Dear Participant of DRC Induction Training, February 2010 On behalf of the Danish Refugee Council and Stand-by Roster, we are happy to welcome you as a participant in our three and a half day Induction Training in Denmark from the 25 th till the 28 th of February In order to make your arrival and stay as smooth as possible, this letter contains the relevant practical information regarding arrival, transport, accommodation etc. Please study this letter carefully. Please note: We expect all participants to take part in the entire training, from Thursday the 25 th at 5pm till Sunday the 28 th at 4pm. 3

4 Venue The training will take place in two different locations: Thursday evening the sessions will take place at the headquarters of the Danish Refugee Council in Copenhagen Danish Refugee Council HQ Borgergade 10, 5 th floor 1300 Copenhagen K Denmark Friday morning you will be taken by bus to the Danish Emergency Management Agency (DEMA) Staff College in Snekkersten which is approximately 45 Km north of Copenhagen. Here you will be accommodated till Sunday afternoon, when you will be taken by bus back to the hotel in Copenhagen Danish Emergency Management Agency (DEMA) Staff College Strandvejen Snekkersten Denmark Accommodation in Copenhagen upon arrival (and prior to departure) If you arrive and/or depart on an international flight and need to stay overnight either before or after the training, you will be accommodated in Hotel Christian IV from Thursday the 25 th till Friday the 26 th as well as from Sunday the 28 th till Monday the 29 th of February. If your flights do not correspond exactly with the mentioned arrival and departure dates please advice us prior to making any flight bookings. Hotel Christian IV Dronningens Tværgade Copenhagen K Denmark reception@hotelchristianiv.dk DRC will reserve rooms and pay for your accommodation at the hotel. Therefore, please do not pay for the hotel when you check out. The hotel has been informed to invoice DRC for your accommodation. For those of you who have wished to stay a couple of days in Copenhagen prior to or after the training we have to ask you to pay for the extra days of accommodation yourselves. 4

5 Transport between Copenhagen Airport and Hotel Christian IV You are responsible for transport to and check-in at Hotel Christian IV yourselves. From the airport you can take the metro to Kongens Nytorv. There is only one line and the travel takes about 15 minutes. The metro departs from within the airport and signs will direct you to its location, up the stairs straight across from the exit of the luggage collection. You can buy tickets for the metro from a stand in the airport. Only Danish money (Danske Kroner) or Visa is accepted. You will need to buy a ticket for 3 zones which should cost you around 34.5 DKK. Please make sure to keep your receipts for reimbursement. From the Metro station Kongens Nytorv there is a 10 minute walk to the hotel: Walk along Kongens Nytorv about 200m Turn left, following Kongens Nytorv about 100m Continue on Gothersgade 100m Turn right onto Borgergade, about 200m Turn left onto Dronningens Tværgade 100m Hotel Christian IV, Dronningens Tværgade 45 Transport to and from DRC Head Quarters (Thursday afternoon 5pm 9pm) From Copenhagen Airport Take the Metro from Copenhagen Airport to Kongens Nytorv following the same guidance as for Hotel Christian IV. From Kongens Nytorv there is a 5 minute walk to DRC Head Quarters. Walk along Kongens Nytorv about 200m Turn left and walk along Gothersgade, 100m Turn right on Borgergade and walk 100m to the DRC Head Quarter at Borgergade 10. From Hotel Christian IV From the Hotel there is less than 5 minutes walk to DRC Head Quarters. Walk along Dronningens Tværgade, about 100m Turn right and walk along Borgergade, 100m to the DRC Head Quarter at Borgergade 10. To enter the DRC Head Quarter enter the gate and press the doorbell for the DRC Reception. If the door is not open, please call the DRC Stand-by Roster emergency phone:

6 Transport to and from DEMA Staff College As mentioned you will be picked up by bus at Hotel Christian IV Friday the 26 th of February at 7:15am in the morning. Please make sure to check out and be ready before that time, and remember to bring all your belongings. Those departing Monday the 29 th of February or later from Copenhagen Airport will be transported by bus from DEMA Staff College back to Hotel Christian IV on Sunday the 28 th at around 5pm in the afternoon. For those departing on Sunday the 28 th of February there is a direct connection from Snekkersten to Copenhagen Airport by train. From Snekkersten Station the train departs towards Copenhagen at 18, 38 and 58 arriving at Copenhagen Airport at 16, 36 and 56. The journey takes approximately one hour. Your ticket should cover all zones and a one-way ticket costs about DKK. Please make sure to keep your receipts for reimbursement. If you are not staying at Hotel Christian IV you are kindly asked to either meet the bus in front of the hotel at 7:15 am in the morning of the 26 th of February or to travel by train to Snekkersten (final destination Helsingør). Please inform us of your decision. For those travelling by train to Snekkersten, the train departs from Copenhagen airport at 04, 24 and 44 and from Copenhagen Central Station at 19, 39 and 59. The journey takes about 1 hour. 7 Reimbursement of Expenses DRC covers all travel and visa expenses related to your participation in the DRC Induction Training. However for flights exceeding a maximum of Euro 1000, please confirm with the DRC before booking. DRC furthermore covers all costs of accommodation in Denmark from the 25 th till the 29 th of February 2010 (Thursday to Monday). If you need accommodation for a longer period please inform us. All meals are covered by the DRC during the stay in Snekkersten. In Copenhagen, breakfast is included at Hotel Christian IV, but all other meals you are expected to organise and pay for yourselves. Unfortunately we are not able to pay per diem. In order to get tickets reimbursed we need a hard or scanned copy of your tickets/e-tickets as well as comprehensive bank and account data. That includes swift code, IBAN nr, name and address of your bank. It is sufficient if you bring copies and bank information when you arrive for the Induction Training. If you need insurance for travelling to Denmark please organise it yourselves and DRC will reimburse your expenses. Please remember to keep all receipts for reimbursement. Danish Residents DRC will reimburse your for train tickets and/or bus transportation to and from DEMA Staff College in Snekkersten. What to bring 1. Copy of your certificate from the Basic and Advanced Security in the Field Training; 2. Copy of your passport; 3. Receipts for all expenses you expect DRC to cover. What to do now 1. Organise your transportation to Denmark (Copenhagen Airport); 2. Inform us about your arrival and departure dates and times; 3. Inform us if you need accommodation in Copenhagen before and after the training in Snekkersten; 4. Let us know if you have any special preferences regarding food. 8 General Information 1. The Danish currency is Danish Crowns (Danske Kroner) DKK is equivalent to 1 US Dollar. 2. Compared to other cities, Copenhagen is fairly expensive. A cup of coffee at a café costs between 25 and 40 DKK and a take-away pizza between 40 and 70 DKK. 3. Visa cards are accepted in most places, but unfortunately not all. You can exchange for Danish currency in Copenhagen Airport. 4. The weather is Copenhagen at the end of February is often fairly cold and wet. The normal average temperature for February is 0-5 degrees Celsius. 5. DEMA Staff College is located a fair bit out of Copenhagen and is not close to a major city. It is thus a good idea to bring with you all you need for the weekend as you cannot expect to buy anything. Please find attached to this letter, a tentative programme for the training as well as a participant list. We will send you a revised programme and participant list, together with pre-reading material on a later date.
