Introduction Setup decisions for the PARTNER II Communications System or PARTNER Pus Communications System shoud be recorded on the forms in this Panner. The forms must be fied out before instaation to provide guidance for the technician who instas and programs the system. The forms shoud aso be used by the customer to record changes after instaation, so there is an ongoing record of the programming for the system. If programming is inadvertenty erased (for exampe, in the event of an extended power faiure), the forms can be used to reprogram the system. Identifying a System Manager As part of the panning process, the customer shoud identify a person in the company to act as System Manager. The System Manager is the person who is responsibe for the teephone system. The System Manager shoud work with you to fi out the forms, and shoud participate (with an aternate) in the training for the system. The System Manager can then provide training, answer questions for teephone users, and perform programming for the system after instaation. Fiing Out Panning Forms for the Customers The panning forms were designed to be as sef expanatory as possibe. The first few times you fi out the forms, it may hep to refer to the suppementa instructions on the pages that foow. For detaied information about system features, see the PARTNER II or PARTNER Pus Communications System Programming and Use guide. We suggest you compete the forms as foows: 1. Fi out Form A (to describe the customer s overa system configuration) and Form B1 (to record basic information for each system extension). If you want to customize extension settings for different users, compete Form B2 as we. NOTE: For system options that require programming, the forms show the name of the procedure and the programming code in the form {#NNN} (for exampe, Line Assignment {#301}); centraized programming procedures for individua extensions are identified by the etters {CTP} for "Centraized Teephone Programming" (for exampe, Line Ringing {CTP}). 2. Provide advice to hep the customer fi out any additiona forms needed for instaation. If button features shoud be programmed onto users teephones centray (instead of etting users do it themseves), the desired button programming shoud be specified using the appropriate teephone tempates or feature checkists on Form C1 through Form C8. If the customer pans to use diaing restrictions, Form D shoud be used to specify a ist of Emergency Phone numbers that wi override restrictions. Form D can aso be used to specify ists of Disaowed and Aowed numbers to fine tune the diaing capabiities for individua extensions, to identify Externa Hotine phones that dia a specified teephone number as soon as the handset is ifted, and to specify up to 99 account codes for account code verification. If the customer wants System Speed Dia numbers programmed that wi be avaiabe to a system users, Form E shoud be fied out. After the forms are competed, take the origina and eave a copy with the customer. Customer Training In the U.S., a Lucent Technoogies representative wi provide training at the customer s pace of business when the system is instaed and programmed. (Outside the U.S., customers shoud contact their Lucent Technoogies Representative or oca Authorized Deaer for information about training.) The representative wi demonstrate how to: Hande cas and use system features Program features and phone numbers onto phone buttons Change the programming for the system and for individua teephones Use the Quick Reference cards and the Programming and Use guide To prepare for training, pease te the customer to: Set aside approximatey two hours of uninterrupted time for training on instaation day, preferaby in a quiet pace away from distractions. Designate one person (generay the System Manager) and an aternate to participate in the training. These persons wi then train the rest of the company staff. This training wi ensure that the customer takes maximum advantage of their new Lucent Technoogies system. Thank you for your cooperation. 1
