You will find contact information for club staff, event information, league information, all rates for the year including guest fees, cart fees, etc., how to make reservations, hours of operation for all areas and much, much more. 5 Westfield Country Club Website We are pleased to have introduced the Westfield Country Club website to the world in September, We ask all members to register for the member only section of the website. This will allow you to view your monthly statements and chits, view the club event calendar, register for events, access the member directory, etc. Below are the instructions for registering. If you have any difficulties, feel free to contact Grace Harrison at Registering at Please have your member statement ready when registering on the website. After selecting Member Registration, you will be asked to enter your member number. Please enter all 7 digits as it appears on your monthly statement. You will be asked to enter your name. Please enter your name exactly as it appears on your member statement. At this point, you may change your user name and password. Each member of the family may have a user name on the website. For significant others and dependents, you must enter the member number with one less leading zero plus the A, B, C, etc. that is at the end of the member number. For example, John and Jane Demo are member number John would register using the number while Jane would register using the number A. Their daughter, Susie Demo would use member number B. 15 Golf Services Information 2011 Hours of Operation (subject to change) Golf Course: The golf courses are available for member play the first Saturday in April through the last Sunday in November. April- Tee times begin at 8:00 AM Tuesday thru Sunday. Closed Mondays May- Tee times begin at 8:00 AM Tuesday thru Friday 7:00 AM Saturday and Sunday and Closed Mondays. Memorial Day weekend thru Labor Day weekend- Tee times begin at 8:00 AM Tuesday-Friday, 7:00 AM Saturday and Sunday, 12:00 PM on Mondays when no retail golf outing is scheduled. Labor Day thru October 31 st - Tee times begin at 8:00 AM Tuesday thru Sunday. Beginning October 4 th - Closed Mondays. November through Sunday, November 27 th - Tee times begin at 9:00 AM Tuesday thru Sunday. Closed Mondays. November 28 th - April, Golf shop hours will be posted at Practice Facility Hours- Generally, the practice facility is open one-half hour before the first tee time, and closes one hour before sunset. An opening and closing time will be posted at the cart barn for the practice facility. Pro Shop- Opening- Tuesday through Friday, the pro shop will open one half hour prior to the first tee time of the day. Saturday through Monday, the pro shop will open one hour prior to the first tee time of the day. Closing- April, May, September, October, the pro shop closes at 6PM. June through August, the pro shop closes at 7PM. November, the pro shop closes at 5PM. Inclement weather closures- Both the golf courses and the practice facility may be subject to closing based on inclement weather and the effects of inclement weather such as rainfall, frost, etc. The status of the golf course following a weather event will be available from the golf services staff. 12

17 Tee Time Reservations Reservation Parameters by Membership Type- Full Member - Four weeks in advance National Member - Two weeks in advance Employee Associate Member - One week in advance after 10AM Employee Non-Member - One week in advance after 1:00PM Outside Pool and Tennis Member - One week in advance after 1:00 Making a Tee Time All Tee times are subject to availability. Each tee time includes foursome or less. Fivesomes or more will not be permitted at any time. There may be occasions when the starters or golf staff will request 3 somes or less to join together. When reserving a tee time, please advise the golf shop staff all known players in the group. We realize some groups may not know in advance who will be playing in the tee time, however, a 24 hour notice will help our staff be better prepared for your arrival to the Club. Canceling a Tee Time Process- To maximize golfing opportunities for members, agents, employees and guests, we will manage tee time reservations very closely. In the effort to afford ample time to fill unused spaces, any cancellations of a tee time during prime hours (7am-1pm daily) must be made the preceding day. No Show Fee- Members who reserve, but do not use, one or more tee times, and do not give cancellation notice as stipulated above, will receive a written notice (copy to remain in member file). Upon second or subsequent, No Show occurrence(s), the member who made such reservations will be charged for entire unused tee time(s). Charges will be calculated at internal guest rates and charged to the member account. Check In Process- All golfers must register in the Golf Shop before proceeding to the first tee. A member is responsible for registering his/her guests. Guests must be accompanied by a member. After the Golf Shop is closed registration should be made at the Cart Barn before proceeding on to the course. If renting a golf cart, present the cart chit to the Golf Shop attendant when registering in the Golf Shop. 14

