2 Earth & Envirnmental Sciences, Ph.D. Handbk 7/1/2015 Envirnmental science Ph.D. Student Handbk Intrductin Dctral prgrams nrmally are arranged in tw phases. In the preliminary phase, the student usually pursues curses f study whilst initiating their research (early stage research). This phase is cmpleted when the qualifying examinatin is passed. In the secnd part, the student usually pursues an intensive research prgram and cmpletes nly curses f research (advanced stage research). It is cncluded when the dissertatin has been accepted and the defense f it apprved. The Ph.D. student must advance successfully thrugh (1) a Qualifying Exam, (2) a Technical Defense f the Thesis Prpsal, (3) a Public Dissertatin Defense, and (4) a Technical Defense. It is critical that the student chse a Majr Research Advisr (MRA) and tentative research prject during the first semester in residence. This is a research-riented degree intended fr full-time students. Althugh curses may be taken n a part-time basis, a minimum f ne year f full-time residency nrmally is required fr cmpletin f the dctral dissertatin. Frmatin f Dissertatin Cmmittee By the end f the secnd semester, the MRA, in cnsultatin with the student, will appint a Dissertatin Cmmittee (DC). The minimum and usual number f members f the DC is fur.. As a minimum, the cmmittee must cnsist f the dctral student s dissertatin adviser, and three additinal faculty members frm the prgram r experts frm utside institutins. At least ne member (including the DC Chair) must be a full-time assistant, assciate r full prfessr frm the Department f Earth & Envirnmental Sciences. The additinal prgram members are nt required t be frm the Department f Earth & Envirnmental Sciences. At the discretin f the MRA, ne pstdctral scientist in the Department f Earth & Envirnmental Sciences may als serve n the cmmittee. The DC may change the faculty representatives n the cmmittee as the student re-defines interests r research. The MRA is respnsible fr helping the student define an apprpriate prgram f study based n the curses ffered within the prgram. As the prgram ffers a diverse range f classes between the Rutgers-Newark, Rutgers-New Brunswick and NJIT fferings that vary by semester, the MRA will advise the student n apprpriate curses t supprt their research n a per semester basis. The student may nt deviate frm the curses t be taken unless given apprval in writing frm the MRA. A student may neither add nr drp a curse, fr example, withut specific apprval in writing f the MRA. If any difficulties with the prgram are encuntered (e.g., failing a curse and wishing t drp it, r feeling the curse lad is t heavy), the student must arrange a meeting f the MRA t cnsider the matter. 3 Earth & Envirnmental Sciences, Ph.D. Handbk 7/1/2015 Ph.D. Prgram Prgress Mnitr Frm (PMF) During each semester the student must arrange a prgress review meeting f the DC. At this meeting the Ph.D. Prgress Mnitr Frm (PMF) will be cmpleted and signed by the student and MRA. This frm prvides a recrd f advisement, intended and cmpleted cursewrk, prpsal tpics, thesis prpsal defense, and the prpsed dates f the technical and public defense f the thesis. The cmpleted PMF is returned t the Graduate Prgram Directr (GPD) t be filed in the student s flder as cnfirmatin f the student s prgress tward the degree bjective and must be updated by the DC every semester. Failure t fllw the abve requirement will result in a hld being placed n the student s university recrd preventing further curse registratin. The hld will nt be remved until the PMF is cmpleted and turned in t the ffice. The PMF must be returned t the ffice prir t December 1st fr the Fall semester and May 1st fr the Spring semester. Satisfactry prgress tward the degree, as determined by the PMF, is required at all times. Students wh fail t make satisfactry prgress may be infrmed f their prblem by their PMF chairpersn, department chairpersn r by their schl dean. The department has an assessment plan in place that is used t evaluate the prgress f all students. This plan is included at the end f this handbk. Frmal Curse Wrk Frmal curse wrk is defined as actual classes taken. This des nt include seminars r curses numbered 26:375:701 and 26:375:790. A list f all curses the student takes each semester must be apprved by their MRA and attached t their PMF. This list will define an evlving prgram f study. A minimum f 18 frmal curse credits is required fr the Ph.D. degree fr students wh have entered the prgram with a Masters degree and 30 credits fr thse students entering withut a Masters degree. A full-time nrmal academic lad is defined as 9 r mre credits per semester. A lad f 18 credits r mre