Coordinator s Application BEFORE you apply: Recognize that being a Festival Coordinator for any area is a very significant responsibility requiring a substantial time and effort commitment. Coordinator meetings will be held on Fridays at 3pm. Please do not apply if you will not be available during those times during the Spring semester. What are the reason(s) are you choosing to apply for the opportunity to become a coordinator? 2. Describe your previous experience that will help you in the role you are applying for. 3. If you have attended or volunteered at a festival in the past, what did you like about it? 4. What time commitments do you have during second semester that would either help or hinder your ability to carry out your job description (this job requires a minimum weekly commitment of 2-3 hrs/week the months leading up to the event, and a minimum of hrs the week of/day of the event)? 5. What creative ideas would you likely implement if chosen for this coordinator position?

2 6. The festival theme is One World, Many Stories. What ways do you see this theme being incorporated in your coordinator area? 7. Only if you are applying to be a publicity or decorations coordinator: Please provide an initial publicity or decorations plan (outlets to publicize, decorations ideas etc.). 8. Submitting a resume for consideration will help strengthen your application. I understand that this position requires much responsibility, various time commitments, and organizational and leadership skills. Signature Date Responsibilities of Each Coordinator Position (May vary, Not an Extensive List) Title: Entertainment/Fashion Show Coordinator Job description: Review all style show applications to make sure they are complete. Review all entertainment applications to make sure they are complete. Establish a rehearsal schedule and inform participants of dates/times. Must work with publicity coordinator to print event schedule. the event.

3 Title: Food Coordinator Job description: Review all food applications to make sure they are complete. If groups cooking do not plan to serve the food as well, recruit volunteers to serve. Compile a list of number of chafing dishes/pans etc. that will be needed. Work with GAs / Sodexo to arrange for use of kitchen items. Create kitchen schedule. Inform participants of assigned kitchen times. Ensure that all people in the kitchen have hairnets/gloves/shoes and are following food safety rules set by Dept. of Health. Make sure that each group cooking cleans up after themselves. the event. Design food menu Title: Public Relations Coordinator Reserve showcase space and sandwich boards at the CSU Scheduling office. Recruit Volunteers for posters, displays (Sandwich boards and showcase Post posters around campus. Get approval from Scheduling Office and get location of approved bulletin boards. Make posters/decorations for sandwich boards and showcase. Contact the Reporter for Event advertisement both paid ad and free classified ads Design the program for the event Conduct community outreach to boost attendance With help of others, write Press Release Title: Decorations and Information Booth Coordinator Job description: Recruit volunteers Develop a plan for decorating the ballroom, and areas of the CSU including how you plan to create a backdrop and/or banners. Submit a list of necessary supplies to ISA treasurer to review; many items requested may already be available in the ISC closet. Decorate the ballroom, if possible the day before the event. If you use the basement of Crawford to make banners, make sure it is clean. Keep track of volunteer names/hours worked and give to GAs within one week of the event.

4 Title: Event Staff & Set Up / Clean Up Coordinator Recruit volunteers make sure to contact them and tell them exactly when/where they need to be. Have two or three volunteers in the kitchen at all times to help clean/wash dishes. Make it clear to them that they may miss the beginning of the event. We cannot afford to pay Sodexo to stay around for several extra hours while we watch the show. If we keep it clean all day, it should be no problem to get out of there early, it should only be the floor left to clean after the food is sent to the ballroom. Make sure that there are enough plates/cups/silverware/napkins available for the event. Do this in advance so if we need to order more, there will be time. During rehearsals/decorating set up tables with plates, cups, silverware, napkins, serving gloves, hairnets. Have a clean up crew ready to remove decorations and other items after the event. Keep track of volunteer names/hours worked and give to GAs within one week of the event. Title: Security Coordinator Recruit volunteers make sure to contact them and tell them exactly when/where they need to be. Station one person around each fire alarm to make sure it does not get pulled. Have volunteers by the doors to keep those without tickets from entering. Direct people to the ballroom if necessary. Keep track of volunteer names/hours worked and give to GAs within one week of the event. Title: Flag Parade Coordinator Recruit parade volunteers make sure to contact them and tell them exactly when/where they need to be. With help of others, decide on a flag parade route. Be in close contact with GAs and entertainment coordinators on event timing. Be in close contact with chosen International Festival dignitaries. Keep close track of International Center flags and other materials May be up early on the day of the event.

5 Title: Silent Auction Coordinator Recruit volunteers (mainly day of event) make sure to contact them and tell them exactly when/where they need to be. Catalogue, price, and sort auction items as they come in. Contact outside artists, vendors, and businesses for internationally themed auction items. Be in close contact with GAs and International Center staff. Set up silent auction area on the day of the event. May be up early on the day of the event. Title: Children s World Coordinator Recruit volunteers (mainly day of event) make sure to contact them and tell them exactly when/where they need to be. Work closely with GAs, International Center staff, and community members Think of creative educational games, activities, and events for young children and adolescents to take part of. Creatively decorate the Children s World Area Seek out Mankato Area Schools to promote event, and seek out ways to get participation. May be up early on the day of the event. Title: Assessment Coordinator Recruit assertive volunteers for day of event Ensure sufficient copies of survey are available on the day of the event Assign volunteers to survey stations Attend pre-meetings to determine how to maximize survey response rate Supervise volunteers on the day of the event Ensure all completed surveys are returned to the IC Recruit one or more volunteers to enter survey results

6 Title: Photography/Videography Coordinator Recruit volunteers with their own camera equipment to take photos and video before and during the Festival event Meet with volunteer photographers/videographers and IC staff to determine the desired types of photos and videos Assign volunteers to festival and pre-festival areas Supervise volunteers on the day of the event Ensure that photos are received by the IC immediately after the event If you have any questions or need to submit your form, please contact Doni Casula at
