1 Microsoft Office 365 Online Crowley ISD User s Guide The documentation within contains information regarding the use of Microsoft Office 365 Online for faculty and staff in Crowley ISD.

3 Crowley ISD and the Technology Department are pleased to be able to provide Microsoft Office 365 to all of our staff. This product will begin to replace our current installed Microsoft Office suite that is loaded onto all computers. In fact, you have access to most of its components right now, including Word, PowerPoint, and Excel all online! You can begin using these tools already at the following URL: login.microsoftonline.com There is no need to create a new account; your current CISD address and password are already loaded into the service, and instructions are included in this manual. As we continue to move forward in this digital age and global environment, it is incumbent upon us as educators to continually provide, model, and teach 21 st Century Learning Skills. The basic tenets of 21 st Century Learning revolve around collaboration, communication, critical thinking, and creativity, often called The 4 C s. With Microsoft 365 we now, more than ever, have the tools to more efficiently provide access to these necessary skills. Collaboration With the Share features of Microsoft 365, especially using Word, PowerPoint and Excel, students and teachers will have the ability to create documents that can easily be shared with other students and teachers, allowing collaborative editing and creation in a live, real-time environment. These tools will work on all CISDsupported devices, and eliminate the need for students or teachers to be present together in order to generate content. Communication Crowley ISD has created accounts within Microsoft 365 for all staff and for all secondary students. Since your Outlook account and 365 account are housed together, the ease in which staff and students can generate content, save it, distribute it, and share it whether online in real time or offline can all be found in one place. This maximizes communication ability between teachers, between students, and between teachers and students. Students and teachers also have access to the OneDrive. OneDrive is a storage system that allows you to store your documents in an online cloud environment, with access to them at any time from any location with almost any device. You can also utilize the Share feature of the Microsoft OneDrive to provide efficient routes and tools for effective communication, allowing single users, groups of users, or everyone, to have access to files and documents contained in your OneDrive. Critical Thinking Analyzing, classifying, evaluating, and problem solving are all skills that need to be grown in our students. Making the web available to students and providing tools to test those skills in a safe, collaborative environment are important elements of what Crowley ISD strives to provide. Working with shared files and with guidance from teachers, students will be able to seek out answers from their colleagues, analyzing and evaluating each others work to solve common problems in innovative and imaginative ways that can be used to enhance each others content, is a very empowering service that Office 365 supports.

4 Creativity Brainstorming, designing, imagining, questioning, and seeking out known, or new, answers is critical to developing learning skills that create lifelong learners. Office 365 provides digital methods for creating presentations, documents, and even video files that illustrate the creative imperatives that students with differing learning styles crave. Please take some time to familiarize yourself with the instructions that follow, and feel free to ask questions. We are committed to getting you set up and working quickly, with as little interruption as possible.

5 How to Set Up your Outlook service on your Desktop. Look for the following ICON on your Desktop: Double-click as if to Launch the program. You should receive the following POP UP WINDOW. (Notice this is an autodiscover window it s looking for your account) Complete the information in the required fields. User Name: suffix@crowley.k12.tx.us Password: (your CISD password) A new POP UP WINDOW will come on. This is a Welcome to Office 365 notice. Please complete those empty fields the same as before. Upon completion, the Outlook program should begin running. It will take a few moments for it to fully populate. Once complete, you will be ready to go!

6 Remove previous and setup Office 365 on device. ipad or iphone 1. Go to Settings. On left column select Mail, Contacts, Calendars 2. Click on your Exchange Account. 3. Scroll to bottom and click on red Delete Account 4. Press the blue back button on top left 5. On top right, select the tab Add Account 6. Select Exchange 7. Type in your address and password. Description is optional but could say Crowley ISD 8. Press Next 9. You may see a screen that ask for more information. If not, go to Step 10. a. Domain\Username: facultyservices\full address i. ex: facultyservices\troy.aikman@crowley.k12.tx.us b. Exchange server: outlook.office365.com 10. Decide what you want to have access to on your device. Keep all 5 options with green tab showing. 11. Select Save 12. You re done! It will take a few minutes to sync all of your s to device.

7 Android device. Option 1 Download the Outlook app from Play Store (Easy) 1. Go to your Google Play Store, search for Outlook. It will show as Microsoft Outlook Preview. 2. Download the app. 3. Open the app after installing. App will be called Outlook 4. Select Exchange 5. Type in your address and password. Description is optional but could say Crowley ISD 6. Press Sign in 7. You re done! It will take a few minutes to sync all of your s to device. 8. Using the app a. To write , press the envelope icon with a plus on top right of screen. b. To access folders, calendar, attachments, select the three lines on top left. Option 2 using default Mail option. 1. Go to your apps and find Mail and open it. 2. Depending on if you have personal setup will determine this step. a. If another is set up - Press your Settings button on bottom of phone, (has rectangle with 2 line, not on screen) i. Select Settings -> Add account b. If you never added go to next step 3. Type in your address and password. Select Next 4. Select Exchange account 5. Setup may not work. If not or it ask for more information, do the following. a. Domain\Username: facultyservices\full address i. ex: facultyservices\troy.aikman@crowley.k12.tx.us b. Exchange server: outlook.office365.com c. Select Next 6. Window may pop up Remote Security admin, say OK. 7. Determine how you want to set up , or leave alone. Scroll to bottom and press Next. 8. Another window for app settings will pop up. Select Activate 9. Name your account. You may call it Crowley ISD. Select Done. 10. You re done! It will take a few minutes to sync all of your s to device.

8 How to use Word, Power Point, or Excel Online with Office Sign in at a. Staff use current district issued and password and you will have to login 2x b. Students ID ex: Use computer login password. 2. It may have a popup before you enter your password. If it does, type in your normal computer login. 3. You will now be directed to the Office 365 main screen. From here you can select Word Online, Excel Online, and Power Point Online. a. The features at the top are for installing the software. This will not be needed at this time. b. Other features will be made available at a later time. c. OneDrive is used for online cloud storage.

9 4. Select Word Online to start or any other Online Application. You may see a screen like below. Click on the grey box to continue. 5. If you get redirected at any time, in the top left corner, you will see a 3 by 3 square. Click on this to access your available apps. 6. We will now start a new document. You will see an initial starting page. Click on Blank document

10 7. You will see the Word Online look, which looks similar to Office 2007 and up. 8. To share a document (I would recommend doing this IMMEDIATLEY after starting a document to your teacher, click on the Share icon on the top right.

11 9. Using OneDrive this is where all of your created files, shared files, and uploaded files will be. You currently get 1 Terabyte (1000 GB, Google offers 15 GB) of storage, so no need to save files on your device. To access OneDrive, you can do one of the following: a. Login and click on OneDrive from the main screen b. Click on the Apps icon at the top left and select OneDrive 10. Student can be accessed the same way as One Drive, except it will be titled Outlook. Use this to access your school or to your teachers. a. Teachers may not be able to students with their school , but it is being looked into.
