3 Booth Specifications and Fee Structure (**basic booth) SINGLE BOOTH SPACE: One 8' x 10' booth (HRMAM member): $1,000 + GST (early bird) Non-member: $1,250 + GST DOUBLE BOOTH SPACE: One 8' x 20' booth (HRMAM member): $2,000 + GST (early bird) Non-member: $2,500 + GST (All Trade Show booths are subject to GST.) WHAT IS INCLUDED IN MY BOOTH? Each exhibitor s booth will include the following items: 8' x 10' draped booth (If double booth 8' x 20') 8' high back wall 3' high side arms One 6' draped table (Double booth Two 6' tables) Two folding chairs (Double booth Four folding chairs) ** Additional fees will apply for electrical power, Internet access, phone, water/gas access, or other special requirements. Booth space must be booked and paid for by Aug 31, Exhibitors who have not confirmed and paid for their booth space by this date will be denied access to the Conference, conference materials and all other related Exhibitor benefits. Cancellation Policy Cancellation of booth space must be received in writing on or before Sept 11, 2015, 5 p.m. (CST) and will receive a 50 per cent refund of the total amount paid. Cancellations received after this date are non-refundable. An HRMAM staff person will be on hand throughout ingress to assist you in any way we can. EGRESS (MOVE-OUT) Wednesday, Oct. 28* *All booth materials, equipment, signage, etc., must be removed by 7 p.m. Exhibitor space rental is for a single exhibitor (company) only and may not be transferred, sublet or shared. Exhibitor space is provided on a first come first choice basis and conference organizers reserve the right to adjust location based on available space. Who s Who DISPLAY CONTRACTOR Central Display is our official Display Contractor. We encourage you to deal directly with Central Display for any requirements beyond basic amenities already included in your Exhibitor contract. They are your contact for any additional booth enhancements such as furniture, pop-up/poster board displays, plants, janitorial services, etc. We also suggest that all exhibitors use the drayage services (pre-show storage and materials handling) of Central Display as there are no storage facilities within the RBC Convention Centre and the Centre will not accept delivery of materials. 9 Trade Show Rules, Regulations and Policies All exhibitors are required to read and familiarize themselves with these rules and regulations. EXHIBITOR DISPLAYS 1. Alterations or variations to any part of the structure of the RBC Convention Centre, including furniture or equipment in the Trade Show area may not be made without written authorization from the Centre. This includes drilling holes, insertion of nails, screws, hooks and push pins, attachment of decals, promotional materials, signs/banners, or affixement of any items using unapproved tape. 2. Booth displays and equipment shall not extend into common space, including all signs, banners, furniture, etc. Exhibits must not block any exit doorways, and fire hose floor ports must remain unobstructed at all times. 3. Switching of name badges to allow entrance is not permitted. Any person not adhering to this regulation will be asked to leave the premises. Applicable to purchased full Conference registrations. 4. Sample food and/or beverage products may not be distributed by Trade Show sponsoring organizations and/or their exhibitors unless written permission has been received in advance from the RBC Convention Centre and Trade Show management. 5. Parking in loading dock areas (Ground and Third floor), except for loading and unloading, is prohibited. Violators will be towed at their own expense. 6. Passenger elevators and escalators are not to be used for moving goods or materials between floors; the loading docks and freight elevators must be used for this purpose. 7. During Ingress and Egress of Exhibition/Trade Show, children under the age of 16, are not allowed on the show floor. This policy is for the safety of your children. EXHIBITOR ETIQUETTE 8. The Exhibitor must leave the booth space in the same condition as it was before time of occupation. Any materials left in the booth area after egress deadline will be removed and stored at the exhibitor s expense. 9. Show management reserves the right to restrict sounds from any source that interface with activities in neighbouring booths. 10. Exhibitors are not permitted to distribute any literature and/or promotional items/ materials, from their company/organization or any other company/organization beyond their contracted exhibit space. Failure to comply will result in immediate booth closure. 11. Exhibitors are not permitted to sell any products or services directly from their exhibit space. Order forms are acceptable for future fulfillment. P9

10 ADMINISTRATIVE POLICIES 12. Exhibit booths are to be occupied by one company/organization only. Subletting, sub-contracting, or sharing of space is not permitted. 13. Exhibit space that has been assigned and confirmed is not transferable. 14. The Human Resource Management Association of Manitoba (HRMAM) reserves the right to resell any booth space cancelled by an exhibitor, to re-assign or re-allocate booth space, and shall have sole control over admission policies at all times. 15. HRMAM, their respective staff and volunteers are not responsible for the safety or the property of the exhibitors from theft, damage, accident or other causes. How to Maximize your Trade Show Experience You and your company are investing both time and financial resources to participate in the HR & Leadership Conference and Trade Show. In order to maximize your trade show experience your displays should be visible and interesting enough to draw people to your booth. However, once they get there, you need to make that closer look worthwhile by engaging them with conversation and information. Whether you are a trade show rookie, or a wily veteran do these two things well and trade shows will be an incredible source of contacts and customers for you and your business. The following are some tips to ensure an enjoyable and successful trade show experience. GOALS, OBJECTIVES AND COMMUNICATION Set up clear goals and objectives for the show. Your marketing materials should be focused on your message, and your signage and exhibit should clearly display exactly who you are and what you are offering. Everyone in your booth should know the goal: whether it is new prospects, reinforcing existing relationships, or finding out more about your market. Clearly defined goals help you keep focus and track results. Qualifying and getting information from prospects is key. Ask for specifics. Why are you here today? Write down their questions, concerns and interests anything personal that will help jog their memory (and yours) later about the conversation. Practice good communications listen more than you talk. Try not to overwhelm prospects with long answers when a short answer might do. Remember to introduce yourself to the other exhibitors they could be potential clients, vendors or partners. P10

11 Booth members should be dressed in synch with the exhibit theme or company colours, logo shirts, and name badges. Name badges are not provided by HRMAM. Anticipate typical questions and practice answers, including questions to ask in return. Rehearse demonstrations in advance. Ensure you have a plan for following up on the leads and contacts you made during the Trade Show. Send a personalized thank you card, possibly including a gift, to the most likely or most valuable prospects. If you can remind them of your conversation, all the better. As well, make sure that you follow up promptly the faster you do, the more your business will stand out from the rest. Don t forget trade shows are about getting your brand, products and services into tangible form for customers and prospects. Keep everything consistent, professional and on track with your show s objectives! TRADE SHOW DISPLAY TIPS AND BOOTH ETIQUETTE Think neatness and visibility. Use a display board so that your products and services are at eye-level to draw people into your display. Ensure your display is organized and tidy; potential customers will be turned off by messiness or having to do too much searching to find out what they want. Draw people into your booth by using interactive displays such as quizzes, computer games, contest draws, scheduled demonstrations, etc. These are great methods to collect contact information from booth visitors. Have a stock of promotional items that you can use as trade show giveaways. Small items that people can take away and use (while being reminded about your business) are best. Ensure you place these items in a location where people will have to walk into or through your display to get them. Ensure you have plenty of promotional/marketing literature on hand, visible, and easy for booth visitors to find. Actively engage trade show visitors. First impressions are everything, so ensure your body language is friendly and welcoming. Chat with booth visitors, and find out what aspects of your business they are most interested in. Be prepared to offer specific solutions to their questions. Do not eat or use cell phones in your booth, and try not to stand around talking to each other for long periods of time. Have your trade show booth manned at all times. Someone has to be there to greet browsers, engage them in conversation and answer their questions. P11