requires the apprval f the Dean f the Graduate Schl Newark. Fr mst purpses, a student wh has registered fr 9 r mre credits has fulltime status, and a student registered fr 8 r fewer credits has part-time status. The fllwing students must register fr a full-time prgram f 9 r mre credits: graduate fellws, research interns (sme credits must be assciated with degree related research), and graduate and teaching assistants. Fellws, interns, and assistants must register their appintments accrding t the apprpriate designatins in the Schedule f Classes. In additin t regular curse wrk, the fllwing als are included in the calculatin f credits: research curses, regular curses taken nt-fr-credit, and graduate and teaching assistantships (usually 6 credits each). Graduate and teaching assistants must remain in gd standing in their wn prgrams. In additin t their half-time academic appintments, assistants are required t register fr a minimum f 9 credits f curse wrk r research, which qualifies them fr full-time status. Incming students shuld be full time students in rder t prepare fr admissin t candidacy fr the degree as sn as pssible and t allw fr registratin fr thesis research during later semesters. If a student leaves the university befre receiving the degree, he/she must maintain cntinuus residency by registering fr at least ne (1) r mre credit hurs f research each semester until the degree is cnferred. Students are required t take a minimum f 30 credits f research credits. Befre passing the qualifying exam, students can register under Research in Envirnmental Science 26:375:701 r 26:375:702. After cmpleting the qualifying exam, the student must register under 26:375:790 Dctral Dissertatin. Shuld a student cmplete the 36 credits f research befre submitting his r her final dissertatin dcument, this student must register each term as matriculatin cntinued until the dcument has been submitted and accepted. Maximum Time Allwance The Graduate Schl sets a maximum f seven (7) years and a minimum f three (3) years fr full-time students t get a Ph.D. degree frm the date f initial registratin int the prgram and a maximum f eight (8) years and minimum f fur (4) years fr part-time students. Three years is the expected time fr a student with a Master's degree t cmplete a Ph.D., fur years if the student has nt received a Master's prir t admissin t the prgram. Students in the Ph.D. prgram wh have nt cmpleted the requirements fr the degree at the end f five years will be sent a warning letter frm the PMF pinting ut the University s seven year deadline fr the degree, and nting that Fr questins abut this handbk cntact Dr. Adam Kustka (kustka@andrmeda.rutgers.edu) 4

At the end f six years essentially the same letter will be sent. During the 12th semester an ad hc cmmittee (the MRA is nt a member f the cmmittee but is the presenter f the case) will frmally review the case. A schedule fr cmpletin f the remaining majr requirements prir t the end f the 14th semester is cmmunicated t the student. Near the end f the 14th semester the cmmittee will hear reasns, if any, nt t expel the student at the end f that semester. A decisin is required. This prcedure is t be repeated every semester thereafter. Academic Grade Requirements Candidates fr the Ph.D. degree are expected t earn grades f B r better in their curse wrk. N mre than 12 credits with a grade f C r C + are allwed. The student must maintain a minimum grade f B in the required curses, and a minimum verall grade f C in all curses. The Graduate Schl-Newark requires that all students maintain a minimum cumulative B average during each term f study in rder t remain enrlled. If a student s academic perfrmance falls belw the expected standard, the prgram r the schl may review the recrd and make recmmendatins cncerning that student s future registratin in The Graduate Schl-Newark. Satisfactry Prgress The lack f satisfactry prgress in either cursewrk r research will be nted n the PMF. After tw cnsecutive semesters f unsatisfactry prgress, a hearing will be held t determine if the student shuld be terminated frm the Earth & Envirnmental Science department. The department Chair will rganize this hearing, (unless the MRA is the department Chair, in which case, the secnd mst senir member f the department will be chair). The hearing will include cmments made by the student and the student s MRA. In additin t the academic grade requirements nte abve, the lack f satisfactry prgress in either cursewrk r research will be nted n the PMF. After tw cnsecutive semesters f unsatisfactry prgress, the DC may make a unanimus written recmmendatin t the GPD that the student be drpped frm the degree prgram. If the GPD cncurs, the student will be ntified in writing that he r she has been drpped frm the Earth & Envirnmental Sciences graduate degree prgram. Earth & Envirnmental Sciences Seminar Series In an effrt t familiarize students and faculty with current research by specialists in the brad field f Earth & Envirnmental Sciences, the Department frequently schedules lectures presented by visiting scientists as well as members f this and ther departments at Rutgers-Newark. Students are expected t actively participate in all department seminars when scheduled. The students wh are wrking as GTA can be exempt frm this requirement when the seminar cnflicts with their teaching r nrmal experiments. 