Setting Up Microsoft Outlook 2007 with GroupWise This page is one of several you might come across on our website discussing how to setup Outlook with GroupWise. We provide several sets of instructions specific to certain versions of Microsoft Outlook, as the process varies slightly between them. On this page we present instructions for setting up Microsoft Outlook 2007 (which runs on both Windows XP and Windows Vista operating systems) for retrieving messages from your GroupWise account. This is an important option to consider since graduating students lose access to their GroupWise accounts six months after graduation. These steps provide ways for you to keep important messages currently in your GroupWise account without having to forward them. Similar setups can be done with the Thunderbird e-mail client, for which we provide instructions also on another page. Please note to delete messages from the server using these directions, you will need to first mark the messages for deletion, then purge them. The purge options can be found in the Edit menu. There is an option for automatic purging, but the MSBTC is not able to recover messages that have been purged/deleted. For more information, please see the other document pertaining to purging. 1. To begin, open Microsoft Outlook 2007 and you should see the following startup page to the configuration process. To continue, click Next. 2. You will be asked whether you would like to configure an email account. Here, select Yes and then click Next. 1
3. The next screen titled Auto Account Setup begins the process of adding a new email account, but instead of filling in the blanks, please select the option at the bottom of the screen for manually adding an account, as you will need to specify some important settings. 2
4. The next step is to choose the proper email service. Select the Internet Email option and then continue by clicking Next. 3
5. On the next page you will specify the internet email settings. In the User Information section please fill in your name and the email address following the same style as the sample below. You will also need to specify the server information, making sure that the account type is IMAP, the incoming server reads imap.msb.edu, and that the outgoing server settings is set as smtp.georgetown.edu. For the logon information, you should enter your netid and the same password you use when you log into GroupWise. Once all the spaces are filled, the information should resemble the format in the image below. Then, continue by clicking Next. 4
6. The next screen should display a set of tabs. Here, you will need to select the tab that says Outgoing Server if it is not automatically selected for display. Under this tab, you will fill in more login information. Again, for the username you should enter your netid. However, the password in this case is your Georgetown netid password, the same one you use for accessing Blackboard or Access+. You may choose for the program to remember this password if you wish. Do not click OK just yet as you will visit another tab in this window. (The reason for the different password entries is that whenever you send mail out, it is routed through the Georgetown main campus servers instead of being routed out via the MSB GroupWise servers. In the previous step you used your GroupWise password because you would be accessing information stored on the MSB GroupWise servers. When mail is sent out, it leaves via the Georgetown main campus servers.) 5
7. In the same window as step 6, please visit the Advanced tab. Here, you should check to make sure that numbers for the incoming and outgoing servers as well as the encryption types match the entries in the display below. Once they do, you may continue by clicking OK at the bottom of the window. 6
8. Following should be a window noting that all the information has been entered sufficiently and successfully. Please click Finish. 9. Now that you have successfully entered the necessary information to set up Outlook with GroupWise, it is time to retrieve the messages currently in your GroupWise account for viewing in Outlook. A login screen should automatically pop up after you clicked Finish in the previous step. In the login screen you should enter your netid for the username and then your GroupWise email password. 7
10. After entering that information, you might see another window pop up warning that a security certificate cannot be verified. It will ask whether you would like to continue using the server anyway, and for this please select Yes. This will then lead to a few windows concerning privacy and update options for Microsoft Office. 11. The first window to follow the certificate prompt will ask you to select your privacy options. We recommend you select the option under Get online Help. The others options under the last two sections you may leave blank. Select Next to continue to the next window. 12. The final window in this setup process inquires about signing up for Microsoft updates. We highly encourage you to select the first option, which downloads and installs all of the updates as they become available. This will keep your software up-to-date. Click Finish once you have made your selection. 8
After this final step, Outlook will automatically take a moment to retrieve all of the emails in your GroupWise account and mimic the folder setup you had in GroupWise as well. *Please note that only items that are not in your GroupWise archive can be retrieved by the Outlook email client. If you have emails in your archive that you would like to be able to access and use in the future, please take the necessary steps to un-archive them so that you can retrieve them via Outlook. **Also, please remember that this setup allows you to access and use the emails in your GroupWise account at the moment. However, graduating students will still need to follow the same email forwarding instructions as all graduating Georgetown students before losing access to their GroupWise account. You may find more information on this process at http://alumni.georgetown.edu. After setting up the forwarding through this website, you will not retrieve new messages through Outlook. Instead, all incoming emails to your netid@georgetown.edu address will be forwarded to the email account you list at the forwarding site (hoyaforever@yahoo.com, for instance).