18 2011 Member Service Fees Cart Rental- Rental golf carts are available for all members, agents, employees and guests at a cost of $11 per person for 9 holes or $22 per person for 18 holes. All cart fees are subject to Ohio state sales tax. Cart Pass- A seasonal cart pass is available for all full golf members. Cart passes are available for Single Riders for $695, Double Riders for $925 (includes named member and significant other) or Family Rider for $1100 (includes named member, significant other and other eligible family members). All cart fees are subject to Ohio state sales tax. The pass is good for unlimited use of rental carts during the 2011 season. When playing with other members in rental carts, cart pass holders are required to ride two players per cart with no more than 2 rental carts per foursome. Greens fees passes may be purchased in the golf shop. These passes are good for the season they were purchased in only. 6 guest rounds may be purchased for the cost of 5 guest rounds at the after 3:00 PM rates. The only stipulation is they must be used after 1:00 PM only. Bag Storage- No charge for full members first two bags in storage. Cost is $50 per additional bag for the season. Locker Usage: Locker Room services and lockers are provided free of charge for full golf members. Lockers are available for the named full member and significant other only. Spike Changes- Spikes replacements may be purchased at the Locker Rooms. Replacement spikes are $0.85 each or $12.00 for a complete change. Handicap Services- GHIN Handicap Service is provided at no charge for full golf member and significant other. Handicaps will be updated twice each month May to October. Handicap computers are located in the Golf Shop, Men s locker room and Ladies locker room. It is the responsibility of each member to ensure all rounds are properly recorded Private Cart Storage and Trail Fees- Private Carts may be stored at Westfield facilities when space is available. Carts may also be stored at the members homes, however, the property must be adjacent to the golf course and will be subject to a seasonal trail fee. The annual cost for storage fees is $550 and for trail fees $375. Cart storage and trail fees are subject to state of Ohio sales tax. Private Cart Repair and Maintenance- Any repairs and maintenance by the Club or it s agent will be charged to the member account at the current hourly rate and current retail price for parts. Any repairs made by an outside cart dealership will be passed along at the total invoice amount. Electric Walking Carts- Storage for electric walking carts is available for a fee of $125 per season plus Ohio state sales tax. Space is limited. 15

19 Guest Fees and Policies Cart Fees- $11.00 per person per 9 holes or $22.00 per person per 18 holes plus Ohio state sales tax. Rental Clubs: Available at $50 per set. 20 Fitness Services Information Westfield Country Club Pool Hours of Operation- May 28 th - June 5 th - Monday through Friday, 4pm-8pm, Saturday and Sunday, 11am-8pm. June 6 th through August 7 th - 11am to 9pm August 8 th to August 23 rd -11am to 8pm August 23 rd through September 3 rd - Monday through Friday, 4pm-8pm, Saturday and Sunday,11am-8pm. This date is an estimated date. Pool hours change based upon the Cloverleaf School Calendar. Please refer to for August hours of operation. September 5 th, Last day pool is open. Closed for season beginning September 6 th. Check In Procedure- All members and guests of the pool must check in at the guard station by the front gate when arriving at the pool. Each member must provide their member number to the staff on duty. Any guests must be checked in at the same time. Guest Fees and Policies All guests must be accompanied by a member. The member must remain on property with the guest during their entire visit. Fees are $6 daily Seasonal Guest Pool Pass may be purchased for $50. This is good for 10 guest admittance and bearer must sign in the guest with the attendant on duty. Pool passes will be kept on file at the guard station. The pass may not be used retroactively. Passes expire on September 6, Any unused guest passes will be forfeited. A member may sponsor the same individual as a guest up to six times in one calendar year. An individual may visit the WGCC pool as a guest up to six times in one calendar year regardless of the sponsoring member. Members may host up to seven guests per day. Any requests that exceed these parameters must be submitted for approval in advance. Birthday or family parties may be hosted through the Club event planner through prior arrangement. Guest fees will not be charged for babysitters or nannies that care for member s children at the pool. Babysitters and nannies must be registered at the Pool Office as part of the member file information prior to coming to the pool. Each membership may register only one babysitter at a time. Members may only register a babysitter if there is a member under age 12 as part of the membership. Babysitters and nannies must be at least 16 years of age. Complimentary babysitting guests must be accompanied by the member children. If the member 17

21 children under 12 are not present, the regular guest policies and rates apply to the registered babysitter. Grandchild Unlimited Season Guest Pass- Any member may purchase an unlimited guest pass for a grandchild 17 years of age or younger. The cost per grandchild is $125. This allows unlimited visits during the season. The grandchild must be accompanied by the member during each visit. The member must fill out a grandchild season guest pass registration form. These passes are non-transferable. The Grandchild Unlimited Season Guest Pass fee will be billed in full to the member account on registration. Tennis Hours of Operation- Courts are open from 8am to 9pm or dusk whichever comes first, April 2 nd through October 31 st. Reservation Policy and Process- Court reservations will be taken one week in advance of the date requested. Courts can be reserved for only an hour at a time. Please call to make a reservation. Tennis Ball Machine- The tennis ball machine is available at no charge for practice sessions by reservation only from April 2 nd -Memorial Day and Labor Day through October 31st. When the pool is open (Memorial Day weekend to Labor Day), the tennis ball machine is accessible with out a reservation by checking in at the pool attendant station. You may search for a member in the search box by last name, etc. Each member may hide any information they choose to hide from the membership as a whole. If you choose to hide your contact information, please hide only do not delete.