Form A Suppementa Instructions: System Configuration Saesperson competes items 1 12. Saes Support Representative competes items 13 15. 6. Configure Hardware for Hybrid Mode For PARTNER II systems ony, check "Yes" if the customer wants ine pooing capabiities; otherwise check "No." By defaut, the system is configured for Key mode. Changing to Hybrid mode requires Lucent Technoogies Authorized Personne to modify the processor modue at instaation. IMPORTANT: In some jurisdictions in the U.S., a PARTNER II system instaation for Hybrid mode requires Federa Communications Commission (FCC) registration information to be reported to the customer s oca teephone company. This incudes the system s operating mode (MF for Hybrid mode) and its FCC registration number, which can be found on the right side of the primary carrier. Athough it is the customer s responsibiity to report FCC registration information, it is highy recommended that you report this information for the customer. 8. System Lines Enter information about individua ines in the tabe. Be sure to ist the ines assigned to a extensions first, foowed by persona and dedicated ines. Write R if Rotary (Dia Puse) Line {#201} Leave bank for touch-tone ines. Hybrid Mode Ony Write auxiiary poo 881, 882, 883, or No Poo {#207} (PARTNER II system ony) The defaut for Hybrid mode is a ines assigned to the main poo (880). To create auxiiary poos, specify the auxiiary poo access code 881, 882, or 883. To identify ines that can be assigned to pooed extensions as individua ines, write "No Poo." Line Coverage You can seect one per ine If desired, identify an automated answering option for incoming cas on each ine. (If a cas on a ine shoud be covered by a human operator, eave a ine coverage coumns bank for that ine.) To avoid confusing caers, it is recommended that ony one of the AA, DXD, or VMS-AA options be used to hande incoming cas throughout the system. AA DXD Automated Attendant service by PARTNER Attendant, which must be purchased separatey. Direct Extension Diaing (PARTNER II system ony) ets caers dia extensions without waiting for the receptionist. VMS-AA ASA Hunt Group VMS-Mai Automated Attendant service of PARTNER MAIL or PARTNER MAIL VS, which must be purchased separatey. If the receptionist does not answer an incoming ca, VMS-AA ets the caer seect an extension or route. Programmed using option 1 of Group Ca Distribution {#206} for Hunt Group 7. Automatic System Answer (PARTNER II system ony) pays a recorded message, then paces the ca on hod, disconnects the ca, or continues to ring avaiabe extensions. Hunt Group sends incoming cas directy to an extension in the specified group 1 6. Programmed using option 1 of Group Ca Distribution {#206}. Voice Mai coverage of persona ine by PARTNER MAIL or PARTNER MAIL VS, which must be purchased separatey. Sends unanswered incoming cas directy to the ine owner s maibox. NOTE: You can use option 3 of Group Ca Distribution {#206} or Line Coverage Extension {#208} to specify VMS-Mai ines for ownership. With the #206 option, cas are routed to the user s voice maibox after four rings. The #208 option provides more fexibiity because cas are routed after the number of rings specified with VMS Cover Rings {#117}, if the extension has VMS Cover on. The user aso can turn on Do Not Disturb to send cas on the owned ine immediatey to VMS coverage. Write Ext. No. for Ca Cover {#208} (PARTNER II system ony) If the customer wants a user who has a persona or individua ine to be abe to activate Ca Coverage for that ine, identify that user s extension number in this coumn. Programmed using Line Coverage Extension {#208}. NOTE: Ony one owner can be assigned to a specific ine. However, mutipe ines can be assigned ownership to the same extension. Write User s Name for Persona or Owned Line or Identify Equipment for Dedicated Line For a persona, owned, or dedicated ine, write the user name or equipment description (for exampe, "Fax"); otherwise, eave bank. (If another user provides backup ca coverage on the ine, note the name of that user in parentheses.) Use Form B2 to record custom extension assignments. Check if Caer ID Service (PARTNER II system ony) Check this coumn to indicate ines on which oca teephone company Caer ID service is provided. For dia-code features that support this service, see Form C. 2
9. System Settings Receptionist answers cas during business hours? If "Yes," be sure to record settings on these forms that wi aow the receptionist to answer the phone before automatic coverage is appied. Number of Lines {#104} This programming procedure shoud be used ony for instaation using it ater erases custom settings for a extensions. After instaation, use Line Assignment {#301} to assign ines and, for PARTNER II systems ony, Poo Extension Assignment {#314} to assign ines to poos. Transfer Return Rings {#105} The transfer return extension is identified on Form B1, Write Transfer Return Ext. No. {#306}. Outside Conference Denia {#109} To prevent a users from conferencing with more than one outside party, write "No" in the space provided. Ca Coverage Rings {#116} (PARTNER II system ony) Covered extensions are identified on Form A, Write Ext. No. for Ca Cover {#208}. VMS Cover Rings {#117} This feature appies to a intercom cas, transferred cas (that is, outside cas transferred by