Obtained from Thomas. An update will be posted to Google Drive. 2. Possible Habitat for Humanity Dates a. Cory is still waiting on dates. Item suspended until the next meeting. 3. Defining Specific Roles and Responsibilities for Officers (Dependent on number of members present) a. These specifications are subject to change as the Chapter sees fit. A document outlining these specifications, and the persons holding said positions, will be uploaded to Google Drive. b. President of Service i. In charge of contacting organizations where Beta Eta Chi can volunteer. 1. Includes discussing possible dates and tasks with organization and relaying agreed upon information at meetings. c. President of Finances i. Responsible for keeping a running total of our budget ii. In charge of organizing fundraisers iii. Responsible for creating treasury reports as needed d. President of Marketing i. Responsible for posting on social media sites.

2 ii. In charge of acquiring and putting up posters around the campus regarding Beta Eta Chi events and workshops. iii. In charge of organizing awareness campaigns and events. e. President of Communications i. In charge creating agendas for meetings, and for running through said agenda at meetings. ii. Responsible for writing down meeting minutes. iii. Contact Information for Food Shelf a. Cory will obtain information for next meeting. 6. Narrow Down Ideas to Get Members More Active a. Ways To Spread Information About Beta Eta Chi As A Chapter And About Beta Eta Chi Hosted Event s And Workshops i. Set up a booth to sell PTK store items and to give information about PTK. Also, have a running order form for store items by the PTK table in the commons. 1. Mckenzie will look into if it is legal to resell PTK store apparel. ii. Use the TV s around school to publicize our events and workshops 1. A design should be submitted as soon as we decide that we are hosting event. 2. Mckenzie will talk to Tim Olson from Student Life about getting access. iii. Posters advertising events and workshops should be put-up around campus 2 weeks beforehand. iv. Set-up a table on the first day of school with information about PTK

3 1. Have t-shirts available for sale b. Ways To Obtain Interaction And Recognition Among Members i. Beta Eta Chi will host two picnics each year for chapter members. One picnic will be held the week after classes start for fall semester of that year, and one picnic will be held a week after graduation in the spring. A potluck will also be held at each picnic. ii. It was decided that hosting drawings for door prizes would be a good way to gain members that are more active and to raise money for the chapter. Also, to create a more efficient way of contacting members, it would be a requirement of entering to write down some form of contact information. 1. Walmart sometimes gives out gift cards to organizations a. Motion: Ask for $300, broken into $20 gift cards that could be used as door prizes. Motion Passed. b. To increase the likelihood of receiving this donation, it will be put down on the application that the money is not needed until October. 2. We could use PTK t-shirts as door prizes 3. A drawing will be held at the end of each semester. There would be two ways of getting a name put in the bucket: a. Each time a member comes to a Beta Eta Chi meeting. b. Each time a member comes to a Beta Eta Chi meeting wearing a PTK shirt (Not on a PTK t-shirt day). 4. Host a PTK t-shirt day, and have a drawing from the names of all the PTK members who wore a t-shirt. a. These would be hosted on days of Beta Eta Chi meetings.

4 iii. Hang a poster outside of the Club Hub with a collage of pictures showing each active member and their position in the chapter. iv. Conduct a PTK meeting directly after the PTK Induction Ceremony. It would be kept brief, and have the purpose of explaining important information about our chapter to new members. v. If Beta Eta Chi takes trips, we could pay for a part of the admission fee to where ever we go. 1. When door prize drawings are held, one of the prizes could be to have free admission on a trip. c. Ways Of Utilizing Social Media i. The possibility of getting a shout out on Ridgewater Facebook page 2 weeks before an event and the day of an event is being looked into. ii. As events and workshops are decided upon, corresponding Facebook events should also be created. iii. It would be beneficial to post photographs of events and meetings as a way of showing people what it is Beta Eta Chi does. 1. Thomas is looking into if we can use long term release forms for photo taking 2. If this is not possible, a solution could be leaving the date empty, allowing the photographer to fill it in when necessary 7. Narrow Down Ideas on Fundraising Money a. No actions were decided upon. More ideas were generated (See document labelled Fundraising Ideas From and in the Google Drive folder labelled Additional Meeting Documents ), but further discussion was postponed until the next meeting.

Review Requirements for Two Star Level Items To Discuss At The Next Meeting: Decide what the PTK booth on the first day of classes should have; plan the picnic/potluck to be held after the first week of classes (Should this be advertised at the booth?); Plan dates to volunteer at Habitat for Humanity; Decide upon the frequencies of certain awareness campaigns; Further discuss fundraising ideas and decide upon a few that we will carry out.
