3 Background Late 2014 Annual sourcing survey OECM include IT Disaster Recovery Services in its 2015 sourcing calendar Mid 2015 Created a working group with 6 institutions OECM consulted with 8 suppliers Through the supplier consultations OECM discovered that IT Disaster Recovery Services may be available in current OECM agreements Fall 2015 OECM approved the decision of creating a special package based on the agreements currently available Late 2015 OECM reached out to Supplier Partners to validate the type of services they can provide February 2016 Launch of the IT Disaster Recovery Services Package

4 What is IT Disaster Recovery Services IT disaster recovery ( DR ) services is the process an organization uses to recover access to their software, data, and/or hardware that are needed to resume the performance of normal, critical business functions after the event of either a natural disaster or a disaster caused by humans. IT DR services may include service as follows: Risk Assessment Strategy Recommendati ons Implementation Program maintenance IT Disaster Recovery

20 How can a Customer Acquire the Services? Customers will have 2 options when purchasing IT disaster services from the 5 agreements listed above: Purchase the services directly from a supplier partners based on available services (e.g. knowledge and expertise) without using a request for services OR Issue a request for services, to obtain the required services based on specific criteria such as the skills, experience and requirements by customers

21 Morcare Insurance Morel Group of Companies Request For Services Request for Services (RFS) is designed for the IT DR services and the use of multiple agreements Easy to use with the customer section and the supplier partner section The number of suppliers invited to respond to an RFS should be dependent on the anticipated value. Your procurement policies will dictate the dollar thresholds based on your organization s approval authority OECM can help you understanding and completing the RFS 21

22 Request For Services The RFS will identify the services or it may request the supplier partner to propose appropriate IT disaster recovery services to fulfill the customers project/service requirements, timelines, objectives and any other applicable information. The supplier partner shall respond, setting out the following at a minimum: Resources proposed for the service; Expected delivery lead-time; Service rates; Project timeline and milestones; and Service specifications. Responses to the RFS will be assessed by customers. More than 1 supplier partner may be chosen to provide the IT disaster recovery Please note that customers do not have to sign a Client Supplier Agreement (CSA) in order to issue and send a RFS to supplier partners.

Customers are encouraged to issue an RFS to obtain prices related to their unique needs.

32 Get Started 1. Go to oecm.ca and create an account (if you don t already have one) 2. Visit our IT Disaster Recovery Services webpage and review documents 3. Contact supplier(s) with questions on services 4. Issue an RFS, send it to the supplier partner(s) and evaluate the responses 5. Finalize Client-Supplier Agreement (CSA) with supplier(s). 6. Supplier(s) will sign the CSA first and send to you for signature. A countersigned copy will be returned to you and retained by OECM 32