VMS-AA and inside transferred cas), and outside cas on owned ines (those specified using Line Coverage Extension {#208}) for extensions that have VMS Cover or Automatic VMS Cover {#310} active. Ring on Transfer {#119} If Ring on Transfer is Not Active, caers hear sience uness Music on Hod is activated and an audio source is connected to the processor modue. To Ca Prefix {#402} If diaing a "0" or "1" to make ong distance cas is not required, write "No" in the space provided. System Password {#403} Whoever knows the password can pace any type of ca at any time, regardess of diaing restrictions. NOTE: If a System Password is programmed, it must be entered to turn Night Service on and off. Aso, users at Night Service Group extensions must enter the password before pacing outside cas except Marked System Speed Dia numbers and numbers on the Emergency Phone Number List. Music on Hod {#602} If Music on Hod is Not Active or no audio source is connected, caers on hod hear sience. 10. Line Coverage DXD If DXD was specified in Item 8, you can change the number of times that the phone shoud ring before the system answers. You must specify the message caers hear when the system answers. Be sure to specify a Direct Extension Dia Button {#113} for extension 10 on Form C to activate this feature. VMS-AA If VMS-AA was specified in Item 8, you can change the number of times that the phone shoud ring before the voice messaging system answers. You aso can specify that the system shoud answer ony when Night Service is off (Day ony) or when Night Service is on (Night ony). If Day ony or Night ony is seected, be sure to specify a Night Service Button {#503} for extension 10 on Form C to activate this feature. ASA If ASA was specified in Item 8, you can change the number of times that the phone shoud ring before the system answers and indicate how the system shoud hande the ca after the greeting pays. You must specify the message caers hear when the system answers. Be sure to specify an Automatic System Answer Button {#111} for extension 10 on Form C to activate this feature. 3
4 11. Auxiiary Equipment (System) Check boxes that appy for auxiiary equipment connected to the contro unit or to system wiring. A appropriate hardware and software must be purchased separatey. Battery Backup In some countries, battery backup is avaiabe to aow the customer to connect an externa battery to keep the compete system operationa during a commercia power faiure. If it is avaiabe and the customer wants battery backup, check this box. Caer ID Devices If the customer wants to connect a Caer ID device (such as a PC to process Caer ID information) directy to a system ine, check this box. A separate wiring run is required to connect each device directy to the network interface jack for a ine. Loudspeaker Paging If the customer wants a oudspeaker paging system, check this box. If the oudspeaker paging system supports mutipe zones, indicate the number of zones. Magic on Hod If the customer wants Magic On Hod, check this box. Magic On Hod does not require a icense. Uninterruptibe Power Suppy If the customer cannot afford to ose fu communications capabiity during power outage, an uninterruptibe power suppy (UPS) shoud be ordered. SMDR If the customer wants to track phone usage in a printed report, check this box. Before changing SMDR Output Format {#610} to 24 digits, check the documentation for the ca accounting device to verify that 24-digit output is supported.
Form B1 Suppementa Instructions: System Extensions This form provides basic information for each system extension. To customize ine restrictions or other extension settings, you must aso use Form B2. Write Name/Description Write a user name or a description for auxiiary equipment (such as "Fax," "VMS," or "Conference Room") to be instaed at the extension. If system dispay phones shoud show the name/description of the caer for interna cas, write the 20 characters you want to dispay, check the Check if Ext. Name Dispay {CTP} coumn, and compete Form B1, page 3 of 4 and page 4 of 4. (Note that MLS-mode phones dispay ony 12 characters.) Identify Teephone Attached to this Extension Check the appropriate coumn to indicate the type of phone. If a system and standard phone are combined on an extension, check the two appropriate Identify Teephone coumns. If a phone and an auxiiary device are combined on the extension, check the appropriate Identify Teephone and Identify Auxiiary Equipment coumns. Identify Auxiiary Equipment Attached to this Extension Except as noted, check the appropriate coumn to indicate the type of auxiiary equipment. Ca Waiting {#316} (Standard phones ony) By defaut, the system s Ca Waiting feature