6 Moving Files to OneDrive for Business Cloud Storage Click the OneDrive icon. Welcome to OneDrive for Business Screen - Click Next Click New Click Word Document Type a sentence (Notice at the bottom of the document it will say Saving and then Saved. You never have to save any Word Online document. They are saved automatically. To rename the file, Click on the word Document in the middle of the top bar of your screen. Then type the name you wish it to be saved as. Click on your username in the top left hand corner next to Word Online in the upper bar. This will get you back to your OneDrive screen. 6 P age

7 Now you should see your document in your OneDrive Root Click the three dots next to the file you just created. This brings up a preview window. (This is a LIVE preview. You can click on the preview and scroll up and down through the whole document. If this were a PowerPoint presentation you can actually play each slide as if it were open. Very nice feature) Anything you can do with a document, you can jump to from this screen by clicking the three dots at the bottom bringing up another menu or clicking the Menu button just below the preview. For now Click on SHARE. Click in the Enter names field and start typing the Last name of a fellow faculty member. Then Click on their name when it comes up. 7 P age

8 To the right of the user you just invited to share with, you will see Can edit. If you would like this person to only be able to read this document and not make changes, then click the down arrow and Click on Can View. Now type a message to the person to let them know what the document is about then Click Share Now you can see in your OneDrive that it is shared by that person or persons you ve selected. They will receive an with your message and a link to this document. Conversely if you Share a document and grant the person(s) Can Edit rights, they will be allowed to change the document. A document can be open by more than one person and edited by more than one person at a time. Each user is given a different color and all real-time participants are displayed in the upper right hand of your screen. 8 P age

9 Creating Folders to organize your OneDrive o Click your Name to get back to OneDrive o Click New o Click New Folder o Type the Name of the Folder and Click Create o To go inside the folder simply click on it. o Once you are in the folder you will see Documents-> and the name of your new folder, in a bread crumb navigation style. This lets you know where you are in your folder directory structure. o To get back up a level, click on the word 'Documents' to get back to the root of your directory. 9 P age

10 Important Limitations: 1. Uploading or Dragging and Dropping Folders is not supported and will not work 2. Uploading or Dragging and Dropping files with filenames containing special characters will also not work. Moving Files to your OneDrive storage via Upload o From your One Drive Screen, Click the Upload icon o Browse for your files and select them (You can choose multiple files by Holding the Ctrl Key down or the Shift key down like normal in Windows) o Click Open 10 P age

11 OneDrive Sync Software o OneDrive sync can only sync your OneDrive (cloud storage) files to your C: drive on your device. If you are syncing OneDrive to your Acer tablet, be aware that you have less than 50GB of free space on your tablet. o OneDrive will not sync to a flash drive inserted in the tablet. (We ve already tried.) Therefore be careful in choosing what files you store in OneDrive cloud storage so as not to have your Acer tablet run out of hard disk space. o We will go over how to check the space OneDrive is taking up on your device at the end of this section. o o From your OneDrive Screen, Click the Gear in the upper right hand corner of the screen Then Click Office 365 Settings o Click Software on the left then Click OneDrive o Click Install o Run the.exe file o Click Run if you get a Security Warning o Since One Drive for Business is already installed on your Acer, it makes the connections and you re all set within a couple minutes. o Click Close 11 P age

12 o Tap the My Apps Icon in the upper left hand corner of your O365 screen o o Tap OneDrive Right Click on Documents and Click on Copy Shortcut 12 P age

13 o Tap the Windows button in the bottom left of your screen or the button at the bottom of your tablet to get back to the Start screen. o Tap the Magnifying Glass to Search o Search for OneDrive o Tap One Drive for Business o Tap in the Paste your library URL here and do a Ctrl-V to paste your URL you copied from you Documents link in you Office365 OneDrive Online. o Click Sync Now o If you receive a window asking if you want to allow this feature to connect to the internet Click OK o If another security check pops up. Enter your Office 365 credentials once again. (Your username@school domain name ex JSmith@geibelcatholic.org) 13 P age

14 Click Show my files. It will take you to the C:\Users\<your username>\onedrive for Business folder. Click Edit then Click Select All (If you do not see File Edit View Tools Help at the top of your Windows Explorer screen press the Alt key and then Click Edit and Select All) Move your mouse pointer over the selected files and Right Click Click Properties 14 P age

15 This is how you can check how much space is being used in your OneDrive locally synced folder on your device. To check this at any time, Click the up arrow in your system tray at the bottom right of your screen and Click the Blue Cloud icon Click Open Your OneDrive for Business Folder 15 P age

16 Now when you open Word and Open Documents, you can tap One Drive Diocese of Greensburg then Click Browse and open and save documents to your One Drive for Business clouds storage. This will work from all MS Office apps. 16 P age
