Job Description for the post of: HR Administrative Partner EHA1048-0516 Fixed Term Full Time for up to 12 months (Maternity cover) The post holder will be: Reporting to: Accountable to: HR Advisor HR Services Director of Human Resources Working within the HR Services team, responsible for the effective delivery of a professional recruitment and selection service, you will provide a customer focussed proactive HR partnership service to managers, staff and applicants. The postholder will act as the main point of contact for the designated Faculties/Departments and will be responsible for duties including the administration of live vacancies in the E- Recruitment System, interview arrangements, selection testing, pre-employment checks and onboarding, ensuring University recruitment and selection procedures are followed and an excellent service is consistently provided. The postholder will also undertake administrative duties in relation to contract administration and provide cover for the HR Helpdesk. The postholder will be expected to use effective business processes and make use of technology in all aspects of their work. All HR team members are expected to adopt professional behaviours and standards which include a pro-active solution focussed approach, a positive attitude towards customers, the ability to build positive relationships with team members and key stakeholders and excellent interpersonal skills, together with the ability to use initiative and be resilient. Main duties of the post a) To provide a key contact service to designated faculties and departments working collaboratively offering advice and guidance on recruitment and administration processes. b) To effectively manage live vacancies in the E-Recruitment system from application to issuing of contract of employment ensuring the efficient processing of all related documentation. c) To co-ordinate the interview process, including liaising with managers, timetabling, hospitality, selection testing, invigilation of candidates, campus tours and general support throughout the assessment day. d) To efficiently process pre-employments checks for successful applicants in relation to issuing contracts of employment and associated documentation, complete checks for DBS clearance and eligibility to work in the UK, updating line managers on the progress of the appointment and updating the HR systems as appropriate. e) To process amendments, terminations and extensions to contracts and monitoring of fixed term contracts, updating the HR database and ensuring appropriate action is taken, relevant letters are issued and payroll documentation is completed accurately in a timely manner. f) Contribute on a rota basis to the efficient running of the HR Helpdesk dealing with HR related queries in person, by telephone and email ensuring an excellent customer service. g) To undertake general administrative duties such as the calculation of annual leave entitlements for part-time staff, monitoring the return of probationary reports, processing of casual claim forms and special leave requests, stationary orders and providing accurate, timely and exact information for monthly/ quarterly reports. h) To actively participate in the review and implementation of business processes and identify where enhancements can be made through the use of technology and streamlined processes. i) Actively contribute to various HR project groups to enhance the service including arranging meetings, co-ordination, taking and circulation of minutes. j) To provide flexible cover across the HR Services Team. k) To conduct any other duties as reasonably requested by the line manager.
