4 HOW TO CONNECT Deciding on best method (POP or IMAP) There are several ways to access your new account, these include webmail, a mail client on your desktop computer and mobile device. Before you do anything you need to decide how you are going to access your , either using POP or IMAP. You might not have the answer to that, so answer this question to help you decide. Are you planning on checking your on multiple computers and/or a mobile device such as a phone or tablet? If you answered yes to that question then you want to use IMAP, otherwise if you are only going to access your on one computer and have no intentions to ever use multiple devices then POP is what you should use. 100%

6 Setting Up Microsoft Outlook Setting Up a POP3 Account 1. In Outlook, select Tools / Account Settings. 2. On the tab, click the New button. 3. Click the Next button. 4. Check the Manually configure server settings or additional server types checkbox. 10. Click the More Settings button. 11. Click the Outgoing Server tab. 12. Check the My outgoing server (SMTP) requires authentication checkbox. Leave the default setting to, Use same settings as my incoming mail server. 5. Click the Next button. 6. Click the Internet button. 7. Click the Next button. 8. Enter the following information: Your Name Enter your first and last name. This is the name that will appear in the From field of messages you send. Address Enter your entire address (e.g., myname@mydomain.com), using all lowercase letters. Account Type Select POP3 from the drop-down menu. Incoming mail server Enter the following server name: secure. srvr.com Outgoing mail server (SMTP) Enter the following server name: secure. srvr.com User Name Enter your entire address (e.g., myname@mydomain.com), using all lowercase letters. Password Enter the password for your account.tap the Save button. 9. Check the Remember password checkbox, if you want Outlook to check for without prompting you to enter your password.

7 Setting Up Microsoft Outlook Setting Up an IMAP Account 1. In Outlook, select Tools / Account Settings. 2. On the tab, click the New button. 3. Click the Next button. 4. Check the Manually configure server settings or additional server types checkbox. 5. Click the Next button. 6. Click the Internet button. 7. Click the Next button. 9. Check the Remember password checkbox, if you want Outlook to check for without prompting you to enter your password. 10. Click the More Settings button. 11. Click the Outgoing Server tab. 12. Check the My outgoing server (SMTP) requires authentication checkbox. Leave the default setting to, Use same settings as my incoming mail server. 8. 8 Setting Up Mac Mail Setting Up an POP3 Account 1. Open Mac Mail. If this is the first time that it has been used, it will start an Setup Assistant. Otherwise, the new account Setup Assistant can be started by selecting File / Add Account... at the top of the screen. 2. Enter the following information:. Full Name Enter your first and last name. This is the name that will appear in the From field of messages you send, right ahead of your address. A company name can also be used, if you prefer. Address Enter your entire address (e.g., myname@mydomain.com), using all lowercase letters. Password Enter the password for this address. 3. Click the Continue button to proceed to the next window. 4. Under Incoming Mail Server, do the following: Account Type Choose POP from the drop-down menu. Description Enter a phrase that will help you identify this account, such as Home, Work, and so forth. Incoming Mail Server Enter the POP server name: pop. srvr.com User Name Enter your entire address (e.g., myname@mydomain.com), using all lowercase letters. Password This field should be populated with the password from the first screen. If not, enter the password for this address. 5. Click the Continue button to proceed to the next window. 6. Mac Mail will now verify your address to make sure the settings are correct. If there s an error, recheck your information. 7. On the Incoming Mail Security page, check the box if you want to use Secure Sockets Layer (SSL). This is explained in more detail below. Leave Authentication as Password. Note: To use SSL the incoming and outgoing mail servers 8. Click the Continue button to proceed to the next window. 9. Under Outgoing Mail Server, enter the following information: Description This entry is optional. Use a phrase that will help you identify this account, such as Home, Work, and so forth. Outgoing Mail Server Enter the outgoing (SMTP) server: smtp. srvr.com Click the Use Authentication checkbox. User Name Enter your entire address (e.g., myname@mydomain.com), using all lowercase letters. Password Enter the password for your account. 10. Click the Continue button to proceed to the next window. 11. On the Outgoing Mail Security page, check the box if you want to use Secure Sockets Layer (SSL). This is explained in more detail below. Leave Authentication as Password.