is set for Not Active. To change the defaut, check extensions with standard phones that are to receive a tone whie on a ca to indicate a second incoming ca. Externa Hotine {#311} Check the extensions to be used as Externa Hotines. Specify the teephone number that is diaed automaticay from each Externa Hotine on Form D. Hotine {#603} Write "Hotine" in the Write Name/Description coumn and write "T" for touchtone or "R" for rotary in the Standard coumn (under Identify Teephone) to indicate the phone type. (A hotine extension shoud have a standard touchtone or rotary phone; a hotine aert extension can have any phone type.) PARTNER MAIL Check the 2 or 4 extensions used to connect the PARTNER MAIL system and write "VMS" in the Write Name/Description coumn. NOTE: In addition to the VMS extensions, you must specify an extension (with no ines assigned) where a remote maintenance device is instaed. Write "VMS-RMD" in the Write Name/Description coumn. These VMS extensions shoud be checked on Form B2, Identify Group Assignments, VMS Ony. They must be assigned to Hunt Group 7 using Hunt Group Extensions {#505}. PARTNER MAIL VS Check the 2 extensions used for PARTNER MAIL VS and write "VMS" in the Write Name/Description coumn. Note that the PARTNER MAIL VS modue is instaed in a contro unit sot, and so takes up 6 extensions. Ony the bottom 2 extensions, however, answer VMS cas the other 4 can be used as guest maiboxes. These VMS extensions shoud be checked on Form B2, Identify Group Assignments, VMS Ony. They must be assigned to Hunt Group 7 using Hunt Group Extensions {#505}. Extra Aert Check the extensions to which an extra aert, such as a ight or be, is connected. IROB Check the extensions to which an In-Range Out-of-Buiding protector is connected to prevent eectrica surges. AA Extension {#607} Check the extensions to which PARTNER Attendants are connected. Write Transfer Return Ext. No. {#306} By defaut, a transferred ca returns to the originating extension if the ca is not picked up. To specify a different transfer return extension, write the extension number in this coumn. For extensions to which you are connecting a PARTNER MAIL system, PARTNER MAIL VS system, or PARTNER Attendant, indicate a transfer return extension usuay extension 10 where a person can pick up cas that are transferred by the VMS or AA extension but not answered. If DXD ine coverage is used (see Form A), you aso shoud specify a transfer return extension for extension 10 to provide backup coverage for cas that are not answered at extension 10 or at an extension that the caer seects. 5
Form B2 Suppementa Instructions: 6 Customized Extension Settings Each row on Form B2 specifies settings incuding group assignments that can be copied to other extensions using Copy Settings {#399}. Defaut settings are shown at the top of Form B2. Settings for Auxiiary Equipment The foowing settings may be usefu for auxiiary equipment: For a dedicated ine (such as a Fax ine, see Form A), assign the ine to the equipment extension and remove it from other extensions. To prevent other extensions from interrupting cas, write "A" (Assigned) in the Automatic Extension Privacy {#304} coumn. In genera, do not assign auxiiary equipment extensions to a Pickup Group, Caing Group, Hunt Group, or Night Service Group. Identify Extension Settings if Different from Defaut For each extension, identify extension settings that are different from the defaut. Dispay Language {#303} (System dispay phones ony) Indicate the anguage for dispay messages if different from Engish. Automatic Extension Privacy {#304} By defaut, any user sharing a ine can join cas at another extension (Privacy is Not Assigned). If a cas are to be private, write "A" (Assigned) in this coumn. Aways use this feature for Fax and modem extensions. Abbreviated Ringing {#305} (System phones ony) By defaut, a new ca rings ony once when a phone is in use (Abbreviated Ringing is Active); the ine button ight fashes unti the ca is answered or the caer hangs up. To change the defaut so a new ca rings repeatedy, write "NA" (Not Active) in this coumn. Forced Account Code Entry {#307} (System phones ony) If a user shoud be required to enter an account code before pacing an outside ca, write "A" (Assigned) in this coumn. Distinctive Ring {#308} (Standard devices ony) By defaut, outside, intercom, and transferred cas each have their own ringing pattern (Distinctive Ringing is Active). To change the defaut so that a cas ring the same, write "NA" (Not Active) in this coumn. Automatic VMS Cover {#310} If PARTNER MAIL or PARTNER MAIL VS is instaed and an extension shoud automaticay be covered when its cas are not answered, write "A" (Assigned) in