Our prices are well below other local party rooms / catering that serve high quality products. Thirst Bistro hosts more than 200 events per year. Co-Owner Leslie Palmer has more than 20 years of professional experience with events in corporate, restaurant and private settings. THIS PACKET IS DESIGNED TO ANSWER MOST OF YOUR QUESTIONS AND SAVE US ALL TIME! THIRST DOES NOT HOLD SPACE - WE BOOK ON A FIRST DEPOSIT / CONTRACT RETURN BASIS Note: This form is for parties of 12 people or more that are spending our food / beverage sales minimum. Parties of less than 12 can book our private event space but must adhere to our room minimums. Or parties under 12 can reserve our Nook, a semi private space with table seating and order off our regular menu. Our Spaces: The River Room: Welcoming space with floor to ceiling windows, copper colored walls, bright artwork, fireplace, and comfy chairs & couches. Just right for your casual get- together, reception-style party or buffet dinner. Feels like a party in your home, but you don t have to clean up! The Cellar: Floor to ceiling window framed by velvet curtains, fireplace, medieval cellar door, clay walls and other touches make this space a chic, yet inviting and comfortable wine cellar room. This private dining space is ideal for meetings, sit down dinners, classes, buffets, or reception style events. Buy Out: For groups over 55 our entire space is available October November and January - May on any day and Mondays June September and December. A buy out of the restaurant includes both private party rooms and our main dining room. Addition of Space on our Outside Patio: May September, events in our party rooms or buy outs may add our outdoor patio (adjacent to your room and under our awning) to increase your space or give your guests the option of spending some time outside.
2 Capacity & Sales Minimums Fees: For evening events we do not charge for space, but have reasonable food and beverage sales minimums based on space and time/day of the week. Minimums do not include service charge. Most groups exceed our minimums. Daytime event charges depend on length of event, time of event start, and food/beverage order. All daytime parties are a custom quote. Contact us for details. For no host bar all tabs/checks associated with the party have a 20% service charge added. We take credit cards only for no host options. No cash. *The River Room has a combination of tall tables and couches and is ideal for reception style parties. Plated dinners in the River Room that require Thirst to rearrange seating to accommodate all diners being seated for dinner will be charged a $150 minimum moving fee. For the Cellar the large oak tables cannot be removed; however they can be put against the wall for more reception style seating. Rearrangement of this room above the norm will be charged a $100 minimum moving fee. Service for Parties/Events Every event at Thirst is tended to with excellent service. Parties spending more than $1K have a dedicated server in the room at all times. Parties under that amount or with a no host bar will still receive our excellent service, however your server may not be fully dedicated to just your party. Parties with no host cash bar or exceeding 40 people with hosted mixed drinks are encouraged to add additional staff for an hourly wage. Thirst will help determine the appropriate number of servers based on your party needs. Meetings with Thirst Event Planners Most communications with our event staff can be conducted via . All meetings whether phone or in person need to be scheduled in advance at a mutually agreed upon time. Excessive meetings may result in a fee. Please note our section in the contract on party food sampling. All of our party food is custom and not on our regular menu therefore Thirst charges for any food tastings. If you are ready to select your menu for your party, please fill out and sign the next page and send it to parties@thirstwinebar.com or fax to Parties are officially booked when a deposit is made and we receive the contract. Customer understands and agrees that Thirst Wine Bistro charges a minimum deposit of $250 - $1000 depending on type of event to reserve space and services for the above date. Cancellations must be in writing and must be received no later than 2 weeks prior to the event date. Any cancellations received after that time will result in the forfeiture of the deposit fee. Any cancellations within 5 days prior to the confirmed date will be charged the full estimated amount on the credit card on file. 2. The contract price must be paid in full on the event date. Payment may be made by cash, business check or credit card. The deposit will be applied to the final bill. Bills not paid the evening of your party will be charged a 5% fee. 3. Guest guarantee number for buffets, stations, and special tastings must be given 1 week prior to your event. Customer agrees that unless Thirst is notified one week prior to the party, if the actual number of guests on the day of the party is less than the number of guests entered on this form, the original order/price remains the same. 4. Any changes to the menu or special requests (Dietary) must be made in writing no later than one week prior to the event date. 5. There is a 20% gratuity / service charge added to ALL checks associated with your party/event. This includes no host items. 6. We make all party food fresh on the day of your party. Therefore, we don t have quantities of our party menu food for tastings. Should your event require a pre-tasting of menu items, paid arrangements can be made with the event planner. Not all items are available for tasting, since many are seasonal and/or special order. 7. Thirst reserves the right to substitute items (including but not limited to food and wine) that become unavailable in the market or that exceed reasonable market prices. Thirst will make best efforts to notify the client of any substitution(s). 8. Thirst does not allow any outside food or drink to be brought in with the exception of store bought cakes / desserts made aware to Thirst at least 1 week prior to your event. We charge a $25 plating/cutting/serving fee for single layer cakes or other desserts and a $50 fee for multi-layer cakes. 9. Please advise your guests that Thirst does not validate parking. If you would like to provide parking for your guests, we can put you in touch with the owner of our adjacent garage that holds up to 35 cars but is shared with all businesses here and may not be available. We can recommend nearby parking. 10. A cleaning fee of at least $50 will be charged to the credit card on file for any excessive mess or debris left in the room. Thirst allows limited decorations to be brought in. We do not allow glitter ($50 cleaning fee) or items to be taped or tacked to our walls or fireplaces. Any damage will be assessed and charged on full to credit card on file. 11. In the event of cancellation due to fire, flood, hurricane or other natural disaster, Customer will be given an opportunity to reserve Thirst for another date within the next (1) month, subject to availability.