6 Earth & Envirnmental Sciences, Ph.D. Handbk 7/1/2015 Annual Graduate Student Retreat The department hlds an annual 1 day retreat fr graduate students twards the end f each spring semester. The purpse f this retreat is t fster interdisciplinary interactin amng graduate students in Earth and Envirnmental Sciences and Eclgy n the Rutgers Newark campus. It is als meant t be an pprtunity t meet in an infrmal setting t discuss sme f the challenges and pprtunities f being a graduate research student. Nte that this retreat is mandatry fr all students receiving financial supprt (f any kind) frm the department. Other students are strngly encuraged t attend this retreat, but nt required. Degree Requirements The Dctr f Philsphy degree is a research degree and is awarded as a result f the successful cmpletin f a scientifically significant and unique research prject, presented in the frm f a Ph.D. dissertatin. It is the student s respnsibility t ensure that all degree requirements are met in a timely fashin. Regular updating f the PMF is implemented t assist the student twards this gal. The Graduate Schl has several stringent requirements regarding time. These deadlines are strictly enfrced and failure t meet them will result in a delay f graduatin by ne whle semester with the cst f cntinued registratin. The requirements invlve the fllwing: Cntinuus registratin ( matriculatin cntinued cunts) including the semester in which all degree requirements are cmpleted, whether the student is n campus r nt (cntinuus registratin in every fall and spring term thereafter until cmpleting the prgram and earning the degree) Maintain a minimum verall GPA f 3.0; and n mre than 12 credits with a grade f C r C+ Seventy tw (60) credit hurs (48 credits fr thse entering with an MS degree) have been successfully cmpleted N mre than 12 credits f graded level cursewrk may be taken fr graduate credit. A student is allwed nly tw attempts t pass this examinatin. The examinatin is rganized by the MRA in cllabratin with the ther members f the DC. It is designed as a cmprehensive measure f a student s knwledge, and the examinatin is bth written and ral. There are tw ptins fr the qualifying r cmprehensive examinatin as determined by the MRA, DC and student. 1) Fur (4) questins, ne frm each member f the DC, requiring a written respnse and designed t take apprximately 2 hurs each. Tw weeks after the written examinatin, an ral examinatin f apprximately tw hurs will be cnducted by the DC. 2) Preparatin f a written research dcument that includes primary data tied t prfessinal literature may be submitted t the DC. Tw weeks after submissin, an ral examinatin f apprximately tw hurs will be cnducted by the DC. Students must btain An Applicatin fr Admissin t Candidacy fr the Degree f Dctr f Philsphy frm frm the graduate schl r nline prir t the qualifying exam and cmplete all f the requested infrmatin. This frm is dwnladable frm Once the exam is cmpleted, the DC must render a decisin in writing and the frm must be endrsed by the GPD. The frm is then submitted t the graduate schl. Upn satisfactry cmpletin if the qualifying examinatin and acceptance by the Graduate Schl, the candidate will be frmally accepted int the research phase f the graduate prgram. 8 Earth & Envirnmental Sciences, Ph.D. Handbk 7/1/2015 Dissertatin Prpsal Within fur terms f their admissin t the prgram, each dctral student must make a frmal ral presentatin n the scpe f his r her prpsed research t members f the DC and t any ther interested persns. Within ne mnth f this presentatin, the DC members must apprve frmally a dissertatin prpsal. A well thught ut, cncise dissertatin prpsal shuld NOT exceed twelve (12) duble line-spaced pages f text. Figures, extensive sets f equatins, and literature references (where necessary) are nt included within the page limit but shuld nly be included as needed t supprt the prpsed prgram f research. Backgrund/cntext f the research, techniques f data cllectin t be used, methds f analysis f