this coumn. To program a VMS Cover button to turn coverage on and off at an extension, see Form C. Voice Interrupt on Busy {#312} (System phones ony) To identify an extension as being eigibe for intercom cas whie busy with another intercom or outside ca, write "A" (Assigned) in this coumn. Line Access Mode {#313} (PARTNER II system ony) If the system has been set up for Hybrid mode, a extensions (except 10) operate as pooed extensions by defaut. To identify extensions that are to operate as key extensions, write "K" (Key) in this coumn. Extension 10 aways operates as a key extension. Hybrid Mode Ony List individua ines {#301} For pooed extensions, ist ine numbers to identify individua ines to be assigned to extensions. By defaut, a ines are assigned to extension 10. Line Ringing {CTP} The defaut is immediate ringing for a individua ines at a extensions. For poos, the defaut is no ring. For each extension, specify the ines or poos that shoud ring immediatey, after a deay (about 20 seconds), or that shoud not ring. Aso specify the ines or poos that shoud not be assigned. Settings for a Receptionist s Extension If a receptionist at extension 10 is to answer cas, coordinate ine assignments and ine ringing for extension 10 with settings for other extensions, to determine how incoming cas are handed. If the receptionist is to answer a cas (immediate ca handing), assign a ines to extension 10 with immediate ringing; assign ines or poos as needed to other extensions with no ringing. The receptionist wi answer a cas and transfer them to the appropriate extensions. If you want another extension to provide backup coverage for the receptionist, assign a ines to that extension with deayed ringing. In Hybrid mode, immediate ca handing is the factory setting for extension 10. (Lines are assigned to individua ine buttons on the phone at extension 10 and a poos assigned to users extensions are set to no ring.) If the receptionist is to answer cas ony when users do not pick up immediatey (deayed ca handing), set ines or poos to immediate ringing at users extensions and to deayed ringing at extension 10.
Identify Restrictions/Permissions Specify restrictions and permissions for each extension. Line Access Restriction {#302} or Poo Access Restriction {#315} By defaut, access to a ines and poos is set to No Restriction. To change the defaut, write the ine numbers or poo access codes in the appropriate coumns, as foows: Outgoing ony Incoming ony User can pace outside cas and receive ony transferred cas on specified ine or poo. User cannot pace outside cas but can receive cas on specified ine or poo. No Access User cannot pace or receive outside cas on specified ine or poo (but can receive transferred cas, pick up cas on hod, or join cas in Key mode and on key extensions in Hybrid mode). NOTE: Poo Access Restriction for key extensions in Hybrid mode is set to No Access. Outgoing Ca Restriction {#401} Write "IN" or "LOC" to indicate restrictions for a outgoing cas on a ines at that extension, as foows: IN User can make ony intercom cas to other system extensions. LOC User can make ony intercom and oca outside cas (no cas that require a "0" or "1" prefix). Any avaiabe outside ines can sti be used to dia numbers on an Aowed Phone Number List assigned to the extension, numbers on the Emergency Phone Number List, or Marked System Speed Dia numbers. Identify Group Assignments To assign extensions to any of the foowing groups (each extension can be in one or more groups), write the group number or pace a check mark in the appropriate coumns. Pickup Group Extensions {#501} Any extension can answer an intercom, transferred, or outside ca ringing at an extension in the Pickup Group, without knowing which extension is ringing and without being in the group. Do not put PARTNER MAIL or PARTNER MAIL VS extensions in a Pickup Group. Caing Group Extensions {#502} A user can ring or page (voice signa) a extensions in a Caing Group simutaneousy or transfer a ca by ringing the group. Once an extension answers, the ringing or paging stops at the other extensions in the group. Do not assign extensions connected to auxiiary equipment, PARTNER MAIL, PARTNER MAIL VS, or Externa Hotines to a Caing Group. If a oudspeaker paging system is connected and Simutaneous Paging is desired, put a desired system phones with speakers in Caing Group 1. NOTE: When the user voice signas an extension that has a system phone, the phone beeps and the user s voice is heard through its buit-in speaker. System phones are the ony ones that can be voice signaed. Hunt Group Extensions 1 6 {#505} Cas can ring or be transferred to the first non-busy extension in a Hunt Group. A ca