1 Dear Friend of the Red Cross, We invite you to join us for the 2nd Annual Fight Fire with Fire BBQ Cooking Celebration benefiting the American Red Cross of Southeastern Pennsylvania s Red Cross House. Fight Fire with Fire will be held on Saturday, September 13th, 2014 from 1:00 p.m. to 5:00 p.m. in University City. The event will include samples of the best BBQ around, plus live music, cold beverages and much more! Proceeds from Fight Fire with Fire will benefit one of Philadelphia s greatest community assets, Red Cross House The Center For Disaster Recovery, a short-term residence for disaster victims, located in University City that is the only one of its kind in the country. As of January 30, 2014 the Red Cross House: Provided 194,618 nights of shelter at the Red Cross House Helped 3,608 families at the Red Cross House Helped 11,267 children and adults at the Red Cross House Served 583,854 meals at the Red Cross House This year our goal is to raise $35,000 to support Red Cross House and Red Cross Disaster Relief. Your participation can demonstrate, in a tangible way, your community commitment and good will, as well as allow your business to align itself with one of the most trusted and respected charitable brands and to receive significant exposure to the Red Cross s loyal supporters. You are invited to participate as a featured vendor at this year s Fight Fire with Fire! Vendors will receive the following: (1) 10 feet wide by 10 feet deep area covered with a canopy tent (2) 8ft tables Hand washing stations (2) Complimentary event tickets Logo recognition during the event, media/press communications, mentions on the event site and in social media posts, as well as verbal recognition throughout the event. *Vendors who commit to participate by May 1, 2014 will also be featured in a direct mail campaign. Vendor requirements: Provide sample portions of BBQ or BBQ-style tasting dishes for 500 anticipated guests Provide a certificate of insurance, and complete a temporary special event application (our volunteers will be happy to assist you with the application upon request) Bring any equipment, serving utensils, paper goods, gloves, hats, and promo materials for your booth To secure your space in the 2nd Annual Fight Fire with Fire Celebration, please mail or in the enclosed form to Michelle Wigianto, Major Gifts Associate, American Red Cross Southeastern Pennsylvania 2221 Chestnut St. Philadelphia, PA or michelle.wigianto@redcross.org. 2 Fight Fire With Fire Vendor Information Location: University City Science Center Parking Lot 38th and Chestnut Streets Philadelphia, PA Date/Time: Saturday, September 13, :00 pm 5:00 pm Contact: Michelle Wigianto at or American Red Cross Southeastern Pennsylvania Chapter 2221 Chestnut St. Philadelphia, PA Providing Food: We ask that you provide samples for 500 people to last from 1:00 pm 5:00 pm. Please bring BBQ or BBQstyle menu items that help to advertise your restaurant or food business. Please try to create items which are self-contained that do not require dish service. Please also bring any necessary serving plates, utensils, and napkins. Please ensure that food handlers are wearing gloves and hair covers (hairnets, hats, etc). Your Area: Your booth area is your best advertisement. The more people drawn to your area, the more people taste your food and rave to their friends. Think of ways to decorate your table that will help people identify and remember your restaurant or food business. Vendor Responsibilities: All vendors will be given designated locations in the event lot for their setup. Trucks, trailers, and cars can drive into the lot, and there will be no activity on the street or sidewalk. As the event date draws nearer, we will send you information regarding your location. Each restaurant or food business employee is required to wear a 2014 Fight Fire with Fire wristband. The wristband will be given to you on the day of the event. A maximum of FOUR (4) staff members will be permitted to work at your booth. No one will be admitted without a wristband. Please note that you must complete and return your form by September 1, 2014 in order to participate as a featured vendor. Participant Identification: The staff wristband must be worn at all times while loading-in, setting up, working, cleaning up, and loadingout. One of the employees must be a manager or supervisor and should be on the premises to monitor setup and cleanup. Please be aware that there is alcohol at this event therefore, we ask that your employees be at least 18 years of age or older and that they carry proper identification. Vendor Load In: All vendor vehicles will enter and exit the parking lot via 39th Street. You may not enter the parking lot before 9:00 a.m. Please note: your restaurant s entry time will be sent to you two weeks prior to the event. There will be Red Cross staff and volunteers to assist you with load-in. It is important that you arrive at your load-in time. All vendors should be set up by 11:30 a.m. to allow for Board of Health inspection. The event will begin promptly at 1:00 p.m. Vendor Booths: Vendors will be provided with a 10ft x 10ft canopy tent, (2) 8ft tables, and hand washing stations. Food trucks with service windows are also welcome. We encourage you to have fun and be creative with decorations for your display!
3 Signs: We will have event signage, but encourage you to bring your own company signs and banners to help make your booth stand out. Signs must be non-electric and should be large but no longer or wider than your assigned service area. We also encourage you to bring business cards, menus, or anything else with your company name and logo. Please note that nothing can be affixed to the fences that surround the event lot, so please make sure that your signs are free-standing or attached to your booth and/or tables. Electricity: Electricity will not be provided. You are welcome to bring your own generator if needed. Parking: Vendors are not permitted to park in the Science Center parking lot, with the exception of pre-approved food trucks and trailers. Drivers names, license plate numbers, and vehicle descriptions must be submitted in advance along with the commitment form and refundable deposit. Other vehicles may enter the Parking Lot beginning at 9:00 a.m. for set-up but must be removed prior to 11:30 a.m. Street parking may be available. Alcohol: We will again be featuring a beer garden this year. Please be advised that our bartenders reserve the right to request proper identification from any vendor, Red Cross staff, and volunteer. Bartenders also reserve the right to refuse service to any person that may be underage and/or intoxicated. Food vendors will not be permitted to serve alcohol. Cleanup & Breakdown Requirements: Throughout the day, trash will be emptied by Red Cross volunteers. Please dispose of all trash in the receptacles provided. The event concludes at 5:00 p.m. Red Cross staff and volunteers will be able to assist you as you break down your station and clean up. We ask that your area is completely cleared and all trash is removed. You will not be authorized to leave until a Red Cross staff member or volunteer inspects your area. Insurance Requirements: The American Red Cross requires all vendors to secure an Event Policy with general liability limits of $1,000,000 per occurrence/$2,000,000 aggregate to protect itself from any potential liability associated with the event. This policy may be obtained at or any insurance agency of your choice specializing in special event insurance. The American Red Cross does not endorse these companies or make any revenue from insurance policies issued by these and assumes no liability in connection with their operations. If said policy is purchased the Client shall file the Certificate of Insurance with American Red Cross showing the policies, limits and coverages required under this provision seven days prior to the event. Tax Receipt: The Red Cross will provide a receipt for your food donation, if you so choose. Please include the value of your food donation on your commitment form. Thank You! Access to the University City Science Center Parking Lot will not be allowed, should the form not be on file with the American Red Cross. You will be contacted with all specific information regarding regulations as well as procedures on unloading, staff parking, wristbands, etc., that your organization will require in order to execute vendor services as smoothly as possible. Additionally, one month prior to the event, vendors are required to provide a certificate of insurance naming University City Science Center as additionally insured. The certificate of insurance must be in the amount of $1,000,000 (or more) combined single limit bodily injury and broad form property damage, including movein and move out. Please forward a copy of the certificate of insurance with this completed form. IMPORTANT: A $150 cleanup fee will be charged to the event sponsor for any cleanup/debris removal needed following the event. Due to scheduling changes, construction, etc., spaces assigned for vendor storage, setup, or other use is not guaranteed. Failure to abide by these regulations enables American Red Cross to terminate the agreement.