the data cllected, nature f results t be expected, and the significance f the research shuld be included. The purpse f the prpsal is t determine whether the student is prepared t undertake the remainder f the thesis research (beynd what has already been cnducted under supervisin f adviser) required t cmplete a Ph.D. degree. The prpsal represents a radmap fr the remaining research required t meet the minimum thesis requirements (in terms f papers) described belw. The decisin f the DC will be PASS (with any cnditins being specified and summarized in writing, including a timetable fr cmpletin f the cnditins if deemed apprpriate) r FAIL/RE-TAKE (with advice given t infrm the student as t what the majr deficiencies were and a clear timetable fr re-examinatin). In accrdance with the Ph.D. PMF, a prpsal must be apprved by the furth semester f the prgram. When apprved, the MRA will place a cpy f the prpsal (marked with the date f apprval and his/her signature) in the student's file. Students shuld be sure their files have a cpy n recrd. The Dissertatin The dissertatin serves several related educatinal functins: It is beneficial fr acquiring cmpetence in certain f the analytical techniques f the earth & envirnmental sciences; It prvides practice in applicatin f the scientific methd; It gives practice in making accurate descriptins f bservatins, and in giving clear, cncise expressin f ideas in writing The final draft f the dissertatin fr submissin t the university shuld be prepared in strict accrdance with the electrnic filing instructins given at: PrQuest%20rev-1.pdf After the cmmittee has accepted the dissertatin, the student must file the thesis with the Office f the Dean f the Graduate Schl n later than the annunced deadlines fr cmpletin f degree requirements. 9 Earth & Envirnmental Sciences, Ph.D. Handbk 7/1/2015 yur dctral dissertatin cmmittee members must be submitted t the Graduate Schl Dean s Office. Bth title pages must be printed n 8 ½ x 11 white, 16 r 20lb weight and 100% rag cntent paper. With the dissertatin, the candidate is required t submit an abstract, nt exceeding 350 wrds, which describes the principal finding f his r her research. As with the dissertatin, the prfessr in charge f the wrk fr the dissertatin als must apprve the abstract, and ther members f the student s cmmittee must accept it. Dissertatins must cntain a minimum f three (3) chapters. Each f the chapters shuld be prepared as a prfessinal paper and submitted t prfessinal peer-reviewed internatinal jurnal. Tw (2) f the chapters must be accepted fr publicatin r published by the time the student defends their dissertatin. The third chapter must be submitted t a jurnal fr review by the final defense but it des nt need t be accepted. The department encurages students t take the initiative in selecting a dissertatin subject and in designing their research methds. The suitability and practicality f the selected subject is t be discussed with, and apprved by, the MRA befre the dissertatin prpsal is submitted t the department fr cnsideratin. External members f the cmmittee (utside readers) External members f the cmmittee prvide an independent evaluatin f the student s research. Outside readers are qualified individuals appinted utside the student s department wh nrmally hld the highest degree in his r her respective field. The utside reader shuld be carefully chsen t avid ptential cnflicts f interest and t include prfessinals f the highest prminence pssible within the particular field. At least ne utside reader is recmmended t serve n the thesis cmmittee. The Technical Defense The Technical Defense Examining Cmmittee will cmprise the DC and, whenever pssible, include the utside reader. If the research incrprates significant subject matter that is utside the expertise f the DC, the examinatin cmmittee shuld include ther faculty frm the Earth & Envirnmental Science Department, r if necessary anther department, wh can evaluate this cmpnent f the candidate's prject. The Technical Defense, as defined here, is a special meeting f the candidate's Ph.D. cmmittee at which the student presents the research results fr detailed scrutiny. The principal gal f the technical examinatin is t evaluate whether the candidate has cnducted research and btained results that are likely t be reliable, f substantial scientific imprtance, and will satisfy the requirements fr the degree. The active invlvement f the entire DC in the evaluatin f the candidate's research at this stage accmplishes tw imprtant gals: (1) it enables the DC t prvide guidance abut the scpe f the prject; (2) it enables the candidate t make substantial changes, if needed, t the thesis. The timing & qualificatins fr the technical defense include: A. Written Dcumentatin - Tw weeks prir t the technical examinatin, the candidate must circulate t the department and the DC a cpy f the dissertatin and an abstract f the majr cntents and cnclusins. At the examinatin this thesis, supplemented by visual aids the candidate believes are apprpriate, will frm the basis fr the presentatin and discussin. The examinatin may als incrprate written questins abut these dcuments frm faculty nt n the examining cmmittee. B. Presentatin - The candidate shuld be prepared t present the fllwing at the technical defense: 1. Backgrund and gals f the prject. 