3 Policies To ensure your event runs efficiently the following policies apply. The policies may not be altered without written approval from the Redwood Meadows Golf & Country Club BOOKING POLICY The Tournament date will only be confirmed when the non-refundable deposit and completed Tournament Agreement are received by Redwood Meadows Golf & C.C. Deposit is due within 14 days of receiving your deposit invoice golfers, $ Deposit 73+ golfers, $ Deposit. The deposit will be deducted from the final invoice. Credit card information is required to cover any additional expenses that may be incurred on the day of the event. Deposit cheques are to be made payable to Redwood Meadows Golf & C.C. PAYMENT POLICY Exact confirmation of final numbers (golfers and meals) must be provided seven days prior to the event. This will be the minimum charge for the tournament. Reductions in the numbers or no shows on the day of the event are required to pay the minimum charge. Additions to final numbers must be approved by Redwood Meadows Golf & C.C. prior to the start of your event. TOURNAMENT POLICIES a) Shotgun starts require a minimum of 90 golfers to a maximum of 144 golfers. Smaller groups may request a shotgun start with the understanding that they may be charged for 120 green fees. b) Player names in designated foursomes must be received a minimum of 5 days prior to the event. c) Redwood Meadows Golf & C.C. reserves the right to alter the starting configuration if the number of players has changed significantly. d) Tournament Organizers must be on site at least two hours prior to the start of the event. e) Tournament Organizer is responsible for ensuring that all participants are aware of the dress code at Redwood Meadows Golf & C.C. Blue jeans, cut offs, swimsuits, no shirts, tank tops and collarless tee shirts are not acceptable. Players not adhering to the dress code must rectify the situation prior to accessing the golf course. f) The tournament format, and proposed rules sheet must be submitted to and approved by Redwood Meadows Golf & C.C. No changes are permissible without prior approval. g) A maximum of 5 ¼ hours is allotted for shotgun starts. Redwood Meadows reserves the right to charge the tournament for extra green fees if the time allotment is not achieved. h) Tournament invoicing is payable to the three separate payments: Green Fees & Power Carts are payable to the Redwood Meadows Golf and Country Club. Prizes and Scoring invoices are payable to the Pro Shop c/o barricade sports Inc. Food & Beverage invoices are payable to Matador Enterprises Ltd. i)all decisions made by the Redwood Meadows Golf & C.C. including the General Manager, Course Superintendant, Head Professional, or Food and Beverage Director will be final.

4 Preparation PRO SHOP Included in your tournament package is a $20.00 prize and scoring allotment per player. Gift certificates of any denomination may be used as prizes, or you may choose to pick out prizes or custom logoed tee gifts such as Prodigy Headwear or Adidas Apparel directly from the Pro Shop with the assistance from one of our Golf Professionals. If you choose to pick out prizes from the Pro Shop, please contact the Pro Shop two weeks in advance to make buying arrangements. Lead time on custom logoed products is 6 to 8 weeks. A professional scoring and administration fee of $3.00 will apply per player and will be deducted from the prize allotment per player. The Pro Shop will also prepare the following provided your player list is received 7 days prior to the event in a Microsoft Excel format. Power Cart hole assignment plates & Tournament Draw. Registration report & alphabetized player lists. Hole prize proximity markers. The Pro Shop will also provide: Professional Computerized Scoring with projection screen viewing. Sponsor recognition of up to 6 of your tournament sponsors on the Leader Board scoring presentation. Additional charges may apply for amounts greater than this; the tournament is responsible for supplying the sponsor logos a minimum of 7 days prior to the event in a jpeg format. Assistance with tournament registration, directing players to their assigned power carts and to their assigned starting holes. Hole in one coverage and custom logoed tee gifts may be purchased through the Pro Shop. 5 day advance notice is required to secure hole in one coverage. The Tournament is required to provide legal-age hole spotters. Club rentals are available for $40.00 each for a full set of high end Callaway, Ping, Taylor Made or Titleist golf clubs. Please advise the Pro Shop of your requirements 5 days prior to the event. Please advise the Pro Shop in advance as to who is responsible for rental charges, whether it be the individuals themselves or to be charged on the final invoice payable by the tournament. FOOD & BEVERAGE Included in our tournament package is a $30.00 per player buffet meal which includes: main entrée, cold salads, hot vegetables, potato, dessert, coffee & tea. Our tournament menus are available online at under the clubhouse dropdown menu, click on catering. Meal upgrades, additional meals, boxed golf cart lunches on course beverage / BBQ service options are also available. Phone Credit Card # Name on card Signature for Authorization AGREEMENT Expiry Date As tournament organizer, I understand that this agreement, completed in full, and the required deposit are necessary to confirm the tournament date. I understand that the tournament acknowledges and accepts full responsibility for all damage to the golf course, power carts, rental clubs, clubhouse and any fixed or rented property that is the result of tournament participants, and will be billed accordingly for such charges. I understand that the tournament will be played as long as the golf course is deemed playable, that cold weather, rain or winds are not acceptable reasons to cancel. The Course Superintendant reserves the right to deem the golf course unplayable or unfit for power cart use. If the golf course is deemed unplayable, an alternate date will be booked, and if this is not possible, 80% of the original deposit will be refunded. If the golf course is deemed unfit for power cart use, power cart fees will be deducted from the final invoice. I agree that Redwood Meadows Golf and C.C. is not responsible for any lost or stolen property. All tournament signage must be removed from the Golf Course before the end of the tournament day.
