Summary A functinal requirement f the shpping cart apprval wrkflw in SRM was t enable External (Offline) Apprval f New Candidate Jb Requests. When new shpping carts are created, an email is generated frm the SRM system and is sent t identified jb apprver(s). The actin t apprve r deny the request is dne directly within the email and triggers a reply message that is ruted back t SRM fr prcessing. Inbund SMTP cnfiguratin is required t handle delivery f reply messages t the SRM system n a specific prt in rder t autmate the denial r apprval transactin. Prper inbund SMTP ruting requires establishing an external MX (Mail exchanger) recrd, setting up DNS fr ruting t the email gateway, and cnfiguratin f the email gateway t act as a mail relay sending directly t the internal SRM hst using the required prt. This dcument highlights the technical steps required in rder t cnfigure apprvals by an external email system. Mst f these steps are nrmally perfrmed via SAP Basis resurce. SMTP Server with its IP r lad balanced hstname. Step 1. Cnfiguratin f Prfile Pramaters Adjust the prfile Parameters icm/server_prt_<*> = PROT=SMTP,PORT=<prt> This pens a TCP/IP prt fr receiving mails by the SMTP Plug-In. <prt> specifies the number f the prt that yu shuld use. This must nt be ccupied by any ther prgram n this hst (fr example, Sendmail usually uses prt 25). If n mails (including status ntificatins) are t be received in this SAP system, <prt> can be set t 0. Yu can use the TIMEOUT ptin t define a maximum wait time fr a respnse frm the mail server (in secnds). is/smtp/virt_hst_<*> = <hst>:<prt>,<prt>,...; This defines a "virtual mail hst" fr receiving mails. If all incming mails (including status ntificatins) are t be received and prcessed in a single client f this SAP system, this parameter is nt required (an entry is/smtp/virt_hst_0 = *:* is then assumed by default). If yu want several clients t be able t receive, yu must create a virtual mail hst fr every client. <hst> specifies the name f the hst t which incming mails are addressed. The "*" value can als be specified here if the mail distributin is t ccur independently f the addressed hst. Imprtant: If the mail is t be distributed accrding t hst names, yu must assign different IP addresses t these hst names. <prt> specifies the number f a prt t which incming mails are addressed. Several prts may be specified fr each hst, and several hsts (with several prts if necessary) may be specified fr each virtual mail hst. Imprtant: The parameter line must always be cmpleted with a semicln (even if nly ne hst is invlved). The assignment f virtual mail hsts t clients is carried ut in the SAP system Example. Setup a User in the System User administratin transactin SU01 System user In each client f an SAP system in which incming mails (r status ntificatins fr sent mails) are t be received, a system user must be created t prcess the incming messages. T d this, use transactin SU01 t create a user f the type "system", and assign the "S_A.SCON" prfile t this user. User addresses Each individual user wh wants t receive e-mails in an SAP system needs an Internet mail address. This is als used as a sender address fr sending e-mails. In transactin SU01, enter the Internet mail address f a user in the field "E-Mail" under "Address". As a dmain, use the dmain f the SAP system client. Assign the Client t SICF Service SAPCnnect Fr each client f an SAP system in which incming mails (r status ntificatins fr sent mails) are t be received, and prcessed if necessary, yu must create an SMTP server in which the assignment t a virtual mail hst as well as the lgn data is defined. In transactin SICF, an SMTP server (envelpe icn) shuld already be available in every SAP system. This is delivered by SAP. Use this fr the first client that yu want t be able t receive mails, and create a new SMTP server fr every ther client. Yu must make the fllwing settings n the SMTP servers: Hst data Fr "Prfile Parameter Number", enter the sequence number f a parameter is/smtp/virt_hst_<*> frm the prfile. If yu have nly ne client and did nt create such a parameter in the prfile, enter 0. Service data Enter the client int which the mails received using this virtual mail hst are t be directed, as well as the lgn data (user, passwrd, language) f the service user that was created fr inbund mails. Default dmain The dmain f this SAP system client is defined here, fr example, crm-prd.cmpany.cm. It is used fr the fllwing purpses: The SMTP Plug-In lgs n t the mail server with the dmain as ID. The message ID f utging mails is created with this dmain. If an SAP user wh has nt entered an Internet mail address in their user master recrd sends an e-mail, a sender address is generated frm the SAP user name and this dmain, fr example SMITHJ@crm-prd.cmpany.cm. Create SMTP Nde There is always a single SMTP nde in each client. It is created autmatically by the system and cannt be deleted. It is cnfigured as fllws (duble-click n the nde name): Select "Nde in use". Under "Mail Hst" and "Mail Prt", specify the mail server t which utbund mails are t be transferred. Select "Set" fr "Internet". Specify address areas f recipient addresses that are t be reached using these ndes (usually "*" if all e-mails are t be sent using SMTP). Within SAPcnnect administratin (SCOT) Prceed as fllws: Chse "View" --> "Jbs". Check whether a jb is already scheduled (displayed as a calendar icn). Chse "Jb" --> "Create", and specify a jb name. Place the cursr n the "SAP&CONNECTALL" variant, and chse "Schedule Jb". Chse "Schedule peridically". Specify a time interval (fr example, 10 minutes), and chse "Create". Receiving With the settings made s far, SAP users can already receive e-mails in their inbx in the Business Wrkplace (transactin SBWP) at the address entered in the user master recrd. If, n receipt f e-mails t a specific address r with specific cntents (fr example XML dcuments), yu want a prgram that prcesses these e-mails t start autmatically, yu can cnfigure this under "Settings" --> "Inbund Prcessing". Step 5. Define Exit Rules fr Inbund Prcessing (Transactin SO50). Inbund prcessing shuld be defined s that incming messages can be ruted apprpriately. CREATE BID INVITATIONS RBBP_NOTIFICATION_OFFAPP RBBP_OFFLINE_EVAL Step 6. Defining Ruting Rules n E-mail Server. Settings n the mail server (SAP-external cnfiguratin) T be able t receive mails in the SAP system, yu need t set yur mail server s that certain mail addresses are frwarded t ne r several SAP systems r clients. Fr this purpse, yu need t define ruting rules that assign a mail hst and/r prt t address areas (generic address parts, usually the dmain), fr example: *@crm-prd.cmpany.cm --> SAPWASHst:25000 *@crm-test.cmpany.cm --> SAPWASHst:25001 Yu can define ruting rules, example in Prf-pint which diverts the messages n a particular prt t email address that yu wuld chse t create.