2. Methds f data cllectin and sme representative data. 3. Methds f analysis and majr results fr wrk cmpleted and prjected. 4. Discussin f utstanding tasks and prblems fr future research in the field. 5. Summarize the cnclusins. C. Duratin - This presentatin shuld take 45 t 60 minutes. The examining cmmittee will questin the candidate abut all aspects f the research, as they see fit. In ttal, the technical defense shuld ccupy n mre than tw hurs. The examining cmmittee, by cnsensus, will grade the examinatin as a pass, cnditinal pass, r fail. These utcmes and their cnsequences are defined as fllws: Pass: The technical examinatin f the thesis indicates that the candidate pssesses a mastery f the subject. The research is f high merit and the candidate is apprved fr the Ph.D. degree. T receive final apprval, students must btain signatures frm all members f the dissertatin cmmittee. Cnditinal Pass: The degree f technical mastery is as fr Pass but significant prtins f the thesis need mdest revisin r recnsideratin. The current thesis des nt assure a successful cmpletin prir t the candidate's intended date fr submissin f the dissertatin, but this utcme is likely if the candidate carries ut the needed revisins. The cmmittee will suggest remedies fr the deficiencies (if pssible), and set a specific timetable fr their cmpletin. This wrk may cause a delay in graduatin. A repeat f the technical examinatin is unnecessary. Fail: The student did nt display a sufficient mastery f the field; majr prblems exist with the research that require extensive revisin and recnsideratin. These deficiencies indicate that it is almst certain the wrk will nt be r culd nt be successfully cmpleted befre the intended date f graduatin. The DC may permit a repeat f the technical examinatin r may recmmend t the department that the student is dismissed frm the dctral prgram. If permitted t repeat the examinatin, the DC will fully advise f the needed changes and will set a specific timetable fr executin f the wrk. The student must repeat the technical examinatin within ne year f the failed attempt. If they d nt receive a pass r cnditinal pass n the secnd attempt, the DC again may give directins fr revisin r may recmmend dismissal frm the prgram. The Public Defense A final public examinatin is held under the auspices f the cmmittee in charge f the candidate s curse f study. At this examinatin, the candidate must defend the dissertatin and therwise satisfy the cmmittee and ther faculty members in attendance that he r she is qualified t receive the degree f dctr f philsphy. The MRA, in cnsultatin with the student and ther DC members, is t arrange a place, date, and time fr a public defense. The date and time f the defense must be at least tw weeks prir t the Graduate Schl s deadline fr all materials t be submitted. A mem prepared by the department ffice staff detailing this infrmatin is t be psted and circulated t all faculty members a minimum f ten (10) wrking days befre the defense is t be held. A cpy f the thesis must be placed in the department ffice at least ten (10) wrking days befre the defense fr faculty perusal. Public defenses may be undertaken at any time f the year prviding the DC and the student can agree n a time. Students shuld be aware that difficulties may arise during exam times and during the summer mnths. Graduate Schl requirements with regard t cntinuus registratin and time limits fr degree cmpletin are f particular imprtance t students leaving the university befre all requirements have been cmpleted. At the time f the final examinatin, the student is respnsible fr btaining frm the Office f the Dean the candidacy applicatin upn which the result f the qualifying examinatin is recrded. The cmmittee members cmplete this applicatin at the final examinatin and sign the title page f the dissertatin t signify their acceptance f it. Once the GPD certifies that all prgram requirements have been cmpleted fr the degree f dctr f philsphy, the candidate must return the candidacy applicatin t the Office f the Dean.