9 Setting Up Mac Mail Note: To use SSL the incoming and outgoing mail servers need to be: secure. srvr.com 12. Click the Continue button to proceed to the next window. 13. An Account Summary window will open. Click the Create button. 14. If you have more accounts to configure, just repeat the above steps. Assigning SSL Secure Server Settings After setting up your mail account, you can follow the steps below to adjust your IMAP account settings to use the secure (SSL) server. The SSL protocol allows you to send and receive secure messages. It does not, however, secure your messages on their passage from your hosted servers to other servers. Before sending sensitive messages, you may want to confirm whether your recipient can receive secure mail. 1. Select Mail / Preferences. 2. Click the Accounts button, located at the top of the window. 3. Click once on your account, as it appears in the Accounts list. Close the Accounts window. To use the secure incoming mail server a. In the Incoming Mail Server box, enter the secure server name: secure. srvr.com b. Click the Advanced tab. c. Check the Use SSL box. d. The number in the Port box will change automatically. The secure POP server port is 995. name: pop. srvr.com To use the secure outgoing mail server a. Click the Account Information tab. b. Click the drop-down menu on the Outgoing Mail Server (SMTP) box. 10 Setting Up Mac Mail Leaving a Copy of Messages on the Server (POP3 Only) By default, when you download new messages using Mac Mail, your messages will remain on the hosted server for one week. After one week, they will be deleted from the server. This helps you to avoid exceeding your account s storage limits. Follow the directions below to make changes to the default settings. 1. Select Mail / Preferences. 2. Click the Accounts button, located at the top of the window. 3. Click once on your account, as it appears in the Accounts list. Checking for Mail Automatically 1. Select Mail / Preferences. 2. Click the General button. 3. Click the Check for new mail drop-down menu, and then indicate how often Mac Mail should check for new messages. Or, to turn this feature off, select Manually. The standard or default setting for Mac Mail is five minutes. 4. Make changes to other mail settings, as desired. 5. Close the Accounts window. 6. When prompted to save your changes, click the Save button. 4. Click the Advanced tab. 5. To avoid exceeding your account s storage limits, be sure that the Remove copy from the server after retrieving a message box is checked. 6. Click the drop-down menu to indicate when Mac Mail should remove your mail from the server. Or you can indicate that Mac Mail should remove your mail from the server when you move it from the Inbox into another folder. 7. Close the Accounts window. 8. When prompted to save your changes, click the Save button.

13 Setting Up Mac Mail Using IMAP Folders To simplify the organization of your messages, you can indicate which IMAP folders Mac Mail should use to store sent mail, drafts, spam, and trash. 1. Select Mail / Preferences. 2. Click the Accounts button, located at the top of the window. 3. Click once on your IMAP account, as it appears in the Accounts list. 4. Click the Mailbox Behaviors tab. 5. Uncheck all of the check boxes. Checking for Mail Automatically 1. Select Mail / Preferences. 2. Click the General button. 3. Click the Check for new mail drop-down menu, and then indicate how often Mac Mail should check for new messages. Or, to turn this feature off, select Manually. The standard or default setting for Mac Mail is five minutes. 4. Make changes to other mail settings, as desired. 5. Close the Accounts window. 6. In your IMAP folder, located in the Mailboxes pane (select View / Show Mailboxes to display the pane if it s not there), do the following: Click once on the Sent, Drafts, Spam, or Trash folder. Select Mailbox / Use This Mailbox For. Select Sent, Drafts, Junk, or Trash from the resulting list in the sub-menu. 9. The selected folder will disappear from your IMAP list, and will now reappear as the corresponding Mac Mail folder.