rings at an extension in a Hunt Group three times; if it is not answered, it hunts to the next non-busy extension, continuing unti someone answers or the caer hangs up. (If you voice signa a Hunt Group, ony the first extension is signaed; the ca does not keep hunting if there is no answer.) Incoming cas on specific ines can be directed to a Hunt Group using Group Ca Distribution {#206}. Do not put PARTNER MAIL or PARTNER MAIL VS extensions in Hunt Groups 1 6. VMS Ony (Hunt Group 7) For extension where PARTNER MAIL or PARTNER MAIL VS is connected, check this box to assign the extension to Hunt Group 7. The system recognizes any extensions assigned to Hunt Group 7 as Voice Mai Service (VMS either PARTNER MAIL or PARTNER MAIL VS) extensions. Do not assign any extensions other than VMS extensions to Hunt Group 7. Aso, do not assign PARTNER MAIL or PARTNER MAIL VS extensions to any other Hunt Groups, to any Caing or Pickup Groups, or to the Night Service Group. Night Service Group Extensions {#504} Check this box if the extension shoud be in the Night Service Group. When Night Service is on, incoming cas on assigned ines or poos ring immediatey at the extensions in the Night Service Group, even if Line Ringing for those extensions is set for "deayed ring" or "no ring." Do not put PARTNER MAIL or PARTNER MAIL VS extensions in the Night Service Group. 7
Form C Suppementa Instructions: Button Tempates There are eight pages to Form C one page for each type of system phone and one page for an Intercom Autodiaer. Use Form C to record ine and poo button assignments and to indicate programming for system teephone buttons that do not have ines or poos assigned if the programming is to be performed from extension 10 or 11 during system instaation. After instaation, users can program additiona features using the instructions on their Quick Reference cards. A teephone button can be programmed as a ine button (to access an outside ine), as a poo button (to access a poo), as an Auto Dia button (to dia a phone number or a PBX/Centrex feature access code with one touch), or as a dia-code feature button (to access a dia-code feature with one touch). Line and poo buttons must have status ights; some features aso require buttons with ights (see "Button Feature Summary"). Using the information from Line Ringing and Line/Poo Access Restriction on Form B2, fi out Form C as foows: Make as many copies of each page of Form C as you need. Where ine, poo, and other button assignments are identica for two or more phones of the same type, you can use one copy of the form and indicate the extension numbers sharing the programming in the space provided at the bottom of the form. Use either the button tempate (to record the exact ocation of buttons and the programming assigned to them) or the Check Desired Features checkist (to identify features to be programmed), or both. NOTE: To restrict ong-distance caing, To Ca Prefix {#402} (indicating whether you must dia a 0 or 1 to pace ong distance cas) must be set correcty (see Form A, Item 9). Creating Disaowed and Aowed Lists You can create up to 4 ists each of Disaowed and Aowed teephone numbers. Each ist can have up to 10 numbers. 1. Under the List number, write a name for the ist (for exampe, "Suppiers"). 2. In the "Teephone Number" coumn, write the entries for the ist. You can specify compete teephone numbers or categories of numbers. To specify a compete number, write it exacty as it woud be diaed, incuding (if needed) a dia-out code, to ca prefix, and area code. To specify a category, provide one or more entries to describe an entire cass of cas (such as an area code or oca exchange). Preventing cas to a category may require more than one entry, to aow for different ways of diaing a number (see "Exampes of Disaowed List Entries"). Emergency Phone Number List {#406} You can create a ist of emergency numbers that can be diaed at any time by any extension that has access to an outside ine. The ist can have up to 10 entries. Emergency numbers override a other diaing restrictions, incuding Night Service with a System Password. NOTE: Various factors infuence the effectiveness of diaing restrictions. Avoid putting 800 numbers in your Emergency Phone Number List. If you need to aow restricted users to access 800 numbers, put those numbers in an Aowed Phone Number List instead. Important Notices Consut your oca phone directory to determine the numbers for poice, fire, and ambuance service, because "911" is not avaiabe everywhere. When programming emergency numbers and/or making test cas to emergency numbers: 1. Stay on the ine and briefy expain to the dispatcher the reason for the ca before hanging up. 2.
