2 MOVE IN/OUT INSTRUCTIONS Show Dates: September 11-20, 2015 SHOW HOURS: Saturday-Sunday 11:00 pm - 10:00 pm Monday-Friday 3:00 pm - 10:00 pm *NOTE: booths must be staffed during all hours we are open to the public. MOVE-IN INSTRUCTIONS Tuesday, September 8 th Wednesday, September 9 th Thursday, September 10 th 9:00 am 5:00 pm 9:00 am 8:00 pm 9:00 am 8:00 pm September 10th: Driving in to booth permitted until 7:00 pm. NO LARGE EQUIPMENT OR VEHICLES AFTER 7:00 PM. MOVE-OUT INSTRUCTIONS Agriplex, Progress Building, Canada Building and West Annex close at 10:00 pm on the final Sunday. Exhibitors can begin removing displays and product by hand out of the building starting at 10:00 pm, please leave booths intact until official closing. Vehicular move out will commence at the close of the Fair, approximately Midnight of Sunday, September 20 th and only on the direction of the London Police. Final Move out will be Monday September 21 st, 8:00 am 3:00 pm. SHIPMENTS: (ALL EQUIPMENT & DISPLAYS MUST BE REMOVED BY THE 3:00 PM DEADLINE) Western Fair District will not accept any deliveries until the first day of movein, Tuesday, September 8 th. Deliveries can be shipped to: Western Fair District: Canada Building 900 King St London, ON N5W 2X6 Please ensure all personnel and display companies are aware of the above information.

3 PARKING/BOOTH SERVICING Booth Servicing: Saturday-Sunday (Sept and 19-20) booths can be serviced from 9:00 am 10:30 am daily. All vehicles must be off the grounds by 10:30 am. Monday-Friday (Sept 11, 14-18) booths can be serviced from 1:00 pm 2:30 pm daily. All vehicles must be off the grounds by 2:30 pm. To gain access to the grounds after hours the ONLY gates that will available for entrance are: - King St service (corner of King St) Recommended for Canada Building Exhibitors - Rectory St service gate (Next to the Western Fair entrance sign) Parking: Parking passes are no longer required as parking is FREE to all exhibitors and vendors based on availability in all WFD parking lots. The recommended parking lot for exhibitors and vendors in the infield parking lot at the corner of Egerton St and Dundas St through the tunnel. If you decide to park in a nearby private lot WFD will NOT reimburse you for the cost of parking. Western Fair District is not responsible for any parking tickets received.

4 INTERNET INFORMATION Wi-Fi In the Canada building we offer free Wi-Fi to all of our exhibitors. This is intended for personal use i.e. checking , small amounts of data, etc. The amount of usage is limited per device connected to enforce this. Unfortunately we cannot guarantee the strength/speed as it will depend on the amount of users connected at any one point. At this point Wi-Fi will not be available outside. If the connection goes down we have staff that will be present on site to trouble shoot any issues when the show is open to repair as soon as possible. Access codes will be made available onsite in the exhibitor welcome letter for staff at the booth. Hardline Dedicated Internet (Recommended) If your display relies on an internet connection (display, video streaming, etc) we recommend purchasing a dedicated internet line for your booth. This will give you a more stable connection that you can rely on throughout the duration of the event. To order dedicated internet, please order directly through us. 5 PROOF OF INSURANCE Exhibitors must provide proof of insurance and can either: OPTION 1: Provide a certificate of your own insurance from your liability insurer per the specifications below. MUST BE NAMED AS ADDITIONAL INSURED: Western Fair Association, 316 Rectory St, London, ON N5W 3V9 Corporation of the City of London, 300 Dufferin Ave, London, ON N6A 4L9 SPECIFICATIONS: General Liability insurance coverage of at least $2,000,000 inclusive of bodily injury and/or property damage per occurrence during the occupancy period of September 8-21, CONDITIONS: It is a condition of your contract to hold harmless the Western Fair Association and the Corporation of the City of London against all charges of liability. Failure to provide proof of insurance may result in immediate termination of your contract, forfeiting all monies deposited and removal from the show without further consultation or financial recourse against Western Fair Association. Exhibitors who do not have Comprehensive General Liability insurance are deemed personally liable. Further, the Owner reserves the right to require the Exhibitor to provide any additional insurance coverage as may be required by the Owner in the circumstances of any undertaking carried on by the Exhibitor, it s servants, agents, employees or otherwise on the Owner s premises. OPTION 2: You may obtain insurance coverage from the official insurance provider for the Western Fair, Vendor Insurance LTD. This company specializes in special event insurance and offers inexpensive exhibitors insurance. See the following page for their order form.

11 From Toronto (East) DIRECTIONS TO THE WESTERN FAIR Take the 401 West to the Highbury Avenue exit at London. On Highbury Avenue, head North to Florence Street. Turn left onto Florence Street. On Florence Street, head West until you come to Rectory Street. Turn right onto Rectory Street. The main entrance to the Western Fair Grounds is immediately on your right- hand-side. Look for the big colourful Western Fair logo above the gate. From Windsor Take the 401 East to the Wellington Street exit. On Wellington Street, head North until you reach King Street (Downtown). Turn right onto King Street, which is a one-way street and head East. The Western Fair Grounds is located at the dead-end of King Street; therefore, you should have no problem finding our exciting entertainment venue. From Sarnia Take the 402 to the 401 and then take the first London exit at Wellington Street. On Wellington Street, head North until you reach King Street (Downtown). Turn right onto King Street, which is a one-way street and head East. The Western Fair Grounds is located at the dead-end of King Street; therefore, you should have no problem finding our exciting entertainment venue. From Barrie Take the 400 until you come to the 401. Head West on the 401 (London). Take the first exit into London which will be the Highbury Avenue exit. On Highbury Avenue, head North to Florence Street. Turn left onto Florence Street.