14 Setting Up iphone Setting Up a POP Account 1. Tap the Settings icon. 2. Tap Mail, Contacts, Calendars. 3. Tap Add Account. 4. Tap Other, located at the bottom of the list. 5. Enter the following information in the spaces provided: Name Enter your full first and last name, as you want it to be displayed in the you send. Address Enter your entire address (e.g., myname@mydomain.com). Password Enter your account password. Description Enter a descriptive name for your accoun (e.g., My Work Account). This description will be visible only to you. Calendars screen. A POP connection will normally delete messages from the server after download; however, by default the iphone will leave copies on the server. This allows you to access these messages through other clients. To change this setting, tap the name of the account you just created. 10. Scroll to the bottom of the screen, and tap the Advanced button. 11. Tap Delete from server. 12. Tap a selection based on whether messages should be removed from the server: never, after seven days, or when removed from your inbox. 13. After completing these steps, you should be able to send and receive successfully. 6. Tap the Save button. 7. On the next screen, select POP on the IMAP / POP button. In both the Incoming Mail Server and Outgoing Mail Server sections, enter the following information: Host Name Enter the name of the secure server: secure. srvr.com User Name Enter your entire address (e.g., myname@mydomain.com). Password Enter the password associated with your account. 8. Tap the Save button. 9. You will be returned to the Mail, Contacts, Using SSL (Secure Sockets Layer) The iphone turns on SSL by default. SSL provides additional security to your communication. SSL encrypts your messages between your client and our servers. SSL is optional. The addresses provided will work without SSL turned on. If you decide not to use SSL, please change your incoming server port to 110 and the outgoing server port to 587 or 8025.

Enter the following information in the spaces provided: Name Enter your full first and last name, as you want it to be displayed in the you send. This description will be visible only to you. 10. Scroll to the bottom of the screen, and tap the Advanced button. 11. In the Mailbox Behaviors section, you can map your iphone mailboxes to the associated folders stored on the server. For each of the following mailboxes, tap the arrow next to the folder name. A new window will appear, where you can select the associated On the Server folder: Drafts Mailbox Select Drafts Sent Mailbox Select Sent Deleted Mailbox Select Trash 12. 18 Setting Up Blackberry Setting Up an Account Support for accounts and setup may vary by service provider. setup is done through your wireless service provider s BlackBerry Internet Service website. Every service provider has different steps to create an account. 19 Common Problems Problem: 1. I cannot send from my iphone!? Answer: Make sure you have entered your username and password, the iphone indicates that it is optional, but it is optional for the phone, but it is required use our service. to Problem: 1. I cannot send s. 2. I am using a laptop and can send s at the office but not at home. 3. I cannot send s from my phone. Answer: Do you use verizon to connect to the internet? If yes, then you need to change your SMTP port to 2525, Verizon sometimes blocks the default SMTP of 25 on their network to prevent spam.

20 WEBMAIL Logging into Webmail Go to your webmail address, webmail.yourdomain.com or it is always available at webmail.aycmedia.com. Type in your username which is your full address, and your password, and hit Log-in.

21 Calendars Sharing Calendars To access the calendar section, click the calendar tab in the top left corner. To manage calendars and setup sharing click the manage calendars button You can share calendars two ways: 1. Sharing with users using our service 2. Sharing with users using Gmail,Yahoo or ical calendars To do either first click edit on the list view of calendars To share with users using webmail, click the permissions tab and either click Edit enable All users in my domain can view my calendar or Only users that I ve specified can view my calendar. This will allow people to view the calendar, but if you want people to be able to edit and add events you need to specifically grant those permissions, by adding a user and checking off the boxes.

22 To share with gmail or other service you need to enable the urls and send the url provided to people so they can add to their service. Using a calendar shared with you On the list of calendars click the Add Shared Calendar, this will bring up a list of users who have shared calendars with you, you then need to highlight the calendar and hit the add button. The calendar will now appear in your list of calendars and also load all of the events onto your calendar. The method keeps the calendar synced up, so any updates will be pushed to your calendar. Note: it might require you to refresh to see the updated event.

23 Importing Contacts To import contacts into webmail you need to have your contacts saved in a csv file. 1. Once logged into webmail click Contacts on the top of the page. 2. Now click the button labeled Import/Export Contacts 3. Click choose file, find your file on your computer s filesystem and hit open. 4. Click continue. 5. This will bring up a page where you can preview how your contacts will be imported. For example if you had a cell phone for each one of your contacts, and in your csv that you are importing had the column listed as Cell#, you can make sure that the contact s cell number get placed in the correct field in the new system by selecting Mobile Phone from the drop-down list. It is important to note that you can only select an item from the dropdown once, if this is not possible and you need to be able to use the same option twice then you will have to move things around in your csv file so that it is consistent and then re-import it into webmail. 6. Once you are satisfied that your contacts are correct, click ok at the bottom. It will display a little window indicating if your import was successful or if you need to correct your csv file further.
