrepreneurship Centre website and communicate to EC team. Keep the website up-to-date and refreshed through adding and editing content in line with agreed web content timetable. Liaise with external agencies and CJBS web team to develop graphics, visuals or content additional to text for web pages relating to Entrepreneurship Centre programmes as required. Collate the monthly reports on stats from the EC web site using Google Analytics and provided feedback as needed for future development of web site. 3

4 Support the generation of content on the entrepreneurial offering within CJBS programmes in consultation with the EC Marketing Manager, EC Director, EC Executive Director and CJBS Head of Online Communications for incorporation into the CJBS website to increase visibility of entrepreneurship at CJBS and aid recruitment to CJBS programmes. Work with the CJBS online communications team and IT team on technical issues as appropriate to ensure optimal presentation and user experience. Support the Marketing Manager with the annual review of the EC website to meet marketing objectives. Other activities Provide support to team on a reciprocal basis during times of pressure and work overload. Participating in relevant committees and working groups at CJBS and the University. Keep up-to-date with marketing industry developments and applying them to marketing activities as appropriate. Other duties, as requested by the director, to support marketing and communications activities. From time to time, the role holder may also be required to perform other duties based on the grade of the post and current work commitments. The person The ideal candidate should have the following qualities, skills and attributes. You are asked to demonstrate how your own experience meets these requirements in the suitability for the role section of the online application form. Essential Relevant degree or equivalent work experience. Basic knowledge of marketing methods and principles, including application to the delivery of customer-focused projects and events via a range of marketing tools and channels. Project management skills with the ability to implement and monitor marketing campaigns. Knowledge of PR and communications, and knowledge of branding. Knowledge of social media platforms and communications via these channels in a marketing context. Knowledge of marketing research and print production and design. Good copy writing, editing and proof reading skills. Good analytical skills. Knowledge of use of contacts lists and databases for marketing campaigns. Good IT skills with experience of word processing, spreadsheet and database software. Some marketing and event co-ordination work experience, organising and promoting events. Ability to co-ordinate marketing promotional literature from design to completion to high standards and strategic objectives. Experience of co-ordinating marketing campaigns using a range of marketing tools, i.e. direct mail, PR, literature, web site, advertising. Experience of using social media in marketing campaigns. 4

5 Understanding of implementing marketing research activities. Ability to multitask and work to tight deadlines. Ability to think creatively in resolving problems. Financial administration experience. Interaction with customers and stakeholders. Some experience of liaising with external agencies and suppliers (Creative/PR/Web site). Experience of working in a team. Managing and monitoring databases/mailing lists. Pro-active with team spirit. Co-ordinating and writing for web site. Strong desire to develop within a marketing role. Strong organisational skills. Good interpersonal, verbal and written communication skills. Good customer facing skills needed to represent EC at functions and for networking. Desirable Postgraduate qualification in marketing or to have (or be working towards) a marketing/communications professional qualification. Knowledge of customer relationship management activities. Knowledge of e-newsletters and marketing platforms, e.g. DotMailer. Knowledge of desktop software. Benefits This is a full-time position working 36.5 hours per week. Holiday entitlement is 28 days per annum plus eight days of public holidays. The salary will be in the range 21,605-25,023 per annum. The funds for this post are available for nine months only. The full incremental salary range for the position is advertised in order to demonstrate the progression for the Grade. In the majority of cases appointments will be made at the Grade minimum; only in very specific exceptional circumstances can a higher salary be offered.
